Asset Panda

Asset Panda is good for a non profit because you can add any categories to the asset such as funding source, check number, or anything else you may need to track for grant purposes. It calculates straight line depreciation so if you are using a more complex depreciation method it will not calculate this for you.

Spiceworks

Since Spiceworks is a free solution, it's hard not to recommend it to anyone. It's great for IT pros looking for inventory tracking and management, and also those looking for a help desk ticketing system, which is searchable and makes it easy to recall past tickets and their solutions and see the history of an issue withing your organization. The apps make it really handy to view when you are on-the-go, too. Even if it's not a perfect fit for your needs, since its free, its hard not to find a way to fit it into your needs.

Pros

  • It is great for a non profit organization because you can add any columns you need to the asset. For example, I have added a funding source column to sort different grants that have paid for our assets.
  • Asset Panda provides the depreciation calculation for you.
  • The software is easy to maneuver. It can be easily searched and sorted by type of asset/date or any category you create.
  • You can add and track non depreciable items as well. Reports can be ran for just depreciable assets when needed so this will not interfere with you depreciable asset listing.

  • Help desk trouble ticket system, which is great for tracking the status of issues within your organization. It allows users the ability to submit help requests themselves, and it allows teams to update and track the tickets.
  • Inventory tracking of all your equipment with lots of details about each piece of equipment, like the patch level of computers and the location for equipment or the last time it was serviced or updated.
  • Spiceworks is free!! You can't beat a free solution, and the community behind Spiceworks is huge. Their forums are filled with fellow IT pros willing to help each other out if you submit a question.

Cons

  • When entering dates, the first available date is 2005. If you have assets that predate this, you cannot enter an accurate date. This also interferes with you depreciation in the software.
  • We tag all products with an ID number. However we started also adding bar code tags. Since they were both considered an asset IDs, we lost some of ID numbers when we scanned the bar codes. It was too easy to loose data.
  • I use straight line depreciation so this product is perfect for our company; however, if you added other depreciation methods that may attract more customers.

  • Spiceworks is pretty flexible in the inventory tracking area but it would be nice to be able to create multiple custom fields because sometimes I need more than one customizable field.
  • Spiceworks offers apps for managing things from your phone, but it's a very text-heavy app. It would be nice for it to be a little more graphical for some of the lower-end users out there.
  • Spiceworks offers 2 different apps, one for their forums and accessing the Spiceworks community, and another for the help desk features. It would be nice to have them combined into one app.

We use it both locally on our own server so up time is decided by us and we also use the hosted help desk. We have never had an outage of that.

Minimum system requirements for the Spiceworks server will work for small networks, but larger networks with thousands of devices will need a much faster host computer for Spiceworks.

Alternatives Considered

Asset Panda is great for fixed assets or small businesses. I have also used inventory in a retail environment where product coming in and out need to be tracked. I wouldn't recommend it for an extremely high volume business.

I've used a specialized home based Notes database system prior to Spiceworks. That system was a kludge and outgrew what it originally was supposed to be. We had to make things work in it. Spiceworks is a generic system that while basic allows you to track your issues. It's a good system to use for a small shop.

Return on Investment

  • I use this software for a non profit so there is no return on investment. However, it has helped us with grant reporting. Some grants need us to track assets and depreciation that their funds purchased and this software has been very helpful.

  • First of all - money saving. For our needs Spiceworks does what we want from the solution. We do not need to spend money for any other solution implementation, development, etc. Saved money can be easily transferred to more necessary resources.
  • Implemented solution gives the data for analyzing and optimizing IT support performance. Reduce number of tickets just by understanding the common issues and resolving root cause of the issues for past tickets. Based on received information upgrade business and IT procedures that allowed company to make more money.
  • Limited number of features and options due to free solution - doesn't allow us to make it better and to receive additional positive affect
