Kapost
Chose Kapost
Kapost is really designed for content production and management, not more broadly for project management like Basecamp and JIRA. It's a very hybrid product that straddles tools: CMS, automated workflow management, DAM (less so, but sort of), and has unique features that make it …

Atlassian
The Jira software works well for managing scrum boards and allocating resources to a task. When your Epics and Issues are set up properly, it can give you a good idea of where your team stands and the trajectory of your project. It is not the ideal solution if you need to provide documentation and support to people outside of your product teams or organization. It would benefit from having a public documentation or repository feature.

Kapost has potential to be a great asset in small and large orgs. If you're not producing a great deal of content, or coordinating across a large team, there's still tremendous value, but it scales as your org scales because it makes it easier to coordinate and manage large teams and large content archives.

Pros
Atlassian
  • Running sprints and tracking progress of roadmap, epics, story, task and subtask
  • The user interface is great. It allows tables inside details, have common shortcuts and clean design.
  • Can create custom dashboards and can view data in multiple ways
  • Advanced access rights based on role

  • Filtering: If you make the most out of your custom details and custom fields, you can gain newfound access to materials that may have long been lost in the ether. It's really easy for us, for instance, to see all of our videos at once. Or everything targeting a certain buying stage. Or you can keyword search to see everything on one topic.
  • Workflows: It's really nice to lay out "who sees what when" in a digital way, because everyone involved on an asset can easily see what stage things are at. You can also set deadlines to tasks, which seems a bit more firm than a casual email, because you can visually see how meeting your deadline fits within the whole timeline.
  • Calendars: The calendar feature is nice for us because we have a blog, so we can see when everything is (supposed) to go live. It's easy to see when I, as a copy editor, should be expecting work, so I can align my day accordingly. Way better than the old-fashioned "mental note" system.

Cons
Atlassian
  • Management of the software is very difficult at times, although has improved.
  • Ability to manage resources is really non-existent, there are some plugins but they are ALL buggy (I've tested them all).
  • Better integration with Trello, would love to see this happen. Right now it's very clumsy.

  • Social media distribution needs improvement. Specifically a calendar for planned Tweets and a better way to schedule multiple shares of the same content.
  • System performance is somewhat slow.
  • Should be an easier way to make changes, like adding custom fields or publication destinations, to all content types, rather than one at a time.

This is because Jira Software generates a huge profit for an affordable price. Having a tool that makes team management transparent and effective is very valuable.
In addition, the renewal of Jira Software and all Atlassian tools is predictable and clear, as the prices are published on the Atlassian website and there is no pyramid of intermediaries.

We are using some other systems that might have replaced Kapost, but none of them had the workflow functionality we were looking for. So, we're sticking with Kapost for now.

Usability
Atlassian
JIRA Software is a pretty complex tool. We have a project manager for JIRA who onboarded us, created our board, and taught us the basics. I think it would have been pretty overwhelming to learn without her. JIRA offers so much functionality that I'm not aware of -- I constantly need to Google or ask others about existing features. Also, although they are all under the Atlassian umbrella, I find it difficult to switch between JIRA Software and Confluence.

The calendar view is a great feature and so are the custom views. It is relatively easy to see a clear view of what content the user is responsible for and then the due dates associated to it. The ability to create and update workflows for the team is easy to navigate and keeps us on track.

Support Rating
Atlassian
Our JIRA support is handled internally by members of our Product Support team. It is not supported by a 3rd party. Our internal support will always sent out notifications for downtime which is usually done on the weekend unless it is required to fix a bug/issue that is affecting the entire company. Downtime is typically 3-4 hours and then once the maintenance is complete, another broadcast email is sent out informing the user community that the system is now available for use.

The reputation of the product matches up to its reputation as one of the leaders in the space. I love that you can share and access content at your fingertips from anywhere. The downside is that it does not have the prettiest interface but you can get over this with its functionality.

Online Training
Atlassian
One of their strong points i stheir documentation. Almost all of the basic set up needed within JIRA is available online through atlassian and its easy to find and very precise. The more critical issues need to be addressed as well and hence the rating of 8 instead of a 9.

Take your time implementing Jira. Make sure you understand how you want to handle your projects and workflows. Investing more time in the implementation can pay off in a long run. It basically took us 5 days to define and implement correctly, but that meant smooth sailing later on.

Alternatives Considered

Jira Software has more integrations and has more features than many of its competitors. While some of its competitors do have better UI/UX than Jira Software, they have improved this greatly over time. Atlassian also acquired Trello years ago, so that adds better user interfaces to the system. They do also offer a pretty in-depth library of how to customize the platform that others don't.

Workfront has a lot of great features, but Kapost was the right tool for what we needed at the time. With a team of our size, we had to make sure we weren't biting off more than we could chew and the project never got off the ground. We had to be thoughtful with how we rolled it out.

  • It allows us all to compare other email campaigns to each other. We are also able to get almost instant results.
  • By having a working one system - we all can expect the same quality newsletters versus using an outside designer.
