Hopin is quite expensive if you're holding a larger event with over 1000 registrants, and you want multiple stages. It's not suited for all budgets. It seems more appropriate for a paid virtual event, but large free events, especially since they charge per registrant instead of per attendee, Hopin may not be well suited for.

Perfect for the "one to many" steaming scenarios. We sometimes struggle with choosing the right platform when we may need two way communication and establishing if the chat feature is sufficient or if we need to move to a true web conferencing platform. We love the simplicity of the one way stream and really try to make the presenting department justify any move to two way communication. We are so confident in Vimeo Live because we have all the control, if we go to any platform that relies on the far end having equipment of technical expertise the chances of a successful event diminish greatly

Pros

Hopin

  • Hopin was very simple to use from the start. If I had any questions, they had answers on their website and their support is great.
  • I like that we could make changes on a regular basis even during the live event.
  • I like that it incorporates a lot of what you find at a in-person event and it translates well virtually.

  • We use the hardware based Broadcaster which makes for very easy set up. It is so easy we can loan the equipment to smaller events that do not require our on site technical assistance.
  • Ease of integration and embedding in our Facebook page and website give our followers many options to join the stream.
  • Real time statistics on viewership and chat provide up to the minute understanding of our viewers needs and issues should they arise.

Cons

Hopin

  • Hopin should allow customers to upload pre-recorded videos to the platform (hosted by Hopin), for use during the conference. As it stands now, customers must provide their own external video hosting solution (we used Vimeo).
  • Hopin should have some customer support staff based in the USA or Canada, too--not just in the UK.
  • In view of the substantial cost of subscribing to Hopin, it seems as if the number of registrants allowed under the subscription without incurring overage fees should be somewhat higher than 1,000 registrants. (We anticipate going over that limit before our yearly subscription term is over.)

I'm a pretty tech-savvy person but I still feel that Hopin was pretty user-friendly even for those of you who are less tech-savvy. Great thing is, you can play around and test the platform with the free version which allows you to get familiar with it before committing to the paid. I learned most of it on the free version which then made me more confident when deciding to use the paid version. Not only did it help me on the setup side, but it also proved to me that this was what we needed to do what we needed to do.

For the most part, I was able to find what I needed on Hopin's site but when I couldn't find what I needed, their support was there to answer any questions we had in a very timely manner.

Alternatives Considered

Hopin

Hopin is an all in one platform, that requires little integration. They are building and updating the product more and more each day so that it's the platform has all the features that you need. From registration to hosting the event, to post-event reporting, Hopin has it all. It is great.

Vimeo Enterprise

We chose Vimeo Live over StreamGuys as the yearly subscription model is much more flexible for our budget situation. The ease of use of the Broadcaster in Vimeo Live also reduced the amount of technical assistance required during events. The flexibility of embedding Vimeo Live streams into web and other social media with our own branding make it a better choice that Facebook and GoToMeeting.

Return on Investment

Hopin

  • This one is hard to say. We had a solution before, which was virtually free to use and worked okay for us. I can't really tell if using a high-priced platform like Hopin has increased the revenue brought in over the free solution. We would have to do a true split test where we sent half of our attendees to one platform and the other half to Hopin, and see if the additional spend is worth it. As far as true ROI, it's hard to compete with an infinite ROI since the other solution was free. But using Hopin may result in additional profit, meaning we may have made at least our investment more and then some over what we would have made using the free solution.

  • As a University we view this as way to include a larger community in our events and ROI is not direct.
  • We moved from a pay per event streaming service to a yearly subscription with Vimeo Live and our usage has increased as departments don't have to consider the cost of each event.
