For an organization providing ABA service, there really is nobody else that even provides a remotely comparable service. It does have limitations and areas of the system that take more training or are less intuitive than one might hope, but their customer support representatives are generally really helpful and they are pretty quick to make updates to better serve their clients. They are incredible at finding efficient ways to reduce workflow, and while the product can be quite pricey, we have found that it has saved us at least 2 FT admin positions through the efficiency it has created and further frees up our clinicians so that they can focus in more on client outcomes. It's instrumental in our ability to scale our operations across locations. Even with its limitations, it's proven to be in a class of its own in the ABA world.
In my experience, problems with them adding incorrect fees to pad their bills coupled with their unethical business practices such as locking you out from accessing your EMR at the drop of a hat prevent me from recommending Kareo to any practice. Reliability is paramount. Kareo's use of unethical business practices (locking you out from your EMR or disabling your EMR all together) can result in a physician being sanctioned by the medical board (inappropriate medical record keeping) or financially destroy a small practice leaving them with NO ACCESS to their ERAs/patient billing accounts etc leads me to NOT reccomend their products or doing business with them.
Kareo stays up to date on insurance changes which allow for smooth transitions.
Kareo asks for feedback and has a place to go and request changes or additions that would make our job easier.
I love that you can submit a help ticket or call, if you prefer, with any questions or problems that you may have. They are always very prompt with their follow up.
I've spent hours on the phone discussing various issues with regards to data variance between two different source documents within the software. At one point, I could not reconcile the A/R balance on one of the dashboards to the A/R balance pulled from the Excel add-in. Unfortunately, their support teams were not able to help out with this.
The Excel add-in falls short in a few key areas. Specifically, they do not provide a simple method of joining data fields from the "charges," "payments," and "transactions" tables. One is left to attempt to join the data sets via VLOOKUP or INDEX(MATCH).
At times, we have had issues with the API providing information that would not tie out to figures reported elsewhere within the software. Unfortunately, their support teams were not able to help out with this.
Kareo Medical Billing is very user friendly and the support they provide allows users to get their questions answered quickly and efficiently. The wait time to receive help is usually pretty good and most of the time we can ger our questions answered. We have found that is the tech help is unable to answer our question, they will attempt to find a colleague who is able to help!
The user functionality is intuitive. The customer service is beyond other products which allows you to be more efficient and effective at using the system. Also, entering programming which is the primary use is very easy and also intuitive. Many parts of the system are connected which auto populate reports for our therapist. On the business side, the scheduling to billing is very effective.
We are much happier with Kareo than Compulink. The software as a service makes it easy to manage claims from multiple locations when I cannot be on site. The reports and all other aspects I have mentioned as distinct to Kareo. We had a very hard time tracking things with Compulink.
CR allows us to streamline across locations, share admin staff across locations and automate multiple processes that previously took administrative and clinical time.
CR actively seeks to continue to expand and refine their practices and products, and acquire related specialty services - a critical quality in a field that is evolving as quickly as ours is.
Using templates through CR and their scheduling and timesheet features ensures that we have an audit-proof system and that all sessions that we provide are in compliance with regulatory agencies for reimbursement.
