OneDrive

OneDrive is well suited for quick storage and retrieval of important work documents. It allows users to share links to certain files which works well for collaboration. In terms of storage you can easily monitor how many GB you are using and even up storage in 1TB increments. OneDrive works so much like a file directory on a work PC so it is easy to learn and navigate around. It works well on both a PC and a Cell Phone.

Workshare Compare

Workshare Compare is well suited for professionals who review multiple versions of a document multiple times per day (or even per week). I would suggest that this is most lawyers. It is maybe less well suited if you only need to run comparisons once in a while. Word has a comparison feature built in which is so-so. I just find the Word comparisons harder to read. But if I was only running comparisons once a week on short documents then the Word version is probably fine, and Word is software that most people have anyways.

Pros

OneDrive

  • OneDrive does a great job of keeping file version history. I have had to use this feature many times and it is very simple to use. This one feature has saved my butt many times.
  • OneDrive synchronizes across devices very quickly. There have been many instances when I have added files online and, within seconds, saw the file show up on my local computer. This happens the other direction also. I am very impressed and satisfied with the speed of syncing in all directions.
  • The OneDrive app on my phone has been particularly helpful since it automatically syncs my photos (usually within seconds) and allows me access to all my files.

Workshare Compare

  • Workshare 9 is easy to set up program that removes metadata from all word documents and all emails sent via Outlook It is a simple Add-in that is linked to one's Microsoft Outlook Program. Provides excellent security that all Metadata is removed and never available to the recipient.
  • Workshare 9's document comparison program is world class in terms of speed and accuracy, creating an easily red comparison documenmt that highlights deletions from, additions to and items relocated within the document.
  • It is easy to adjust the level of security that you want in your documents and in your email program
  • It allows you to directly place a document in a new email.
  • It allows you to convert a Word document to a PDF document (creating an Adobe PDF or if you elect a Workshare PDF

Cons

OneDrive

  • OneDrive's visual feedback in Finder as to whether a file is syncing or already synced isn't always up-to-date with the actual status of these files.
  • OneDrive (on Mac) will occasionally fail to sync for errors that aren't accurate, requiring a restart.
  • OneDrive (on Mac) will occasionally fail for file name issues, where filenames allowed on Mac are not allowed on SharePoint, without providing an easy mechanism for fixing them.
  • The real-time collaborative editing user experience is not as good as Google Drive.

Workshare Compare

  • While Workshare Compare does let you compare PDFs and does feature some optical character recognition software, this feature only works with relatively straightforward PDFs (that are either already text readable or are very short). For longer scans, you need to first use Adobe Pro to convert those scans to Word documents, and then compare the converted Word documents. It would be nice if Workshare had a more powerful engine for comparing PDFs that allowed you to skip this intermediate step.

I have given it this rating because it accomplishes the basic task that we use it for, storing and protecting our sensitive data. That being said, I hesitate to give it a completely positive rating, because I feel that the software performs at a bare minimum level, skimping out on some of the bells and whistles that would be nice.

They have done a good job of now overloading Workshare Compare with extra features it doesn't need. This does a couple of things:
  1. It means the interface doesn't have too many menus or too many buttons to click. Everything is straightforward and easy to use.
  2. It keeps the software fast.
  3. It makes it easy on the user to decide when you do and do not need to use this software.

It has a good performance, the pages load normally, access to the files, management, reports, everything is working well. With regard to integration with other systems, we have not done so yet.

I gave Workshare Compare such a high rating because I don't think I could do my job without it. It has just become so integral to my workflow, that if I were to ever change jobs I think I would have to insist my new employer to me a license. It is fast and just works 99% of the time. It is very rare that it gives me errors, and when it does it's likely because the underlying document is corrupted, not because of any issues with Workshare Compare.

Support seems to be limited, in my experience, to the general help articles offered online. Luckily we haven't experienced anything that has required more research than looking through those articles, and I can't imagine a scenario where you would need more support than that. Still, it would be nice to have a knowledgable person available to help you when an issue arises.

I mentioned in another area that OneDrive is bundled into our Office 365 accounts - so let me start there. Dropbox will cost you $10 and more per month. Our entire Office 365 account costs $12.50/month for each user - and we get full Office with that. Enough said there. As far as features go - I've found that most of these cloud storage providers all afford similar feature sets as far as sync clients; apps and addons; storage space; etc. - so choosing one or the other really goes to the needs of the company and of course - what's in place already. If your company uses Google apps - Dropbox might make more sense because of tighter integrations. However - if you already use Office 365 in some iteration, OneDrive is already baked in.

Workshare Compare

Workshare's predecessor program only handled document comparisons and did not remove meta data from documents. Workshare 9has take comparisons to the next level and its meta data removal provides a very necessary level of security that is a must in the legal industry.
