Asana

Asana is very suitable for creating milestones for app development, web development, marketing projects, lead generation projects, project fulfillment and tracking the progress all the goals and targets of the team. It less appropriate for tracking sales, storing customer details, software development (JIRA is more appropriate for this). I will highly recommend Asana to start-ups as well as corporate teams to organize their workflows very well.

BMC Remedy

BMC works for change management functions but what we found was that the application was extremely limited once you make customizations/changes. Standard updates/patches become difficult to execute and then the software gets out of sync with the current version. The ITSM functions were limited and we found other products were far superior in this area.

Pros

  • Multiple users can access the program at once without stepping on each other's toes or having to wait until someone is out a project to add something. It is definitely a group friendly program.
  • We like how visually pleasing it is. It is not at all intimidating to first-time users as it is very user-friendly. You can quickly find what you need and become comfortable with its features and functions.
  • I personally like being able to assign different tasks to different employees and be able to receive feedback and progress directly from that assigned person as well as view it myself.

  • For service request management, we use the SRM product which gives a common interface for our customers to request services. We are able to easily add the services to the catalog and configure how the created request will be routed to the appropriate group for delivery. This has shown to reduce churn in the request process and reduce cycle time in delivery.
  • Incident management has show to be effective at routing cases to the appropriate support group for resolution.
  • Change management has proven to provide the mechanism for a change control process for organizing those changes and having affected stakeholders discuss the changes before implementation. This has headed off potential service outages from collisions.

Cons

  • I hate that Asana does not have time keeping functionality inbuilt. I use Asana with lot of contractors and I would love if there was a time keeping function.
  • Asana sends me a lot of notifications. Sometimes it is super helpful but often I opt out of notifications. I would love to see if Asana can optimize or change the notification frequency in a unique way.
  • Asana does not allow me to chat if the other user or team members are online. I would love to have that feature instead of just commenting.

  • The quality control on the product from the vendor needs improvement. While upgrading to newer versions (9.1) has provided additional features which have been beneficial, the cycle of product defects uncovered and worked through to resolution has been tiring. Having this product without a good support agreement is not advisable.
  • Technology is slow to evolve. The product is just now exposing mobile and REST interfaces, something the market has adopted some time ago.
  • User interfaces that do not embrace effective bulk management. Most of the interfaces are driven from a manual perspective. When used in a global company with sites around the world, this becomes burdensome.

I just can't see us getting it off of Asana any time soon, despite the many headaches it has caused us. We have too much data in there, too much time & training invested into it, too much at stake to move. If we were just starting out today, fresh, I don't know for certain that I would absolutely go the same direction, but I *think* I still would. I just haven't seen anything better yet. Maybe if Podio's support staff hadn't treated me like a worthless nuisance to them, I might feel differently, but the fact is that their task management is simply inferior to Asana's. That can't be denied, and in fact Podio said it themselves: "Tasks are a simple function. They cannot be customized. Tasks in Podio can be used for quick to-do's for you and your team members." In our operation, however, prompt task completion is a big deal; one task can't be completed until another one is done first, and closing the gaps between those tasks is critical in meeting deadlines and servicing our customers. Asana gets us there, the others don't.

At least Remedy is all contained in a single platform, so the interface is consistent. Also, the most heavily performed functions are generally usable. However, to use some of the more advanced modules can be a bit more cumbersome (such as Change Management and CMDB (Not Including ADDM)). So, overall BMC Remedy ITSM is better than some applications like CA SDM or HP SM, but not quite on par with ServiceNow.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Their tech support is top notch. They respond and get back to us, even on lower level incidents and issues, very quickly. It is rare that we deal with a support technician who does not know what they are doing.

Alternatives Considered

Trello is a very simple board based project management tool. It lacks clear display and organization. On the other hand, Asana provides a much better layout on all devices including mobile phones. It is cross platform and has much more advanced features than Trello. Asana is also better because of the comments, likes and inter-communication options.

  • Asana has helped us be more efficient in tracking projects while simultaneously eliminating the clutter of emails.

  • It can be quite expensive so a consultant should be hired to analyze what additional modules are needed
  • The ROI is fantastic for large organization only as it is very helpful for large volume tickets and gives more in return and justify its cost
  • Smaller accounts should consider the options carefully before choosing BMC is what I personally feel
