Some people seemed to be confused by too many options. Customizing your work in a digital workspace needs means rethinking your possibilities by knowing your toolset well. In the beginning, I was a little bit frustrated, because I didn't see all these options and there was a lack of best practise. Studying the large Podio App Store solutions helped me to understand. If you do not have the time it's the best moment for getting in contact with one of the Podio partners.

HubSpot

HubSpot is perfect for small to medium-sized businesses. It can be applicable for some larger businesses, but maybe not used in the same way. It does marketing really well which is the part some other systems are missing, so larger companies I've seen tend to use Salesforce and HubSpot together. HubSpot's CRM isn't as robust as other platforms, but it is also free. For small and medium businesses it is perfect because it provides many free tools and then you pay for what you need. The different levels are very helpful and fairly budget-friendly compared to many other systems. Our company is smaller and we use HubSpot across the board. We are in the process of implementing the Service hub. As we continue to grow, our needs may change. But, in the foreseeable future, I imagine we'll continue to use HubSpot for our sales and marketing needs. We are a software company so we use a different ticketing system, but the rest of the Support Hub is what we need to complete the circle of services. For any smaller company, I believe this would be a perfect fit. Especially if you are just getting started with a system.

  • Very easy for people without coding or technical skills to set up and maintain information in "Apps".
  • Platform is very easy to learn and adopt--it's intuitive.
  • Project management potential is awesome--instead of having to fit your projects into a structure that is industry specific, you can build an app that tracks what you want, in the order you want it.
  • Has a "relationship" field that allows you to relate an individual item or record to a record in another app. It effectively gives some of the functionality of a relational database.
  • Very useful for information sharing when staff members are in different regions or places.

  • Like a set of old-school Lego, you must know what you want to do with it before digging in. Just creating an account to “give it a try” won't do. This requires planning, and discipline to execute.
  • As of the date of the review, some functions, like CRM fall a little short of dedicated SaaS solutions. A lot can be achieved, however, with API and outside extension.
  • Again, as of date of review: No built-in task dependencies or Gantt chart functionality.
  • Somewhere along the line we lost Google Apps integration, which was a great way to clean the inbox. One used to be able to create a Task from within a message, which in turn would include the body of the email message for reference.
  • Calendar integration is convoluted. Global calendar, Workspace calendars. IT gets a little unwieldy to manage.
  • Sharing with clients is impractical.

  • As we don't use HubSpot's CRM, some of the data mapping to Salesforce is still lacking. However, HubSpot's dedicated support team is extremely helpful with providing solutions and we have a direct line to the product team, which is working our suggestions into its roadmap.
  • Initially, HubSpot did not support multi-currency. As an enterprise-level customer, this was essential to our deal tracking, as we conduct business throughout the world. At this year's Inbound, multi-currency capabilities were announced, and we're very excited.
  • HubSpot currently does not sync multiple deal flows. This makes reporting out of HubSpot for our sales executives difficult and means that we do not have a single source of reporting and have to rely on both SFDC and HubSpot.

I have a sales rep who is putting me in touch with a new support team member and we're supposed to have a meeting next week. It does not look particularly likely that we will end up choosing Podio based on my initial customer service experience, but I am not closing the door entirely. It's going to be an uphill battle for sure, but it is not entirely out of the question, particularly if they have improved task management on the horizon and can demonstrate a greatly improved attitude.

Hubspot shows you what do and makes it easy to find the help articles you need. Over all it shows the system status well. The only issue is when there are syncing issues so you'll have to save often and make sure to refresh so you know your changes synced with the server.

With all the new features in HubSpot, the system can get a tad slow sometimes... That said, most of the time it is lightning fast and I have no problems. Because most of the integrations are API, they silently work in the background. I have not had trouble with lag due to HubSpot integration

Podio support was always responsive and very quick to provide answers and assistance during the history of using this product, their support team has always been top notch. There have been several cases where calling podio support a feature was not available and they provided either workaround solutions or added the features straight into their roadmap.

I had a pretty serious programming issue in my onboarding period. I called and got to someone within 10 minutes. Their hold music was not elevator music, it was Andy Grammer's latest hits which made it seem like less time. They took note of the issue, tried what they knew, and then said they would work on the issue and be in touch soon. The issue was resolved within a day! And they were so pleasant to work with

I did the 2-day classroom at HubSpot's corporate office in Cambridge. First off, it was amazing to see their corporate office in general. They have such a cool office environment. But it was also great to have the ability to learn in a workshop format with other HubSpot users and meet my Account Manager/ Inbound Marketing Consultant in person.

Great training and helped my transition from traditional (outbound) marketing to inbound marketing that I've been able to apply to a number of businesses from wastewater and water reuse, to professional services and SaaS. Share information of value to build awareness and trust. Answer customers' questions in a transparent way to generate more qualified leads. Understand the difference between a marketing qualified lead and a sales qualified lead and put together a lead nurturing program. Your sales and marketing efforts will see significant ROI.

My biggest piece of advice for those who are implementing Hubspot is that you need to devote the time up front and learn how to use the product. Once you learn how to use Hubspot, it will be much more effective as well as much easier to use in the long run

Compared to Salesforce: Podio is not as robust as a tool for CRM tracking. It also doesn't have the in-email capabilities that SF offers. Compared to Basecamp: Podio is somewhat similar to Basecamp but doesn't offer the same functionality with checking items off and archiving projects.Compared to Zoho Projects: Podio is vastly superior to Zoho Project's lack of flexibility (requiring a development team to build) and accessibility by all members (Zoho Projects requires a very limited number of "owners" of projects which makes it difficult if multiple owners need to assign one or more people to a project).

HubSpot is a great tool that integrates with 3rd party apps like drift Salesforce. You can use these products together or just use HubSpot. HubSpot offers a great user experience (and by great I mean it's quite easy to learn). HubSpot acts as the central system for a number of other tools and it's API is very good for integrations with other tools, which is why it's so powerful.

While HubSpot initially, seven years ago, seemed built for SMBs it appears they have scaled their solution for larger enterprises. I do not have experience sending out 10 million-plus emails per month so I don't know how HubSpot would handle that. However, I do know that some other marketing automation platforms have had trouble with such scale. As such, I suggest HubSpot have one of it's enterprise customers share data on the length of time it takes to send out 1 million emails. Are we talking minutes, hours or days? Then decide what's right for you based on your business needs.

  • Podio is great for task assignment and tracking. The ability to enter and assign tasks from mobile and track their completion saves me several phone calls a day.
  • Podio outdoes email as my go to place to search for information. The ability to forward emails into the system, organize by projects and contacts, and search it all saves considerable time and confusion.
  • Podio has considerable potential to reduce overall admin time spent organizing information (filing, tracking, etc) The ability to keep a single record of a given piece of information without being tied to email vs file structure works very well.
