Brex

Brex is very appropriate if you do not have a centralized purchasing function. It is great to raise and lower credit limits for individual cards. It is great to review expenses that employees have.It isn't as great for when multiple users are making purchases for the sale department. There isn't a good way to classify that.

Dext Prepare (with Receipt Bank)

For organizations that require in depth detail in their financials, meaning detailed records of every expense, Receipt Bank is a great option. Accounting firms that are preparing the books for their clients in a cloud atmosphere will most certainly appreciate the ease of use provided with Receipt Bank. But for organizations that are small in number of employees, and maybe they all have company credit cards and no expense reports, Receipt Bank isn't necessary. It's still a "nice to have" software, but not required because these types of employees won't be keeping copies of receipts anyway.

Pros

Brex

  • Rewards - The rewards were the main reason for us switching. Our previous card provider did not have a good rewards program.
  • User Interface and experience - When a charge is recorded on the Brex card, users immediately receive a text notification asking them to send a picture of their receipt. Brex automatically attaches the receipts to the charge which has saved our users a significant amount of time.

Dext Prepare (with Receipt Bank)

  • Key metrics on the submissions by clients and any delays. This allows for early identification where client may be struggling to get the information submitted to Receipt Bank, holding up the bookkeeping processing and ultimately delays in delivery of information to the clients.
  • Identifying unprocessed receipts sitting in the clients Receipt Bank file.. This assists in managing internal workflow and aiding team members who may find they need assistance in completing key tasks.
  • Identifying which clients are using Receipt Bank effectively and which clients need assistance. This can provide the opportunity to discuss with all clients what works well for them and what needs improvement by sharing some of the wins from other clients.
  • Providing managers the ability to review with ease the progress of Receipt Bank processing by client and by bookkeeper. This allows them to identify issues literally before they occur.

Cons

Brex

  • This is unusual but I struggle to write con's - everything has been seamless so far
  • Perhaps they could improve the UI/UX for uploading receipts when there are multiple photos

Dext Prepare (with Receipt Bank)

  • The system to automatically pull invoices in from various online services is temperamental
  • Almost too many features for a micro business like ours

It is very easy to use although some of the interface is a bit busy and there are a lot of features that I don't use or are not sure how/if I would use.

Brex support has been responsive whenever I have had a question. Users can contact them through the help screen when logging in or send emails. They have answered my questions quickly and always provide the information that I need to solve my issue. I have not had to work with support frequently as there are very few problems we've encountered with the cards.

I haven't had to use their support - I assume it is good, but the story of not needing it is better.

Alternatives Considered

Brex

Divvy allows you to get hyper focused in on how much individuals are allowed to spend. Honestly it is comparable to Brex, but is more well suited for micromanaging organizational spend.Brex is good because I am able to give my employees limits that match our budgets and I don't care about micromanaging their spend.

Receipt Bank is superior to Wave in terms of its accuracy of reporting and allocating expenses. Even though there is a fee for Receipt Bank and Wave is free, the monthly fee for Receipt Bank is well worth the money, given the benefits

Return on Investment

Brex

  • Realized return on all expenditure through points where previously this wasn't seen at all in the business
  • Ease of use and general increase in employee satisfaction. It would typically take one full day to lodge expenses at previous companies - now it takes a matter of seconds
  • Access to credit at an affordable rate

Dext Prepare (with Receipt Bank)

  • Saves hours per month preparing for BAS.
  • While it doesn't equate to a direct ROI in terms of dollars and cents the time it gives me back as a small business owner is time I get to spend with my family instead of the computer.
  • Nothing negative has been identified.
