Personally, CloudApp ticks all the boxes when it comes to a screen recording and productivity tool. These are the most popular ways I use it (at work and home):
  • Take screenshots of "marketing done well" and industry news and share with the team on Slack.
  • Take screenshots of essential information and store it in notes.
  • Review short copy by taking a screenshot and using annotations to highlight where changes could be made.
  • Review a website page by following the same steps above to highlight the desired structure to the product designer.
  • Record a GIF of our new product feature to share in a newsletter or blog.
  • Record a GIF to record a user journey and share with the support team.
  • Record a short video to explain how to access/find stuff.
... and the list goes on!

Guru is an exceptional tool for any Sales and Customer Success organization. How many times have you gone to a Google Doc, or Confluence page and wondered is this content the most up-to-date, or when was the last time this was edited. Well Guru solves for that and so much more. We have been using this tool on our team for over two years now and each new employee that joins our team says how much they wish this tool had been around at their old job.

Pros

CloudApp

  • CloudApp makes taking GIFs, videos, and screenshots very quick and easy. Very little training was required for CloudApp because it is a straight forward tool.
  • We love the feature that allows you to annotate images and videos to highlight certain areas. This is especially important in Support when explaining something to a customer.
  • I like that CloudApp makes sharing files very easy. In just the click of a button, you can choose how you'd like to share a file with someone else.

  • Organization - This is really a two-fold strength. Yes, GURU provides organization for overall knowledge, but the tool itself is also extremely flexible with how that organization can be attained. We, at present, have 6 distinct collections of knowledge for everyone in the company to access with nearly 1200 cards of specialized knowledge which are easy to access and locate. There are still more cards to create and I have no fear that it will clutter and mucky-up GURU to a point where it becomes unwieldy. GURU is designed in such a way to make that difficult to do.
  • Chrome Extension - The mere existence of a Chrome extension is bewilderingly amazing. Rather than needing to launch a separate tab in Chrome, the extension offers a mini search bar with top results in about 2 seconds. This makes using GURU too easy. I do not want to increase the amount of tabs I have open in Chrome (Chrome is memory intensive) and I do not have to with this extension.
  • Automatic Verification System - It is pretty fantastic that with this high level of organization comes a huge responsibility to ensure the accuracy and correctness of the body of knowledge. The good news is that its automated at your discretion. We have many cards set up to require re-verification every quarter (things change fast in our world) which is extremely helpful. Otherwise, new employees might learn from incorrect information and existing employees may have incorrect information reinforced. With the verification system, we don't have to worry about that

  • While annotations are nice, editing features are lacking overall. You can't trim a screenshot or crop it once you've taken it, so you'd better be perfect with your capturing on the first try.
  • The web library for managing your past captures is hellacious. There's no deleting mistakes, no real categorization like tags, and the drag and drop adding is glitchy at best.

  • There is no notion of "drafts" (yet). This can be difficult when you want to write something in Guru but you're not necessarily ready to share with the world yet.
  • There is no way to add default search filters. As an administrator of the tool, this means I have to choose between restricting the information that certain users may not need on a daily basis or allowing said information to dilute search results simply because it might be useful to them at some point.
  • My users occasionally complain of slow performance, and of losing in-progress cards entirely if their browser crashes.

In all honesty I don't even have time to look for an alternative to CloudApp at this point in our business. CloudApp works for what we had planned to use it for and unless a competing service that offers the same quality and ease-of-use along with video screen capture comes out I will renew indefinitely.

I would give cloud app a 10 out of 10 if the video screen capture portion of the tool worked flawlessly and the addition of few suggestions like full-page screen grab and the quicker ability to download screenshots or screen videos to my hard drive. I don't mean to repeat a feature request here being that features would heavily improve usability in my particular usage situation.

I would give cloud app a 9/10 score on overall support mostly because I have had very little need of any support at all being that the tool was designed almost to use itself. In my opinion this level of forethought is equal to customer support. As of yet I've only had one real problem with cloud app which was the loss of a 20 minute video screen capture. Unfortunately I have not had the time to contact support about this loss. The only other minor issues that I confronted was within the initial set up which I was able to resolve via their website's support pages.

I never actually required contacting the Guru support team. That could be because creating new Guru cards or editing existing ones was very intuitive. One issue I did have was that when it came time to export all of the content in Guru it was very difficult and cumbersome so I would recommend making that an easier, cleaner process.

I was extremely satisfied with how quick and easy the implementation of Cloudapp was on my MacIntosh using MacOS Sierra was, along with how amazingly fast I was able to be up and going with the tool. most often with sass tools we are lucky if we can use 50% of the features without having to have consultations and a ton of back-and-forth email on how to use other features of the product. Cloud app has made it extremely user-friendly with almost no need for customer support. To My business, that equals time savings which as most business owners know, can be far more valuable than a few dollars saved.

I need to point out that I love Snagit. It's a fantastic product, but there are different use-cases. CloudApp for me is about quick and efficient sharing. Snagit doesn't really allow for that. Yes, they have a cloud sharing option, but for the entirety of me using the program, it hasn't worked right. You'll have to try both to see what I mean.

Google Drive is an excellent tool for database and large file sharing but very clunky when needed for quick-hits or answers. Guru had come in and knocked it out of the park. Guru has given us the ability to utilize both successfully throughout multiple teams.

Return on Investment

CloudApp

  • Speed. It's incredibly quick and easy to share images, gifs, and videos. That saves us time and makes us more productive.
  • Storage. Everything is kept in one place, so it's easy to go back and reference/keep track of. It keeps us from hunting down previous shares.
  • Annotation. It's very quick to mark things up before sending! Again, the primary benefit here is speed.
  • Cash. We'll occasionally share videos with prospects so they better understand our offerings. Some of those people become customers!

  • We no longer have a continuous conversation between support and developers allowing developers to focus on developing.
