Planview LeanKit

Planview LeanKit excels in any scenario where you need to visualize and organize work to be done. You can feasible even use it as a personal to-do application. We use it as a way to keep track of our current topics in management meetings as well as a Scrumban implementation of project management. However, when processes and work is very file- and data-heavy, using Planview LeanKit is less appropriate as there's just not way of doing a sensible file management.

TickTick

TickTick works well for personal use - managing daily and/or recurring to do's through a variety of lists. These can be renamed as needed. This has contributed to an increase in the completion of projects for me. TickTick also works well for collaboration on a list by list basis. Say that I have a project at work that I need to work with a teammate on - I can create the list and share it with my teammate. From there we can tag-team the project. There is the option for adding to-do lists inside of a top-level list and areas for commenting by the collaborators. This allows us to bypass unneeded meetings or emails to remember what needs to be done next on the project. TickTick may be less suited for situations where photos or files need to be shared for a project or for more complex project management.

Pros

Planview LeanKit

  • Okta Integration: We love using SSO for all our SaaS apps, and as new team members join, they can be automatically joined to the appropriate LeanKit boards.
  • Filtering and viewing: Can filter and refine by several fields as well as custom fields. Assigned Users, Tagged, Card Type, Date, etc
  • Their analytics and reporting can be helpful for PMs, especially if they have several teams they oversee.

Cons

Planview LeanKit

  • The formatting of what they call "cards" could be better. They can be clunky if you have a lot of text in just one.
  • Needs better support for media, attachments.
  • Not the most pretty interface in my opinion, though it works.

TickTick

  • The task reminders are in the form of a notification - it would be nice to have an email option.
  • All tasks due on the same day/time show up as one notification versus separate - this can be hard to separate as far as task planning goes.

LeanKit isn't the best designed Kanban system I've seen, but overall it's pretty usable. The boards I've used are pretty complex, so it can be difficult to find things. I found that searching and filtering for specific cards was somewhat of a challenge. Dragging a card from one lane to another is kind of a fun way to get things done though.

Alternatives Considered

Planview LeanKit

I think that LeanKit is very similar to Asana's Kanban feature and Trello, but is much less sleek looking than Asana. Asana's clean and sleek UI makes me enjoy project management much more than LeanKit. It might sound silly that the UI makes so much of a difference to me, but it really does. Trello is also sleeker than LeanKit, but I still prefer Asana because it has more customization options and a better interface. We are actually going to look into switching to ClickUp because we wanted something with a better UI. ClickUp seems to have a great UI with a lot of customization options.

TickTick

In researching options for our task manager, we chose to use TickTick because it was the most user-friendly. The platform made sense to us, is intuitive to use, is affordable for our needs, and has "smart" features that make our jobs easier. Trello is a great program and has the option for lists and things, but wasn't best suited for what we needed. There are a lot of other great features that Trello has that we don't need so chose to stick with a simpler program. We found Todoist after implementing TickTick and it looks like another great program but didn't have other things that we needed so we didn't consider switching.

Return on Investment

Planview LeanKit

TickTick

  • Our spaced out, recurring projects are getting done ON TIME instead of sporadically or not at all.
  • Our team is 20% less stressed about tasks because they are reminded of tasks and projects that need to be completed, instead of going off of memory. This has increased morale.
  • Ideas for business development are remembered and implemented more frequently because we have a place to write them down - instead of talking about them once and forgetting about it altogether.
