Asana

Asana is completely customizable! I would use it for almost all of my daily, weekly and one off tasks. It does take some time to start to think in "Asana-brain" rather than in "Email-brain." Asana works best when your whole team is on board and commits to using Asana as the main mode of internal communication. While it is easy to create templates out of tasks, you can't create project templates easily, so using it as a training module, for example, is difficult

Screenhero

Screenhero is perfect for engineering and product teams who either have remote staff or multiple offices. It's a great pairing to Slack, since the messaging function of Screenhero is lackluster, but slack calls are poor quality and there's no screensharing solution within Slack. Screenhero's ability to allow call participants to take over the cursor and use their own keyboard to control inputs makes it perfect for problem solving and diving into code between engineers, or for talking through product UX design.

Pros

  • Asana does organizing and keeping track of tasks really well. It has smart views which allow you to see and customize a smart view for tasks such as recently completed, sort by deadline, sort by assignee etc.
  • Asana does a good job of allowing people to collaborate. The fact that I can comment and ask question on other people's task is very helpful to me. This removes the need of multiple emails in a way that everyone in the organization or part of the team can see it. Being able to add attachment is also really helpful.
  • Asana does an incredible job of setting privacy and securing my tasks such that tasks in one team of the organization cannot be viewed by others. I can decide to make it publis or private. This is very useful as it allows me to keep tasks secure and effective at the same time.

  • Screensharing with all participants being able to take control of the screen.
  • A visible mouse cursor for each participant helps keep everything clear and straightforward.
  • The call quality very clear.
  • Seems to be fairly light on bandwidth requirements.

Cons

  • I hate that Asana does not have time keeping functionality inbuilt. I use Asana with lot of contractors and I would love if there was a time keeping function.
  • Asana sends me a lot of notifications. Sometimes it is super helpful but often I opt out of notifications. I would love to see if Asana can optimize or change the notification frequency in a unique way.
  • Asana does not allow me to chat if the other user or team members are online. I would love to have that feature instead of just commenting.

  • With more than 3 people on a call, it can get confusing with that many cursors on screen.
  • Message system for groups not that intuitive.
  • Program a little buggy - requires app restart too often.

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

Trello is a very simple board based project management tool. It lacks clear display and organization. On the other hand, Asana provides a much better layout on all devices including mobile phones. It is cross platform and has much more advanced features than Trello. Asana is also better because of the comments, likes and inter-communication options.

Screenhero being acquired by Slack was honestly the primary reason we selected it over TeamViewer. Our organization is heavily invested in Slack's enterprise solution, so choosing Screenhero was a pretty easy decision. On top of that, Screenhero delivers very well on its core competencies, so there doesn't seem to be a very good reason to not use it given its relationship with Slack.
