Ascentis Payroll

Ascentis Payroll is well suited for small companies where there is minimal audit/review that needs to happen. The system is something that has to be audited regularly. Also may be a good solution for an organization that has a well versed Payroll MANAGER, versus a Payroll Administrator that may require some guidance.

Kronos Workforce Ready

We have a large population of employees who don't have access to a computer during the day (and some who don't own one at home). The phone app is great! They can see their paystubs, request vacation, look at their benefits, etc., all on their phones. This is a great feature. Kronos is very easy to customize which is helpful because every employee and manager has different preferences on what is on their home page, how they use the system, what they want to see in the system and what they don't want to see. I think it would be very wise of Kronos to find a new partner in regards to taxes. BSI is no where near the kind of company or has the kind of system that Kronos provides. I have been so frustrated at times with BSI that I have thought about switching the entire HRIS system to someone else so I don't have to deal with BSI. The partnership makes Kronos look bad.

  • Creating Manual Checks: this system is very easy to create a manual check on an emergency/as needed basis.
  • Canned reports: good selection to choose from
  • Easy to load reports from timekeeper to ensure accurate processing

  • Kronos Workforce Ready implementation was amazing. They assign a team to you that consists of a leader and one expert per module that you are purchasing. They send you spreadsheets and questionnaires to start so they can get an idea of what you want. They ask questions and customize each module to set it up in a way that will be most beneficial to you and your organization.

Cons

  • Custom reports: not user friendly or intuitive and have to call support every time and they are not the most trained to be able to assist
  • Taxes: A lot of back and forth with the Tax team and they make the ownership on the employer without providing much support
  • Not all items flow from Ascentis HR to Ascentis Payroll so there are many duplicate manual additions to record.
  • All updates have to be entered into HR before it flows to Payroll system. If update made in Payroll system, it will not flow over to HR system.

  • Customer service is cumbersome. You cannot just call and talk with someone which is a challenge when you are in the middle of doing something, hit a roadblock and have to wait to get a call back in an unspecified time frame. Then they can't always help. Also, if you get help and it didn't work or have an additional question on the same issue, it is difficult to get back to the same person. Often times they tell you to submit a new request.
  • Even with reporting being easy and being able to pull any information that is input, it isn't as customizable in the system and you need to export it to get the information how you want it. It is difficult to find where the report is that has the information you would like.
  • More training should be offered after a company has implemented and used it for a while. You get training upfront but you only get in the basics because everything is new. More training after 6 months or one year of use would be helpful to get the advance features and use the system more efficiently. This would also make it more valuable if we knew how to utilize it more, better and more efficiently.

We have begun looking for other vendors to supply this products need as Kronos WFR cannot deliver the suite of applications which it should with this product.*6/5/17 Edit - We started the new year with a new application. WFR proved to be unable to correct the errors within the application. We are much happier with the new application as we can use it effectively.

While some tasks such as updating an employee's basic info, password, and approver preferences are very easy to do and straightforward (all combined on a single employee maintenance page and updateable through a single 'save'), other items prove to be more cumbersome such as navigating through multiple layers of employees when you are up higher in management with more system rights

We were always told that Kronos was the best, but there are reports that we got out of ADP and other payroll providers that we cannot get out of Kronos. One example is a report of Productive/Non-productive hours by department. We also need the dollar amount associated with the hours. This is information that is required on our cost report and we were told that that report is unavailable. It is very frustrating when I can't get what I need.

In general Kronos customer service is great. The response time is minimal for critical issues. The staff is knowledgeable about the product and can usually resolve the issue quickly.

Alternatives Considered

Paychex worked a lot easier and their representatives knew the system in and out. Any issues were easily resolved and if a solution required time, they would always find a way to help the customer versus having the customer try to figure out what a solution is. This can be rather frustrating when you are an administrator and are not the subject matter expert

We evaluated Ceridian HCM Dayforce prior to implementing Kronos. In fact we were a Ceridian customer. The cost of the implementation was almost five times the cost for Kronos. We believed at the time of evaluation and it has proven true that Kronos is more innovative and keeps their product more current than Ceridian. The customer service is superior to anything we experienced with Ceridian.

  • Positive: One seamless solution that pulls in time and attendance for quick processing
  • Negative: Multiple audit of system and information processed through
  • Negative: taxes-- must have knowledge of payroll taxes, their "experts" are not always helpful

  • With automated time reports, managers are able to see where they stand on potential overtime hours that could generate by employees
  • Payroll processes are streamlined speeding up the whole process from start to end - it used to take nearly 8 hours to process payroll on a different system, and now it is possible in just a few hours (which includes timesheet reviews, audits, etc.)
  • Being a web based system, it has lightened the load of work for our in-house IT department and they are able to spend their time working on other things instead of the payroll system.
