JobDiva is an excellent ATS suitable for any size organization whether you are a boutique staffing firm or large enterprise. It is very intuitive to use for even a junior recruiter or more experienced HR manager.

Bullhorn Recruitment CRM

We are trying to reach our candidates as quickly as possible to meet the needs of our clients in the most efficient way. This tool is allowing us to do just that. For example, immediately after meeting with a candidate, I am able to parse their resume and get it into the system to send out to clients. I add my notes to their profile and am all ready to go! Recording necessary information to ensure that all previous phone calls, notes, emails, are safely and accurately reported for future reference is a huge plus.

I think OpenHire is best for a small company (max about 2500 employees). The more employees you have the more HR people you should have and this can get expensive. I know most larger companies are using more advanced systems as well (Workday). During the selection process be sure to determine how many OpenHire users you would need. Ask whether your managers will be willing to work in the system as well or whether HR would have to own the entire process. If you are EEOC compliant, make sure you ask about diversity posting, APP tracking of applicants, and reporting needs. If you require an onboarding tool, SilkRoad offers RedCarpet. I found it to be very complex and hiring managers refused to use it. If you require an onboarding tool, definitely look into it. The demo may look great but there were a lot of implementation steps done to make it work and it just didn't fit our company culture. So make sure it fits yours.

Pros

  • Sourcing from multiple job portals simultaneously. It helps to find the candidate on multiple job portals at the same time.
  • The strong database. It creates a database of the of the candidate's profiles which can be used to serve repetitive job requisition of the client. There's a particular feature that I like the most i.e. Creating Hotlists. It helps helps to serve a repetitive job requirement.
  • The Email Emerge. It helps to reach out to multiple candidates just by a few clicks. It is one of the features still not available in most job portals like Monster, Careerbuilder etc.
  • The Exclude Function. While sourcing the resumes, it has a feature to exclude candidates of a particular skillset. It helps to eliminate the unwanted (or unsuitable) stuff mentioned on the profiles.

  • The ease of use when it comes to create requisitions from a hiring managers side of things is definitely a positive. It's very much user intuitive and the specifications can be completely customized as to what a company would like to appear within said requisition.
  • Candidate correspondence is an absolute breeze as you can custom load templates into the system that can be edited at any time through an administrator in your company instead of having to go through a technical support team on the other side of things.
  • Overall, it's a pretty no muss no fuss system to use as there's not a great layer of complication about it and like most things, spaced practice and consistent exposure to it tend to iron out those rough edges. From an administration standpoint, adding in locations and hiring managers is incredibly simplistic along with reporting functionality.
  • Candidate folders have come a long way in the system and are much more user friendly at this point than when I began using the system some four years ago. It's very easy to shift candidate profiles between folders and edit on the fly.

Cons

  • I've been recently having issues where I pull JobDiva up on more than one tab and I'll have to completely start fresh on my boolean strings or my search in general.

  • Although the direct candidate parsing feature is great, until you have the candidate in the Bullhorn system with their email address, the email communication won't sync up even after you enter the email address. It is simply moving froward from the time the email address was input.
  • MaxHire Solutions was acquired by Bullhorn. They have this feature where you can immediately parse via a plug-in a candidate from LinkedIn and create their profile prior to them sending you their resume. This is effective because of candidate ownership. It shows your colleagues and others using the Bullhorn system that you've started communication with a specific candidate and makes it easier to track how many contacts you've had in a given week.

