BWise

Well suited for general compliance, multiple initiatives, and integration with TeamMate.SAP GRC Process control may be better suited for an SAP environment.Oracle GRC may be better suited for an Oracle environment.Overall, BWise is a very cost effective, and flexible solution.

Wdesk

Wdesk is best suited for companies with demanding SEC filings and documents, with multiple revisions due to auditor/counsel review, and where financial reporting is extremely manual. Wdesk really helps take out the potential errors out of extremely manual processes, and helps automate regular financial reporting by allowing companies to link financial information and build customized flows of their information into financial statements and other documents (such as presentations or other internal reporting).

Pros

BWise

  • Great reporting tool (uses SAP Business Objects). It is quite flexible on types of reports that can be created and supported. Also the reporting consultants are very competent and nice.
  • Highly customizable solution: almost everything can be tailored to an organization's needs, assessments, audits, issues, recommendations, tasks, etc. However, there's a trade-off between customization and the integration of different areas of the organization.
  • Increases visibility and efficiency in the organization. BWise offers centralized repositories (catalogs) that can be easily accessed and used by everyone in the organization (e.g. Process catalog, Policies and Procedures catalog, Risks, Controls, Laws catalogs, etc.). Also, the application allows findings on controls tested by Audit to be automatically reflected in controls monitored by SOX for example, without the need for SOX to retest them. So one area can leverage on the work of other areas increasing operational efficiency.
  • Increases integration and avoids silos. By choosing the correct design (e.g. Risk Workshops instead of Open Assessments), one area can see and benefit from another areas' work. An example was mentioned above; another would be Operational Risk area considering the results of Business Continuity, Vendor Management, Info Security, etc. assessments when carrying out theirs. Additionally, processes can be integrated: when contracting a new vendor for instance, one can include questions about data confidentiality and usage of models in the Vendor risk assessment. Answers to these could then trigger Info Sec / Model Risk assessments.
  • Increases accountability. Application provides full audit/change log with the type of change, name of executor, and date of change.
  • Easier follow-up. BWise sends automatic emails with reminders to the people required to take action on an issue, assessment, etc.

Wdesk

  • The biggest strength of the program for our team is that multiple users can work in the document at the same time. Multiple users can be in the program updating financial statements, footnotes, MD&A - all without stepping on each other's toes.
  • Rolling forward the documents from one period to the next is pretty simple. Links to source documents are maintained and new ones can be added without much hassle.
  • Edits and changes can be made right up until the last minute before filing. There is no waiting period or pencils-down period unless we enforce one ourselves - the Financial Reporting team is in control of the timing of our filings.

We believe that the usability of Wdesk is really very easy, accurate, reliable, and automated. The information in our documents is updated in real-time. The graphical interface is excellent, super friendly, and easy to see and use. No one has reported problems with using Wdesk. It is also easy to configure to limit the visibility of some specific information to specific users of the organization.

I have not had to deal with the Support Team, but overall our experience with the tool has been positive. They try to set new customers up for success from the start (I was part of the sales process, not the actual onboarding) and seemed to know that it’s a difficult transition, but worth it in the long run.

The main issues were managing the internal conflicts and competing objectives, rather than the capability and implementation of BWise itself.

Alternatives Considered

BWise

Wasn't personally involved in the vendor selection process. I am aware that one of the main drivers for selecting BWise was cost (I believe BWise total project cost was several times lower than MetricStream's).

Wdesk

We moved from a third party filer to doing it in house. Have seen demos of products like Active Disclosure, which has come a long way from the beta version I saw and but we are not too far gone with Wdesk for us to evaluate other products. When we first signed up with Webfilings, (former name of Workiva), there were no viable products in the market. I had seen an Oracle product and a beta version of Active Disclosure. It was not hard to see the ease and intuitive-screens, to guide one through the filing process. The excel-like spreadsheets were an added bonus.

Wdesk

  • We spend less than we used to with a traditional printer.
  • We have been able to do turn-on-a-dime equity offerings with last minute changes and still file on time.
  • Inviting external legal into the platform has helped with communication but we actually suspect they spend MORE time (and billing) on our documents than they used to just simply because it's so easy to get at them anytime they want.
