Industry-tailored workflows: ShareFile has 10 key industries and the workflow will match that industry. For example: for accounting, the app will display options for clients to sign documents, which cuts out on them having to post or fax documents. I think it is not as good for small businesses especially if you have part-time employees as paying for their access as well can add up quickly for overall costs

OneDrive works well when you have dedicated resources to manage and keep the backing SharePoint site organized, and a team that's most familiar with Microsoft Office products. For a more tech-savvy teams that rely more heavily on real-time collaboration, Google Drive may be a better choice.

Pros

Citrix ShareFile

  • I use ShareFile almost exclusively for sending or receiving documents. I recently had to share an entire litigation file, including dozens of photographs and videos, lengthy reports, etc. with another attorney. The ability to upload it to ShareFile and then send a download link to the other attorney made file sharing a snap.
  • Clients who are not technically savvy love it when I tell them they can send a large file to me by simply clicking on the link in my email and following the simple instructions from there.
  • There are a number of features of Citrix ShareFile that I will confess I do not use. It's collaborative feature (allowing people in different locations to work on the same files) appears robust. I just don't personally have a need for that very often.

  • Selective folder sync - you can easily pick and choose which folders sync to a person's computer
  • The actual file is not synced until it is needed - you see the file, but until you need it, it takes up no space on your device!
  • Available on virtually any device that has internet access - phone/tablet apps, browser based access, sync client access

Cons

Citrix ShareFile

  • Annotations, annotations, annotations. I love them, BUT there is this very annoying problem where, if I begin typing an annotation, someone else starting to type in an annotation will stop me (even though I started before them) from writing. It actually removes anything I wrote. You'd think this would have been caught early on, but it has been an issue for over a year and is very frustrating for me. Our workflows typically involve 4-5 people, but sometimes up to 10. When a workflow gets initiated and we get the notification email, many of us pop in there at the same time and fight over who is annotating what. When we have a doc that is 8+ pages long, it becomes highly time-consuming for this reason alone.
  • Back to the annotations again, if there are many markups on a page, it is nearly impossible to figure out where the annotation belongs. For example, if there are 3 on one page, it's very easy to follow the line to the area the annotation belongs. But when you get conversations in the annotations (e.g., 'Change this to XXXX' and someone replies 'Would you prefer if YYYY were moved to replace XXXX?') which naturally happens, and when those annotations stack up (such as in our product mailers that display 6 product images, titles, prices, SKUs, sub SKUs, content blurb), that takes up space FAST. You can't click an annotation and follow its track. You're left to figure it out on your own.
  • There is no animation support for .gifs. I don't know if this is intentional, impossible, or what. But we are moving more into .gif graphics and it's impossible to see the animation within ShareFile. We also cannot annotate .gifs, so there's that.

  • The editing in One Drive is limited compared to the computer versions of Word, Excel, and Power Point.
  • One Drive sometimes takes a while to sync files. We have noticed they are not immediately updated.
  • One Drive is not entirely compatible with Goggle Documents, there are some formatting issues when using the same document formats.

The cost is fair and the program does what it has promised to do. Customer service is attentive. I'm not aware of any better-sounding file sharing systems out there that would tempt us to discontinue ShareFile.

I give it a 10 for an overall rating for several reasons.1. Technical Support is one of the best around. I get immediate help and resolution to any issue I have faced.2. The product is simple to use and provides businesses with amazing features to streamline the sharing of large files.3. The product is easy to deploy and manage. As an IT Manager, it is important to have control over your data.

I have given it this rating because it accomplishes the basic task that we use it for, storing and protecting our sensitive data. That being said, I hesitate to give it a completely positive rating, because I feel that the software performs at a bare minimum level, skimping out on some of the bells and whistles that would be nice.

ShareFile has several qualities, has great integration, great online collaborative editing among several members, secure file sharing. ShareFile has some weaknesses, nothing alarming or serious, details that can improve, therefore putting everything in the balance I believe this is a fair rating for the Citrix ShareFile

It has a good performance, the pages load normally, access to the files, management, reports, everything is working well. With regard to integration with other systems, we have not done so yet.

I haven't needed it for awhile, which is a good indication of the product for sure. A year or so ago I was having some trouble with the product and did find it difficult to get assistance from support, but I can't really speak to how that may have changed in the last year. Things have gone smoothly for almost a year now!

Echoing my previous comment from the feedback they are willing to receive. Any time we've had questions we've received a response usually same day unless it is more urgent then we are seeing a turnaround much quicker. I haven't been involved with those escalations, but I have heard how great and easy the team is to work with.

Alternatives Considered

Citrix ShareFile

Much smoother integration with sync, outlook, and the file structure. Everything works well and without much input after initial setup. Allows for document collaboration with office products and other important integrations. We frequently had problems with OneDrive backing up information automatically, which drove us to look for something better even though we have OneDrive through our Office365 subscription

The only things that OneDrive does better then everyone else is the integration into Sharepoint/Office documents and the 1TB storage at this price range.

Our corporate solution is Google Drive mainly because of the robust client, better cooperation inside documents, better support for other OSs, etc.

If you really need to storage OneDrive is probably the cheapest option out there, but you would also not need the more advanced features that most others offer.

Return on Investment

Citrix ShareFile

  • ShareFile has allowed us to more efficiently share large files with our clients. If we did not have this system we would have to break down files into multiple attachments, which could affect the quality of the final product, thus affecting client relationships.
  • ShareFile has not negatively effected our ROI by any means. Its price is fair, and we are much better off with it than without it.

OneDrive

  • Modest increase in productivity inasmuch as I no longer have to VPN to my local office machine to upload an updated version of a document I downloaded from our storage location and worked on.
  • Has allowed some sequestration of personal contents I store on there, wasn't available on our earlier mass storage.
