Asana

If you are working with a cross-functional team with multiple projects on the go regularly, Asana is a lifesaver. Everything can be shared in one place. Delegation is a breeze. Communication happens in real-time.If you and your employees all have unchanging duties daily, this probably isn't something you need in your organization. You could adapt it and use it as a "checklist software" but I wouldn't see much value in paying for it if you won't use it to manage projects.

PowerApps

PowerApps does a great job of bridging the gap for mobile form entry where needed. We don't have a ton of mobile use cases, but that's because we haven't had a very active online tool kit until the deployment of O365. With most tools behind a firewall, any opportunity to work in business applications has been through VPN and that usually requires a PC/Mac. Now that we're able to access the system through a credentialed entry point in O365, we have the opportunity to think about what our mobile environment could look like. That's where PowerApps comes into our portfolio.

Pros

Asana

  • The best tools of Asana are found once we start a project, since the calendar that is integrated into our mail is super easy to use and we use it as a small agenda.
  • The management of projects is incredible, the monitoring provided is one of the best in its category, since it facilitates group work.
  • The creation and assignment of tasks, notifications and that each person can enter to work no matter where it is since it has a good mobile and web interface.

  • Integration with cloud data sources (Azure, Sharepoint).

Cons

Asana

  • I wish it implemented easier with Outlook or Gmail. I would like for it to be easier to send tasks from email to Asana.
  • I think there's room for improvement in terms of how easy it is to make new Section Headers for tasks and lists.
  • I'd like for more aspects of the interface to be customizable.

PowerApps

  • I feel that although it is possible to adapt the tablet view to desktop it can be cumbersome and the screen ratio is not right. There should be an option for making a desktop or browser based application specifically; or at least more screen ratio choices.
  • "PowerApps Desktop" is only available via windows store; for some enterprise users(specifically LTSB users) that makes it unavailable as windows store cannot be used with this version of Windows. A stand alone download or an explanation in the documentation would be nice to have.
  • I have spent a ton of time changing the formating over to the standard that I am using throughout the application on each data card or places where copy paste isn't an option. A format painter or a place to provide typical formating options such as font type and color would be a HUGE time saver for those of us trying to brand our applications.

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

Usability

Asana is very easy to use, you don't need to read any guide to understand how to use it. Works well on almost any device and navigator and the interface is friendly to everyone. Creating a task is easy, following them is also easy and the comments between people involved in the tasks are public, so anyone can follow the task if the employee assigned is not available at a specific moment.

There is still complexity in creating PowerApps, but you can't underestimate the power of the PowerApp, so naturally creating one could get complex. But the usage of the app should be straightforward, even if it relies heavily on the UX from the application designer. Overall, very user-friendly, does not require code, and relatively painlessly taps into business-critical information without requiring any data copying.

There are several incredible community members posting videos and blogs about getting started with PowerApps and getting into a deep dive technically. PowerApps has a great community and a lot of supporters for it. I'm not sure what the "official" Microsoft support is like, but the community is really great.

Alternatives Considered

Asana

There were a combination of factors that led us to decide on Asana, including ease of use and external system integrations, but primarily we could use it across geographically distributed offices successfully and incorporate a variety of end user work flows based on global geography, team constitution, and market focus

PowerApps

Along with PowerApps we evaluated Smartsheet for use and we determined that PowerApps provides a great deal more functionality and flexibility. Especially when you consider it is nested in SparePoint and all the additional functionality that SharePoint provides. PowerApps also has the ability to integrate with PowerBi which provides you access to some superb reporting capability

Return on Investment

Asana

  • We went from disorganized to having our processes fully documented. This allows for projects to be duplicated and started faster, increasing my margins.
  • Less opportunity for missed tasks or confusion.
  • Progress checking always available and easy to use (for our clients)

PowerApps

  • My budget calculator enabled our sales team to provide a high-level quote in minutes compared to hours or even days if we had to draw it out.
  • My time tracker was used by a department to estimate the time taken on projects and therefore they could quote the billable hours up front.
  • There has been nothing but positive impacts from my use of PowerApps.
