FormAssembly

FormAssembly has been an essential tool to have in our back pocket. It's best when you need a form quickly and can compromise on some of the dynamic elements that would be possible in Visualforce. It serves a particularly critical need when skilled developers are at a premium, but clever admins are available.

Formstack

I would use it for Admissions, HR, and Administrative purposes. It automates and streamlines processes like no other. However, I would not recommend it for someone unaware of the third party integrations. You can pull a CSV, but that can become burdensome. If you know Google Sheets, you can create a filter to make the data manageable. For someone who knows how to do this, Formstack is wonderful; if you don't, be prepared to feel lost on data until you get the hang of it.

Pros

FormAssembly

  • Declarative connectors for Salesforce, payment processing, etc.
  • Form logic customization
  • Layout customization
  • CSS and Javascript embeddding

Formstack

  • Ease of setup - we can create something almost immediately.
  • Conditional logic - enables the shortest form possible to be presented to the user, so forms can be comprehensive, but users only see the fields they need.
  • Themes - allow us to make a form look exactly how we want them to look.
  • Embedding - forms easily embed into our website, making the presentation seamless.
  • Integrations - allow our users to harness submission data in the ways that they need.

Cons

FormAssembly

  • I've always thought their Theme builder was a little bit lacking. It works, but it doesn't feel quite as smooth as the rest of the form builder.
  • I wish there were stronger in-form calculations, similar to something like calculoid.com.
  • Sometimes formatting feels wonky when you choose a form-level format, then update specific fields. I wish there was some sort of "outline" tool for formatting specifically, so you could easily see what formats were being applied to each field. Sometimes I spend way too much time on formatting.

Formstack

  • As I stated in one of my pros, Formstack integrates well with Google Docs for data hosting. The reason why we utilize this is because there is not an easy table view of data in Formstack. You can view each complete entry separately or you can view charts and averages, but it's not easy to reference otherwise.
  • There isn't an easy way to undo when creating/editing forms. There have been a few occasions where I have accidentally deleted a portion of credit card information and have had to delete all of the rest and reinsert and connect the elements.
  • Managing the themes can sometimes be tough to do as there isn't a clear 'preview' option for that screen and you have to toggle back and refresh a form to see how it will layout on the page and go back and forth a bit to determine the best look/fit.

One major point for us is our migration to a completely Microsoft infrastructure. IN addition to that, the afore mentioned need to ingest external data resources means that we do have our eyes open toward the landscape so that we can fill these needs. This in no way indicates a move away from FormAssembly: their support is first rate, and so far the product has always stood up to the tests we've put it through.

Formstack makes it very easy to update and reuse forms as you have alternate uses for them that are similar to prior projects. If you know what you need and don't want to build it from scratch, you can take a previous form you've built or a template they have offered and start there

Well written, modern software. Works as expected for software of 'today.' Does not operate like something from five or ten years ago...like a legacy platform. Continuous improvements are nice to see.

While it's not a true development package and misses some features like ingestion of external data for lists, etc... the product is fast, stable, easy to use, and will suit the needs of anyone needing online form functionality with SalesForce and other connectors available for your marketing needs.

Formstack has awesome support! They are always quick to respond and genuinely care for their clients' success. They will work with you to find a solution or let developers know about your feature request. There are a few things on the feature request forum that I wish they would implement sooner, but I am at least grateful that they give clients a space to voice their ideas and take them into consideration.

We implemented on one of the earlier versions. Through continuous engineering improvements, the interface keeps getting easier and more intuitive. Therefore, later implementations keep getting easier and better.

Alternatives Considered

FormAssembly

We considered a few others - Jot, conga, etc. We landed on FormAssembly mainly for the SalesForce integration. It's just so clean, and you get SO MANY options. The way that you can automatically create cases/leads (and do so conditionally) was huge for our support team. We've saved so much time by just creating some solid rules that our organization can depend on, and FormAssembly/SalesForce take care of the rest.

Formstack

Formstack allows for multiple users and provides a cleaner UI with richer features and automatic data analysis. GoogleForms is a free alternative, but offers none of these features.

Return on Investment

FormAssembly

  • We used to use Joomla built-in forms on our site... oh wow, what an upgrade. FormAssembly is miles ahead. We've saved so much time - we get better, cleaner responses and our users don't have to waste time.
  • Updating our existing client records using FormAssembly is a godsend. It's super easy to direct our clients to the proper places.
  • We get creative, sometimes. We've built in a feature for our Excel reports that automatically pushes a response through FormAssembly, into SalesForce - so that when salespeople complete an Excel report, then can quickly/easily update SalesForce without logging into anything. Thanks for the workaround, FormAssembly!
