I think [Atlassian] Confluence is an amazing option for larger companies however for a smaller team of less than 20 it might not be the best choice. It definitely helps our team stay connected while working remotely and we're able to stay on top of projects with ease.

BMC FootPrints

BMC FootPrints does helpdesk ticketing very well for us in our IT department. In general, any scenario that requires some way to enter in, track and report on issues for enterprise users is the best fit. We've been doing this for more than 10 years on different versions of FootPrints. Where I would not see this as a good fit is probably is for smaller deployments of less than 50 users.

Pros

Confluence

  • QUICK How-to Guides that can be generated and share instantly
  • One can subscribe to the pages and spaces and receive updates in the feed on their home page
  • Automatic Email notifications of new updates in the Confluence area
  • The platform integrates easily with other Atlassian platforms including third-party apps thus improving its reliability

  • Customizable. Separate work spaces are nice for different departments. Being able to edit the fields and add your own make it personal for the end user in mind.
  • Easy to use. Can simply send an email.
  • Organization is easy. Adding priority levels makes a quick overview simple to navigate.

Cons

Confluence

  • Over the past 6 years the feature set has not significantly expanded
  • Integrations with 3rd party apps (DropBox, Google Drive, Slack) is either through 3rd party plugins or rudimentary at best
  • Frequent interface upgrades and complicated permissions settings makes getting new employees up to speed fiddly in some cases
Anonymous | TrustRadius Reviewer

BMC FootPrints

  • Purpose based configuration- It would be beneficial to see a more purposed based, out of the box, configuration option. For example, if you need PCI compliance, more intuitive reporting would make managing compliance much easier.
  • Initial design and implementation- Don't think that your experience as an IT professional will allow you to stand this system up on your own. To properly configure Footprints and set yourself up for success down the road, get Professional Services with this one.
  • Somewhat behind the times- Service Core is making a huge leap forward with the latest version, 12, but Asset Core is far behind. There are quite a few quirks to how the application works and how it is used.

I am confident that Atlassian can come with additional and innovative macros and functions to add value to Confluence. In 6 months, Atlassian transformed a good collaborative tools into a more comprehensive system that can help manage projects and processes, as well as "talk" with other Atlassian products like Jira. We are in fact learning more about Jira to evaluate a possible fit to complement our tool box.

It has been the business decision to go with them and that is what we will do. Going back, this would have not been the choice, but nothing can be done about it now. We are stuck with this application for years to come. Wish there were other possibilities that could be done.

Confluence can - and in my personal opinion, it will - be a bit hard to use in the first moment. Atlassian is a great company and is eager to help you with any question you have, though. The interface seems to be a bit clumsy at first but the customization options are enough to make it easier and simpler. In general, Confluence is easy to use when you understand what each section does, but this can take a while.

It's so simple to use and customize however you want. You can create new workspaces and workflows with ease, set up new users, incoming email rules, customize the layout of the forms, and even change the colors and logos. It's just very easily customizable overall. It's also really straightforward to figure out how to use, you really almost don't have to show somebody how to use it. If you just sit them down in front of it and let them look it over, they could figure it out themselves easily.

Pages load very quickly, which makes it useful for quickly obtaining information. The search functionality is also very quick and is able to parse through all of the documents to provide the most relevant results for the query. Other information based software gets bogged down, but so far Atlassian Confluence maintains its performance.

This rating is specifically for Atlassian's self-help documentation on their website. Often times, it is not robust enough to cover a complex usage of one of their features. Frequently, you can find an answer on the web, but not from Atlassian. Instead, it is usually at a power user group elsewhere on the net.

I've had no issues with the support for FootPrints. We haven't really had to use them all that much over the years, but when needed they have always been prompt and knowledgeable at dealing with any issue. I've worked with a lot of different support teams over the years, and they have been one of my favorites to work with.

Alternatives Considered

Confluence

[Atlassian] Confluence is backed by direct, and superior support from Atlassian versus their vendors. For end users, [Atlassian] Confluence provides way more options for layout and content, while also being simpler and easier to use. Most other tools also require a higher level of interaction with IT or global administrators. With confluence, both content creators and consumers can draft an consume content with a much smoother, more intuitive experience.

I was not involved in the selection process but in my opinion either SQL or Access databases would have worked just as well without the same amount of cost. These two systems would have been much easier to manage and would have tracked the same information in a less convoluted process and expense.

Return on Investment

Confluence

  • Confluence has increased cross-departmental visibility into content, activities, and projects
  • Confluence has also increased collaboration across teams
  • The lack of a workflow has created a wild west environment where stakeholders are confused of where to create and find various types of content

BMC FootPrints

  • We have had an increase in efficiency now that we have the time tracking active. We are much better able to track employee activity.
  • Our sales department has a workspace set up to field incoming sales inquiry emails. It makes it much easier to see who has sent in something, and also see who is working what leads.
  • Our customer service has gotten better since we have started assigning issues for follow up. We also have an escalation in place to alert management for a large number of incoming issues, or an issue that has gone over 60 minutes without a response.
