MailMeter

If you are looking for an onsite solution, MailMeter does the job. Like any program, you will have problems on occasion, however the product is fairly stable. In my opinion, mail archiving is a service that's more suited towards cloud-based services rather than on premise. Much like a spam filter that runs on a Windows server, this product feels like it's from a bygone era.

It has almost perfectly met our needs. A title company with 25 users that requires encrypted communication countless times daily. I am not sure that it would work as well for a small 2 user setup due to cost; I haven't checked that. I work with a small dental office that fits that scenario. There are many HIPAA solutions that match their use case, however.Still agree with what i wrote a while back on this.

Pros

MailMeter

  • The program is a beast and continues to chug away at emails.
  • The interface is simple and doesn't require reading a manual to understand.
  • MailMeter works fully with all versions of Exchange, including Office 365.

Zix

  • One of the things that Zix does well is that it not only provides security to plain text it also makes sure attachments are in compliance as well
  • Being able to add many policies and include/exclude users on the back end provides great flexibility when managing many different types of users. Some of our users require more compliance than others so the ability to create an abundance of policies has been great
  • The integration with Exchange and Outlook for our users has been a positive experience. It took some time to create all the policies at the beginning but everything seems to be work great.

Cons

MailMeter

  • Due to its nature, MailMeter's storage of data files will continue to grow as time goes on. Plan accordingly!
  • Like the data files, the MailMeter SQL database becomes huge over time - Plan accordingly!
  • We have been through several versions of this program, and at times mail journal processing has stopped causing problems with mail flow.

  • More flexibility to customize lexicon libraries at individual business units without having to apply that customization across all customers. We have some agencies that don't send HIPAA data for example but they do send healthcare terms related to Public Health aggregated data and it's difficult to apply customized exclusions or rules in Zix's current state.
  • Scaling across large, complex organizations is difficult with Zix because of the one size fits all approach that Zix takes. We are an IT service organization that serves 17 executive branch state agencies each with unique business requirements. As currently designed, we would need to have 17 different instances of Zix to accomplish the level of customization that each agency would like to have so it's a balancing act in serving the greatest number of customers with "One Size Fits All" service and realizing that no one is completely happy with the service provided due to the platform constraints.

In my opinion, ZixGateway is the best email encryption product on the market. Barring some unforeseen and ridiculous cost to renew, we will absolutely renew ZixGateway. The ZixOne product, though a solid product, I may not renew due to the issue of how the calendar is integrated.

Zix is very easy for the user. In fact, it can be completely transparent to the end-user if you so desire. However, it does take a some work and testing to get everything set up just right initially. It isn't so much that the system is difficult to administer as much as it is that you have to really know what you want.

there is no lag in transferring large encrypted documents. Real Estate transactions are horribly time sensitive and stressful. Zix performs flawlessly. It is always there, always responds without delay. It is probably dark magic.

Of the few times I've dealt with support, I felt like the people who were on the other end couldn't help me. Latest instance was with resolving a license renewal issue, they had to connect me to someone in Ireland and were on a tight schedule to help me during their shift. Come to find that I could not renew a license because their license server was down. In all it wasn't a good support experience, however unfortunately par for the course.

Zix is very good about response times and information. They even proactively e-mail us about known issues. I have never had an issue go unresolved, and the support team tends to answer quickly unless it's a strange, complicated request. The only time that happened was doing a search through logs, and that was entirely on me and my unfamiliarity with their flavor of Linux.

The training is very thorough and well individualized for our application. It was done online with the trainer on telephone.I felt that they were truly interested in my success, and provided resources for follow up. The trainer was easily understood with thorough knowledge of the product and giving helpful advice for implementation.

Using the actual tools, with guided instructions made it very clear. The end user experience is completely intuitive. The management console is a bit creaky. Having clear instructions provided by the trainer, in addition to using the actual tools, made it work. I am informed that the management console is being streamlined in major overhaul.

Alternatives Considered

MailMeter

Probably an unfair comparison, but Mimecast has some interesting features that MailMeter does not. First, Mimecast is cloud, MailMeter is on-premise. Mimecast has all the same eDiscovery features that MailMeter has, however is also able to offer seamless archive stubbing into Outlook. Since you don't have to suck up resources on your local network, you easily save money spent on disk/compute resources.

Met our requirements, was "common in the industry" and used by a majority of other organizations that we needed to email patient information (insurance companies, county agencies, other hospitals). It's annual subscription model fit well in our budget and we are able to scale up relatively easy if our number of employees increases.

It has no problem with our workload. We depend heavily on the ability to transfer large documents securely through the system and it has never let us down.

Return on Investment

MailMeter

  • This product has done a bang up job in providing quick access to historical email content. The amount of time saved, including instant verification of email transactions, make this product worth the yearly license.
  • As a result of hosting our mail archive onsite, we have had to spend large amounts of our total pool on disk space, cutting down on overall ROI.
  • MailMeter does not require hefty Virtual Machine resources, which allows us to allocate resources towards other servers.
Kenny McGarrity | TrustRadius Reviewer

Zix

  • From a security perspective, it brings peace of mind that information is being well protected and that messages are being scanned for malware and inappropriate links.
  • There has been some issue with outside users accepting/accessing encrypted messages, so perhaps a review of the provided portal for usability is in order.
