Concur is great for a company or department that has many employees who get reimbursed for expenses. It is robust, with reporting functionality, an app, and the ability to book flights and hotels. I think for a bigger company it's excellent but for a smaller company with fewer employees, a simpler option should do just fine.

  • Searching for flights and lodging - It's easy to search for specific hotels in target cities and it's nice to know that the options surfaced are company approved/preferred.
  • Knowing what is "out of budget"- I appreciate that Concur flags if a selection is beyond what we'd typically pay for a service/stay for that given location.
  • Expense Reports - It's easy to combine all expenses into one report for approval. I like doing this for a months' worth of expenses at a time, as it streamlines the approval process for my manager.

  • The tax piece of Kronos was the one thing that has made me slightly regret my decision to use Kronos. We have 7 EINs so we have a lot of taxes to file on a quarterly basis. The BSI system we have to use (which is a third party) is terrible. We have had nothing but problems with it. BSI has some agreement with Kronos that doesn't allow us to speak directly with BSI and it's extremely frustrating. We are on our 5th quarter of filing using the BSI system and are still having issues. This is not much of an automated process and the BSI system seems so far behind Kronos' technology. It's not user-friendly and has definitely caused a lot of issues. If there was one thing I would change about Kronos it would be the tax filing portion. Maybe if we didn't have to use BSI it would be different. The systems I have used in the past have processed our quarterly taxes for us so this was a big change for me.
  • I do not like that the system allows employees to request vacation time that they may not have available. Employees can request time off even if they don't have any vacation available and if their supervisor approves it, it populates in their timecard. I have caught several employees with negative vacation balances in the system. I think it should not allow them to request this time off if they don't have a current balance in the system.
  • When you terminate an employee, their benefits don't automatically terminate. You have to go into each active benefit and put the termination date in or your reports won't be correct. This should be something that automatically occurs once you terminate that employee.

I really like the app. It's easy to add receipts. I can easily find the categories for my expenses as well. I think some of my confusion and frustration with the product comes from the account numbers my institution assigns to purchases. I do with that Concur saved commonly used accounts so it would be even easier to complete my reports.

WFR is very customizable. Only a few things are off limits....surprisingly the most basic screen, the employee time sheet, IS NOT able to be changed. Almost every screen/report users can add/remove fields. Menu setup is fairly easy with the exception multiple versions of a report CANNOT be directly linked to. They are supposed to be updating this in a future release but at the moment it is cumbersome for users to switch to different versions of the report.

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

The system seems very stable. Being hosted in the cloud, we are vulnerable to internet speeds and busy times. The system has been down a couple times over the 3 months we have been live, but Kronos resolved the issues very quickly. To have access from a desktop, tablet, time clock, or phone app is one of the best features....users have almost NO REASON they can't clock in.

We were always told that Kronos was the best, but there are reports that we got out of ADP and other payroll providers that we cannot get out of Kronos. One example is a report of Productive/Non-productive hours by department. We also need the dollar amount associated with the hours. This is information that is required on our cost report and we were told that that report is unavailable. It is very frustrating when I can't get what I need.

We did not get much support when we were trying to implement. We felt like we were the only company with requirements for both Canada and the US and this seemed odd to us because North America is the most common place it was implemented. We found there was no integration with our source system so this made us have to create files so we can update members by position and make sure the right managers are in place for each group. We were not able to produce the requirements in a timely manner and we were not treated respectfully by the project manager from Kronos at the time

Lots & lots of training available. Timing was wrong for our organization. We had lengthy down time in the beginning while the implementation consultant setup our system. We did online training then. Difficult to train on a generic system setup that isn't your industry and hard to understand what you are learning how to do w/o actually being in your system. Online training was well documented and the instructors were very knowledgeable.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

DO NOT attempt to go live too quickly. Sales sold us on 100 days from contract signing was doable. We postponed go live 3 times because everything was not ready. We did not have enough time document the new functionality & train end users. Almost 3 months later we are still working through export issues, minor setup issues, adequate time for system admins to get comfortable with the system.

We used PeopleSoft for travel previously. It was great, easy to use, could crank out an expense report in about 10 minutes. It was easier than Concur Travel and Expense to deduct anything that wasn't eligible for reimbursement, ex: room service, personal flights. Could still see expense reports fairly easy. PeopleSoft's travel library portion isn't as optimal as Concur's.

In comparison to the previous payroll system, Kronos is 150% better in user friendliness, time tracking, data exporting and updates for changes as implemented. There are webinars scheduled by Kronos to make the users aware of changes and improvements to the system and technical support to assist with issues as they arise. The old system had technical support but they made the changes that were needed and took time to make those changes. By contrast, Kronos technical support walks us through the process to make the changes and empowers us to make the changes adhoc.

  • We've had substantial gains in productivity in auditing. We saved 1 FTE by enabling certain audit rules in the software and moving to a sample audit instead of a 100% receipt audit. We estimate this savings at $90k annually. We saved an additional 1/2 FTE when we implemented Detect. It uses AI to read and audit all receipts and reports. So we now do 100% review for $150k less per year.
  • We were able to incorporate a Corporate Credit Card program for all of our employees, which earns us an annual rebate of $200k.
  • Using mobile capture for receipt images saves us an average of 5 minutes per expense report. Since we submit over 12,000 reports annually, we estimate this saves us about $50k per year.
  • Through partnership apps like Uber and Lyft, we estimate we save about $20k annually from the cost of traditional transportation methods.

  • Kronos Workforce Ready has had a very positive impact on our organization. We set up notices that go to the managers to alert them if an employee shows up late for work or comes in late after lunch. It also alerts the manager if an employee is approaching overtime hours. This has helped our bottom line greatly.
  • Kronos Workforce Ready has reduced the number of payroll errors and increased productivity by having the timekeeping module flow directly into the payroll module. We used to have them hand send in paper time sheets which we had to key into the old payroll system. That took a lot of time and there was ample opportunity for mistakes.
