MS SharePoint

SharePoint is a very flexible platform and is what you make it. While it does have its limitations, the way that it integrates into the Microsoft toolkit is critical to the successful use of Microsoft as a whole. Getting the right license agreement is significant (you don't want to feature-limit your deployment because it hurts user adoption over the long haul). Because Microsoft has invested so much in this platform, it is relatively stable and here to stay for quite a while, so the long-story of SharePoint is much more promising than the short story of some of its competitors.

It is perfect for inputing time sheets, time offs and expenses. It is hosted on the cloud, so accessible from anywhere, and even from mobile. It should nonetheless do just that, as it is not suited to track the work that you are doing or details about it. It is completely useless in that case.

Pros

MS SharePoint

  • MS SharePoint allows users to limit different access and roles for different people.
  • We can store documents and others can view the most updated versions.
  • We can save previous versions and assign tasks.

  • Timesheets are pretty straightforward, you just have to choose a client/project/task that you worked on (in that order), and put the hours for each day. You can then specify if it is billable or not and that’s it, you can submit.
  • Time off are also very efficient, as you can select your days off from your calendar, and choose if it is a paid time off, sick leave, or other type of leave. By selecting a range of days, it automatically subtracts weekends, bank holidays, and gives you the remaining days off that you have (and if it is possible to request paid time off for example). The calendar view is very good.
  • Expenses management are very efficient, you just have to describe what you spent and select on what project or client, then put the incurred amount and upload scans of your receipts. It also handles different currencies which is good for international companies, and you can keep track of the approval status, to know when you are going to be reimbursed without asking the finance team.

Cons

MS SharePoint

  • Could be more intuitive. Sometimes it takes an expert in the system to understand how to grant access and what types of access to grant
  • The built-in features are difficult to choose from - hard to identify which ones fit my needs, they can be too complicated
  • If SharePoint is not customized, such as the out-of-the-box version, it's hard to ensure it will fit my business needs.

  • There is no easy way to add a comment on an expense, you have to reopen a ticket to add a comment. But that might be how it is configured in our company.

It a nutshell, it works. It meet ours requirements and does a pretty good job at it. Although it is expensive, it does offer our organization enterprise level tools in one location. SharePoint is a very popular solution and most people that are familiar with MS Office (later versions) should have no trouble adapting to its use

Windows server and active directory preparation is critical to a successful implementation. A pre-installation checklist goes a long way and saves a bundle of rework.
