There are no deal breakers with Ascentis in my opinion. The system is very flexible and allows for work arounds where limitations exist.Update: In the last year and a half Ascentis has been unable to provide electronic transmittal of benefit information through their system in a timely, accurate and/or consistent manner. This is a key component of any HRIS in my opinion and the failure to provide this feature (which we are paying for) has been a very large disadvantage for our company. If a timely, accurate and consistent automatic transmittal of benefit information to benefit plan providers is important to your organization, I would not recommend Ascentis at this time.

If an organization is looking for a no frills payroll system that is economical, this is good. If you are looking for a system that has more support, it seems to not be the best choice even though it is robust

Pros

  • Recruiting/Onboarding - We typically hire candidates site unseen and send them overseas to work. Ascentis allows us to capture information on the candidates from the recruiting phase all the way through the onboarding phase of the hiring process.
  • Extremely Customizable HRIS - The ability to customize and add tabs to the HR side of Ascentis provides endless opportunities to capture any and all data that needs to be tracked and/or reported on for employees.
  • The Benefits enrollment, open enrollment and carrier connect features of the system have streamlined the Benefits Administration process in my organization to a point where it requires very little time and attention. Once the benefits are set up through Setup Manager and tied to the benefit provider through Carrier Connect, there is very little maintenance or attention required.

  • The application handles two step logins seriously, requiring an e-mail and a phone number to login. This is great for IT savvy employees.
  • The application allows users to feed digital turtles when they are logged in.

Cons

  • There were some minor "nice to haves" that Ascentis could incorporate into their system for users. Most of these suggestions are being included in their upcoming release of Ascentis Payroll. (So minor, I can't even remember what we suggested.)
  • We ran into only one unique multiple garnishment scenario that required us manually review the one employee. (Very minor, compared to prior vendor system calculations.)

  • Reporting - Kronos has an excellent reporting system but it has way too many arbitrary walls. You have to be in the right section to access information which prevents simple reports.
  • Documentation - while the website is intuitive for the basics, pick time, payroll, etc., it is almost impossible to find good documents outside of that (customizing reports, figuring out where a field is, their web services). All lack documents to guide you.
  • Overly busy UI - Kronos Workforce Ready provides lots of ways to do things which is good except each spot does things just a little different. This often leads to confusion for our managers and makes supporting more complex. A simpler UI that always gives the one screen and let us build the extra screens using their reporting system would be better.
  • Report filters seem overly restrictive you can't filter on dynamic data or use one column to filter another.

We have begun looking for other vendors to supply this products need as Kronos WFR cannot deliver the suite of applications which it should with this product.*6/5/17 Edit - We started the new year with a new application. WFR proved to be unable to correct the errors within the application. We are much happier with the new application as we can use it effectively.

As a user of the software for less than a year, we still have much to learn. There are many areas of the software that we are just not completely comfortable with yet. Still much to learn. Several of our employees will be attending the Ascentis training in May, and we are really looking forward to learning more.

While some tasks such as updating an employee's basic info, password, and approver preferences are very easy to do and straightforward (all combined on a single employee maintenance page and updateable through a single 'save'), other items prove to be more cumbersome such as navigating through multiple layers of employees when you are up higher in management with more system rights

I believe there is too much downtime. Single sign-on has been down 2 times in last 5 days. This downtime has occurred many times in the past 6 months. Many topics mentioned in the user guides have not enough information to use the functionality.

This is a nice system and does more than most full featured HR systems. However, you will often find yourself fighting the system because of strange restrictions on where data can flow.

In-Person Training

First, to clarify our "in-person" training was done mainly through Web-X meetings and conference calls. It was the closest thing we got to as far as an "in-person" training for this software. However, for the large majority of it, this type of training worked out well. We were able to share our screens and the trainer was able to share his/her screen. We could follow along with what we were doing in our database in real time and see how different functions worked and how manipulating our information could produce different results. It was also nice in that it provided for real-time results if something hadn't been coded correctly or we were having issues as to why something wasn't working the way we thought it should be. However, it did have some downsides in that we often had to rely on a conference phone and that made it difficult to hear people on both sides. Also, sometimes the trainers had internet difficulties when working from home and that caused issues with the WebX meetings.

Online Training

Ascentis HR has a number of online training videos to watch on a number of different topics. I gave it a lower rating because there is not much interactivity with the videos and it seems to cater to really only one or two learning styles. Plus, one has to be pretty motivated to go to a separate area to access the videos and then pull up a specific one to watch it and then learn. From my experience, people know that they are there, many just don't take the time and effort to go find them and actually watch them - especially since the username and password are different from their normal username and password.

Implementation

Don't skip steps. The customer support for Ascentis HR left it up to us how far we wanted to go with implementation of benefits for example. I was very glad that I elected to go into the detail implementation that I did rather than just doing the basics and waiting until later to complete the process.

Return on Investment

  • It helped us go from being a small seasonal employer to a medium sized employer, open year round.
  • It was a hard transition for managers and employees because it was not as user friendly as we had hoped. We have to use a lot of work arounds. Once we were able to get past the initial problems and find the work arounds, it helped to get other employees on the same page.

  • I know that at this time we are not using Kronos to its full potential so that question is hard to answer. We are using it exactly like we were using the previous payroll software and in that sense it is working great. We have only been with Kronos since June, so eventually we will start adding in additional modules and functionality.
  • Like I have said before, it is hard to get some things resolved as no one wants to take the credit or blame when you have KPS (APS or Kronos).
