Concur is great for a company or department that has many employees who get reimbursed for expenses. It is robust, with reporting functionality, an app, and the ability to book flights and hotels. I think for a bigger company it's excellent but for a smaller company with fewer employees, a simpler option should do just fine.

I'd be likely to recommend Salesforce to anyone who has time or resources to develop the system to meet their needs - or to hire that out to another firm. Salesforce is a HUGE tool that comes as a blank slate. and not appropriate for any firm that cannot have a near full time support person or developer.

  • Searching for flights and lodging - It's easy to search for specific hotels in target cities and it's nice to know that the options surfaced are company approved/preferred.
  • Knowing what is "out of budget"- I appreciate that Concur flags if a selection is beyond what we'd typically pay for a service/stay for that given location.
  • Expense Reports - It's easy to combine all expenses into one report for approval. I like doing this for a months' worth of expenses at a time, as it streamlines the approval process for my manager.

  • Salesforce nails the reporting suite. It's so robust and refined, that it makes my job 10 times more efficient.
  • Task and recurring meetings. I love logging in everyday and knowing exactly what I have lined up for the day, or at least an idea of it. This helps me organize my calendar.
  • Notes, emails, plugins. I love being able to take notes directly into the Account/Opportunity, and then in turn send emails directly to the client from there as well. Also, if i'm in my work email, and I email a client directly, I can then easily attach said email into my Salesforce account via one easy click.

  • Breaking out baggage fees into a separate expense type could be helpful as they are so prevalent.
  • General comment on most Concur interfaces: getting to the comments section or the audit trail is not easy.

  • Quick access to report "button(s)" on dashboard. Right now you have to go to the Reports Tab, find the report template and run it. In Sales, we look at the same reports daily, and for individual sales personnel, being able to click 1 button to get to their accounts with the through date always being updated to "today" (so it doesn't have to be selected every single day before running the report) - would be of great help.

To get the same functionality you would need numerous disparate tools to match the amount of functionality Salesforce has. I really like the app. It's easy to add receipts. I can easily find the categories for my expenses as well. I think some of my confusion and frustration with the product comes from the account numbers my institution assigns to purchases. I do with that Concur saved commonly used accounts so it would be even easier to complete my reports.

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

All Force.com apps run on world-class data centers with backup, failover, and disaster-recovery facilities. Force.com has had a proven 99.9 percent uptime record for years. Accordingly, I only recall our instance of Salesforce having one unscheduled, brief down time over 6 years. I can't remember for sure, but it may have been due to our Internet Service Provider (ISP) versus Salesforce itself. Also, Salesforce does it's best to keep customers in the loop:

Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

Executive involvement is critical. Make sure you have a good handle on the metrics you would like to ultimately manage. Work as a team to document your business requirements. Whiteboard often. Understand Salesforce's best practice capabilities.

Have a central person identified to handle all report and analysis requests (ie - don't allow multiple people to create reports; have one person create reports and distribute them to decision makers via the Salesforce dashboard or whatever form). Make sure you understand critical dates and develop the project plan accordingly

We used PeopleSoft for travel previously. It was great, easy to use, could crank out an expense report in about 10 minutes. It was easier than Concur Travel and Expense to deduct anything that wasn't eligible for reimbursement, ex: room service, personal flights. Could still see expense reports fairly easy. PeopleSoft's travel library portion isn't as optimal as Concur's.

  • We've had substantial gains in productivity in auditing. We saved 1 FTE by enabling certain audit rules in the software and moving to a sample audit instead of a 100% receipt audit. We estimate this savings at $90k annually. We saved an additional 1/2 FTE when we implemented Detect. It uses AI to read and audit all receipts and reports. So we now do 100% review for $150k less per year.
  • We were able to incorporate a Corporate Credit Card program for all of our employees, which earns us an annual rebate of $200k.
  • Using mobile capture for receipt images saves us an average of 5 minutes per expense report. Since we submit over 12,000 reports annually, we estimate this saves us about $50k per year.
  • Through partnership apps like Uber and Lyft, we estimate we save about $20k annually from the cost of traditional transportation methods.
