Ascentis Payroll is well suited for small companies where there is minimal audit/review that needs to happen. The system is something that has to be audited regularly. Also may be a good solution for an organization that has a well versed Payroll MANAGER, versus a Payroll Administrator that may require some guidance.

Pros

  • Creating Manual Checks: this system is very easy to create a manual check on an emergency/as needed basis.
  • Canned reports: good selection to choose from
  • Easy to load reports from timekeeper to ensure accurate processing

  • Reporting through Business Intelligence. The reporting tool is great and allows you to create a report on any information in UltiPro in just a few seconds.
  • Recruiting/Onboarding: those two tools have created a great candidate experience and have cut down on the amount of paper and time that we spend onboarding an employee.
  • Support: we have a dedicated account manager if any issues were to arise. They also have customer support and you get a call back within 24 hours, although in my experience its always been sooner.

Cons

  • Custom reports: not user friendly or intuitive and have to call support every time and they are not the most trained to be able to assist
  • Taxes: A lot of back and forth with the Tax team and they make the ownership on the employer without providing much support
  • Not all items flow from Ascentis HR to Ascentis Payroll so there are many duplicate manual additions to record.
  • All updates have to be entered into HR before it flows to Payroll system. If update made in Payroll system, it will not flow over to HR system.

  • Performance management (PM). Although UltiPro offers a PM module, it is not very flexible. We attempted to implement this module but had to halt our attempt as it would not fit our organization or processes. We were even willing to change our process if need be. But the module is so inflexible we had to discontinue any attempts at using PM in UltiPro.
  • Benefit enrollment. The OE and Life Events are not easy to configure and reporting from these modules is also not what it could be. I would like to see this area enhanced.
  • Support. With our prior Payroll/HR software, we could reach a support person with one call. Ultimate uses a case system whereby you must enter a case and wait for a call back on that case. (NOTE: they do offer a direct line for payroll processing emergencies). But sometimes you just need to reach a person to ask a quick question or two so you can move on with your work. Not having that ability is a very big negative. I will say, since going LIVE with UltiPro in December 2013, support has improved. It used to be much worse.
  • One major drawback is that Ultimate does not recommend performing employee maintenance during an open payroll. That was one of the selling points they made to us when reviewing UltiPro. We wanted to have UltiPro as our system of record and wanted to keep all data "real time". After going LIVE, we learned that there are issues when making certain changes to employee records during an open payroll session. Hence, we do not do maintenance during payroll process. This caused 5-6 days where our employee data is not updated.

The only reason that I give a 9 rather than a 10 is because, while I am an influencer in the decision making process, the final decision to renew vendor relationships is by committee. If the final decision is up to me, Independent Bank would be a partner with Ultimate Software for the rest of my career.

I've found Ultipro to be completely reliable. Outages are typically planned to occur on weekends and only once did I have connections issues connecting Citrix to the server where our environment was housed, but within the hour connection was restored. I think that's a pretty good track record, considering I've used the suite daily for over three years. Especially when processing payroll--say the internet goes down in the middle of you performing a task... Ultipro is able to recognize that a connection error occurred and quickly restores the process that was running, avoiding lost productivity.

Their support is TOP NOTCH. Let me give you an example. The first year we had to do medical reporting on the W2s, we failed miserably as a company. Our customer service rep worked until 2am one evening to help us get this right. She worked the weekend. And we continue to receive that service years later. They also have a chat area on their support site for payroll issues that are stopping payroll from continuing. We have used this successfully several times. Ultipro is 100% committed to making sure your payroll is correct when it goes out the door.

I've been to a few in-person (hands on) training sessions and it is very similar to the online classes. You have the same reference material to look back on after the training. So regardless of in person training or online you really get the same thing.

UltiPro training programs are great. They (Ultimate Software support team) are always updating and improving their training delivery strategies to ensure that all users get the assistance or the help they need to complete a task, process, or transaction. UltiPro Job Aids are also very good learning tools, but our favorite training tool is the ULTI Quick Tours; they are outstanding. The Quick Tours are step-by-step interactive videos for specific features, functions, or transactions; the average time for each interactive tour is 5 – 10 minutes. We promote the Quick Tours in our GFB Quick Guide To Accessing & Maintaining Your HRMS Account hand-outs.

It is a very arduous process (and would be regardless of the product being implemented), but the UltiPro implementation team that guided us through the process were very skilled, dedicated, organized and helpful. We implemented payroll and benefits within less than 12 months and there was virtually no disruption in employee pay or benefits upon the transition

Alternatives Considered

Paychex worked a lot easier and their representatives knew the system in and out. Any issues were easily resolved and if a solution required time, they would always find a way to help the customer versus having the customer try to figure out what a solution is. This can be rather frustrating when you are an administrator and are not the subject matter expert

BI is what sold us. And the fact that you were the easiest to work with and knew what you were doing. It built our trust in the company that you would treat our account the same way you sold it to us.