  • Offer letters, offer letters, offer letters! Unfortunately OpenHire does not have the capacity to have a standard offer letter that can be customized without being saved as a different entity. For example our company has different offer letters for full time and part time hires, non-exempt/exempt, and assorted miscellaneous roles so instead of having one standard offer letter with the ability to drag/drop items within it that we need, we instead have to save each one individually meaning that as a recruiter goes to make an offer, they're selecting amongst multiple different letters.
  • Spam filters. When using the candidate correspondence option to communicate via email with potential prospects, these system generated emails tend to trigger the spam filters of many of the most popular servers such as Gmail, Hotmail, & Yahoo. I tend to avoid sending emails through OpenHire to candidates for this reason.
  • Candidate search functionality can be inconsistent at best and non-existent at worst. There are times if you're looking for a sizable pool of prospects and set up a pretty bare bones, general search that search will oftentimes take up to 5 minutes and yield no results after that. Definitely can be frustrating.
  • Broadbean usage. Last year OpenHire rolled out Broadbean which is a job posting aggregator allowing a user to select external job boards to post their roles directly from the OpenHire requisition. It's pretty new software so there are certainly a good deal of random kinks that could use some ironing out. The biggest thing to keep in mind is that while there's a wide array of external boards that can be selected, it's literally posting to each selected board so after the selections are made it's not an instant process to post as it requires filling out board specific details which can be time consuming.

We have about 2 years left on our current contract; It would take a major change in the ATS marketplace for us to strongly consider opting out of renewal given the time and effort we have dedicated to building our our Bullhorn system. I will take the time to revisit with some of the competition down the road, but Bullhorn acquired our runner up, MaxHire, about a year back and continues to offer a solid product suite for our current and future needs.

It was a great solution for the company in all aspects, especially the cost. The company was not in a position to afford a solution such as Oracle PeopleSoft. The only reason we did not renew OpenHire was we got acquired by a much larger organization and started utilizing the tools that the parent company had available

Bullhorn really works for me and what I do. I can move through full desk recruiting and use it to both market to clients as well as recruit candidates. Overall, it has helped to keep my business on track and to evaluate how well I am doing and to track effectively

Over all I think JobDiva works well. It has some issues from time to time, but the support staff seems to handle it quickly. The major issue is the email merges getting black listed as spam. That takes away a very important JobDiva feature. That is our major functionality complaint these days

JobDiva is a customer service and support focused vendor. They provide a level of personalization that is a platinum service. Additionally, they don't charge their customers for product enhancements that they view as a benefit to all of their customers. Since they actually come from the staffing industry JobDiva management quickly relates to their customers and ensures they are extremely satisfied at all times

They don't care, they want you off the phone, and you have to talk to multiple people where you repeat your problem again and again before they tell you they will call you back. They never will call you back, so you'll call the next day & repeat the cycle until you finally shame someone into fixing your problem or threaten them with legal action due to breach of contract.

The support for Silkroad is awful. I know they are working on it and it seems to be slightly better but it's still not great. I have had multiple cases I have never heard from them on, others I have had to follow-up multiple times and one that took a year

Alternatives Considered

As a recruiter, all I need are job portals for sourcing resumes to submit for requirements, Jobdiva helped me a lot by proving resumes from all job portals at a single place.

Bullhorn has a complete integrated feature where it speaks with Outlook; makes parsing candidates who submit their data and resume simple. This is effective when you are running a 360 desk as it saves time and helps you focus on prospecting for clients and candidates. Often times when the software is hard to navigate through or requires many steps to complete one entry, it becomes discouraging and you're less eager to enter the data properly.

We also evaluated ADP Virtual Edge. OpenHire looked much nicer, had better functionality and was $30k less. It was so much less that we were able to get Silkroad's RedCarpet system as well

  • I'm a user so it's hard for me to answer this question in terms of a dollar amount number.
  • I can't see how it would have a negative impact simply based on the multi-purpose use of the software.
  • It manages KPIs quite well and ecords all the recruiter activities and provides stats and weekly reports to the user and management. This helps the business by tracking and guiding the individual user on their progress, accountability and helps with management reporting.
  • It's a central focus for the businesses day-to-day operations, has easy navigation, is extremely user-friendly, provides use of tear sheets; not complicated to train new hires on the software which saves time and can make new users efficient rather quickly.
