Industry-tailored workflows: ShareFile has 10 key industries and the workflow will match that industry. For example: for accounting, the app will display options for clients to sign documents, which cuts out on them having to post or fax documents. I think it is not as good for small businesses especially if you have part-time employees as paying for their access as well can add up quickly for overall costs

Dropbox

Dropbox is very well suited for SOHO professionals and small to medium-sized teams who need solid performing, reliable collaboration tools on a trusted cloud platform provider with very robust security. Where it falls short compared to Google Drive & Google Docs is in the document editing and collaboration tools within the office suite. If you're already using GSuite then you'd likely better suited with Google Drive, but as a long-time user of Dropbox, I still rely on it as both my professional and personal cloud of choice and part of my redundancy for cloud storage. I find the integration with Mac better than any competitors offering and the PC experience is better than most other cloud providers too.

Pros

Citrix ShareFile

  • I use ShareFile almost exclusively for sending or receiving documents. I recently had to share an entire litigation file, including dozens of photographs and videos, lengthy reports, etc. with another attorney. The ability to upload it to ShareFile and then send a download link to the other attorney made file sharing a snap.
  • Clients who are not technically savvy love it when I tell them they can send a large file to me by simply clicking on the link in my email and following the simple instructions from there.
  • There are a number of features of Citrix ShareFile that I will confess I do not use. It's collaborative feature (allowing people in different locations to work on the same files) appears robust. I just don't personally have a need for that very often.

  • Dropbox has the ability to automatically sync from other sources. When our Appraisers use their tablets to take pictures, it is set up so that the pictures automatically upload to a folder in Dropbox so that the staff back at the office will then have access to the pictures as well.
  • Dropbox is very easy to use. There is a list of folders on the left-hand side. You simply click and go to each folder to pull up files. You can rename the folders, sort by date, etc.
  • Dropbox has several different options for storage size options. An individual can choose a smaller package or a large corporation could choose bigger packages. There is also a free version that is great for saving pictures from an individual phone or another device.
  • Dropbox has a search feature that saves a lot of time. If you aren't sure where the file you need is, use the search function to quickly find it.
  • Dropbox is cloud based so there are no bulky servers taking up space!

Cons

Citrix ShareFile

  • Annotations, annotations, annotations. I love them, BUT there is this very annoying problem where, if I begin typing an annotation, someone else starting to type in an annotation will stop me (even though I started before them) from writing. It actually removes anything I wrote. You'd think this would have been caught early on, but it has been an issue for over a year and is very frustrating for me. Our workflows typically involve 4-5 people, but sometimes up to 10. When a workflow gets initiated and we get the notification email, many of us pop in there at the same time and fight over who is annotating what. When we have a doc that is 8+ pages long, it becomes highly time-consuming for this reason alone.
  • Back to the annotations again, if there are many markups on a page, it is nearly impossible to figure out where the annotation belongs. For example, if there are 3 on one page, it's very easy to follow the line to the area the annotation belongs. But when you get conversations in the annotations (e.g., 'Change this to XXXX' and someone replies 'Would you prefer if YYYY were moved to replace XXXX?') which naturally happens, and when those annotations stack up (such as in our product mailers that display 6 product images, titles, prices, SKUs, sub SKUs, content blurb), that takes up space FAST. You can't click an annotation and follow its track. You're left to figure it out on your own.
  • There is no animation support for .gifs. I don't know if this is intentional, impossible, or what. But we are moving more into .gif graphics and it's impossible to see the animation within ShareFile. We also cannot annotate .gifs, so there's that.

Dropbox

  • I find it very difficult to share individual folders or subfolders that are within shared folders. For instance, if I want to share just one file, it doesn't allow me to share it with someone who doesn't have access to the shared folder. I don't want to grant access each time to the entire folder, just to the file.
  • I don't love the layout--it's functional, but not inspiring, and it hasn't been updated in so long. It seems as if it's been the same since Dropbox started. I enjoy when products surprise me with functionalities I hadn't even thought of.
  • I don't find the suggestions on the home page helpful. I prefer the layout of Google Drive, where home takes you to things you accessed recently, but also to the entirety of your drive. I don't find the suggestions or the messages on the home page very helpful.

The cost is fair and the program does what it has promised to do. Customer service is attentive. I'm not aware of any better-sounding file sharing systems out there that would tempt us to discontinue ShareFile.

Dropbox is a user-friendly, easy tool which requires little to no skill and they offer a free version with a good amount of storage available. There are other file sharing tools available however at a cost. Dropbox free version I have used for years and it serves every purpose I need.

I give it a 10 for an overall rating for several reasons.1. Technical Support is one of the best around. I get immediate help and resolution to any issue I have faced.2. The product is simple to use and provides businesses with amazing features to streamline the sharing of large files.3. The product is easy to deploy and manage. As an IT Manager, it is important to have control over your data.

It’s extremely easy to use on any device. I can set access to whole folders or only certain files. I can print, share, and save with very few clicks. I’m able to save high-resolution photos without taking up a ton of space on my phone and can send a link to those files that are too large to email or text.

ShareFile has several qualities, has great integration, great online collaborative editing among several members, secure file sharing. ShareFile has some weaknesses, nothing alarming or serious, details that can improve, therefore putting everything in the balance I believe this is a fair rating for the Citrix ShareFile

Dropbox is really useful, you can access any file from anywhere and you can upload and even edit files online, but, sometimes it can be slow. Downloading, uploading, and syncing is a bit slow, it can take several minutes. Furthermore, the search engine for large amounts of data can be slow too and it is not powerful.

Incredible. No one likes to take time to have to call support (we want it just to work), but when I have had to, my problems have gotten fixed quickly and accurately.

Any time we reached out to support they answered us and helped us resolve things. I did not give a 10 because often the issue needed to be addressed immediately, but it would take 1-2 days to hear back from the support team. It would be better to have quicker answers or a dedicated rep to call instead of a call center or entering in a ticket.

Alternatives Considered

Citrix ShareFile

Much smoother integration with sync, outlook, and the file structure. Everything works well and without much input after initial setup. Allows for document collaboration with office products and other important integrations. We frequently had problems with OneDrive backing up information automatically, which drove us to look for something better even though we have OneDrive through our Office365 subscription

Dropbox

Compared to all the file-sharing services I've used, Dropbox is the most reliable and easiest to use. They've also done a nice job of adding features/functionality over the years.Actually, one thing I've yet to mention: Dropbox has done a great job of compatibility with different file types. For instance, I could create a design in Illustrator and share the file with a client through Dropbox. For clients that don't have Illustrator, Dropbox will still allow them to view the design.

Return on Investment

Citrix ShareFile

  • ShareFile has allowed us to more efficiently share large files with our clients. If we did not have this system we would have to break down files into multiple attachments, which could affect the quality of the final product, thus affecting client relationships.
  • ShareFile has not negatively effected our ROI by any means. Its price is fair, and we are much better off with it than without it.

Dropbox

  • Due to the nature of the business, it has worked as a solution for file collaboration without the need for expensive hardware.
  • It has eliminated the need to purchase flash drives and the possibility of losing them.
  • It enables and boosts the efficiency of telecommuting.
