Clarizen One

Clarizen got the job done with time tracking and expense reports, but it didn't do enough to make our organization continue using it. We ended up switching because the key stakeholders (resource management) were unhappy with its offerings. This might be a good fit for smaller organizations that require less feature and capabilities. Instead, our company switched to OpenAir, which has more robust time tracking, expense reports, and PTO accrual and monitoring programs.

SAP PPM

The far-reaching integration of the capabilities for financial planning (SAP FI/CO) in SAP PPM delivers major advantages. If financial planning is most important for your company and you are already using SAP, I strongly recommend SAP PPM.In the other hand, if you want flexibility, low-cost, and the best user experience, you might look into different solutions. Because of that, the product's usefulness will vary depending on your purpose.

Pros

Clarizen One

  • Highly customizable, can develop organization specific workflows, modules, etc.
  • Interface (in most instances) is easy to use. Timesheets, project details, and report modules are fairly easy to navigate and understand.
  • Good comms tools like discussions, group pages, automatic reminders and notifications.

SAP PPM

  • SAP is a powerful financial system. If you want to manage your financials program and work on projects more professionally, SAP PPM should be your first choice.
  • As a manager, you want to trust your software vendor to not sell or not give up on the tool you use. SAP can mostly be trusted in this sense. If you compare it, for example, with HP Software (HP Software recently sold their PPM tool to Micro Focus).
  • It's valuable to be a part of the big thing. A lot of fortune 500 companies have SAP tools, and it looks very nice in your resume.

Cons

Clarizen One

  • Export: I'm not wild about the export options. We created a custom project plan formatter to turn the ugly export in CSV to a customer facing color coded PDF. It's not super easy to give your customers something pretty to look at (although they do offer PPTs)
  • Gantt Charts: All I want in life is a nice little high level set of milestones to pop into a slide I'm showing to a steering committee. It's just not something the system does. I've just had to screen shot a hard to read gantt from the system or recreate in PPT or Visio. No fun
  • Speed: I am not sure what's going on here but Clarizen can be pretty slow to update small changes to project plans. It's rough when you have a laundry list of changes to make but the system is waiting

SAP PPM

  • Menus can be confusing at first. The interface is a little non-user-friendly. The web Dynpro based UI is not as flexible as new age Web pages.
  • Performance is highly dependent on system resources. Changing the central rules is too costly.
  • Scheduling is a big problem when people want to work from out of office.
  • It costs more if you compare it with competitors.

I give my renewal of this product a 9. It's only because we never know what product may come out next and how other factors in our office political environment may cause impact upon this. If I always had my way, this is what we'd settle on as our de facto project management system.

It is easy to configure, intuitive. The customization process is in some ways better than Salesforce.com. It has a great UI. It does however depend on how it's implemented.

The design of it is generally fine, however the ability to data upload people from a spreadsheet is an obvious miss.

Sometimes it is slow when everyone is entering their time on Fridays or Mondays but other than that we rarely see downtime and maintenance notifications are well in advance.

It's a good experience overall. Clarizen was useful when needed. It's mostly needed for advice on how to do more sophisticated actions or how to change something that was set up administratively. It's seldom used otherwise. The product consistently works, the documentation is acceptable, and the generally intuitive product is easy enough for most staff to pick up without much issue.

• We worked with a Project Manager on their side. He was very good about developing a project plan to hit our goal. I think we had weekly or twice weekly calls – very steady cadence over 3 month period.
• Their PM skills were great – kept us on task. For the last week, they sent 2 people on site and they did training for power users. After that a couple of them revisited here

Our trainer, Alex, is exceptional and knows the product really well. I swear he must have wrote the product himself! His manner with training is very easy going, gives you homework that is applicable to what you need to learn and stages it correctly for you. It was a pleasure to be trained by him.

I performed the implementation with our Clarizen provide trainer, who knew the product 100% and it went quickly and without a problem. It was a pleasurable process without the problems other software implementation often encounter. Kudos to the Clarizen team for making this a worry free process for their clients because it is worry free.

Alternatives Considered

Clarizen One

There were several others I reviewed that I can no longer remember but none of them compared to Clarizen when it came to flexibility. Many factors sold us on Clarizen but most importantly it was that Clarizen was capable of wrapping itself around our existing processes instead of us changing to to meet the software tool. With that said, we are now looking at changing some of our processes due to the fact that Clarizen is such a powerful tool!

SAP PPM

Our company uses different PPM tools for different business units depending on different purposes. Software Business Units want to bill activities based on activity-based costs, and want to follow project financials tightly. In addition to that, the company is already using SAP for financials. For example, our internal IT unit is using a different tool because they don't need to follow all of our financials, just the purchase cost.

Return on Investment

Clarizen One

  • Great customer feedback related to real-time availabilty of project status. We could tailor gant charts to various customers within an organization fairly quickly.
  • Seeing real-time breakdown of costs and time for projects was great. The main page with summary charts was a great way to get information at a glance.
  • Clarizen use definitely helped us stream-line project planning and assisted with identifying bottlenecks.
  • We run many projects in parallel with similar timepoints (pre-, interim-, and post-). The software was pretty straight forward, permitting us to create one project outline then dupiclating it (as a template) for a number of others.

SAP PPM

  • We can easily bill our consultant and bug-fix activities to our customers over SAP PPM and SAP FI. It's not easy, but there's a trusted and natural integration between the PPM tool and Financial tool.
  • Provides a real-time view of all projects and their costs. Based on predefined cost types, planned and actual costs are set regularly for each project (resources, equipment, consultants, etc.).
