Your organisation has to support the type of document and records management needed for this to work. In an organisation that only needs to store documents and maybe share with many different parties, this might not be the best-suited software. In a large organisation with stringent document and records management policies, this suite is well suited. It makes management of documents across business units easy to manage and control.

PowerDMS

I would recommend the program to anyone involved in policy management (storage, application, distribution, communication). I highly suggest any law enforcement agency utilize Power DMS due to the companies relationship with accreditation bodies. You can not only access your standards manuals but upload proofs, organize them, and provide access to an accessor within the program.

  • Secure storage of billions of documents using precise ACLs to control access across multiple tenants, groups, users, etc. No other system I know of can do this as well for as large of systems. Security can be refined from one person to the entire enterprise OTB.
  • Integration with other EMC/OT solutions. Assuming this is still true post-OT acquisition, Documentum has over a 100 add-ons that integrate with the core solution to expand the solution to include scanning, document processing, forms, email, etc.
  • Searching. xPlore is one of the best FTI tools on the market and it is integrated well with the Documentum solution. Other systems use excellent search tools, Elastic/Lucene/ being good examples of that, but their integration is questionable. Older systems, like WCC, are still using antique search tools OTB and require integration with the newer search tools.

PowerDMS

  • PowerDMS provides management with a real-time tracking of policy reviews, approvals, and signatures. This is a great benefit for risk management.
  • PowerDMS allows users to incorporate remote, web-based training in a variety of formats including, but not limited to, video, PowerPoint, miscellaneous documents, interactive activities, and tests.
  • PowerDMS provides a very robust search engine that is very user-friendly.

  • WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
  • EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

PowerDMS

  • The Workflow process in PowerDMS is not as easy to grasp as some of the other concepts and requires a little more explaination, especially for non-administrative background users.
  • Users are unable to view the steps in a Workflow template in order to determine which Workflow would work best for their needs when routing documents.
  • It would be great to have multiple message options for past due inbox notifications in addition to the options for past due tasks to encourage users to go to their inbox to review their messages.

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

With all the extra training and guides available, it's easy to figure out how to use it. Any time I have questions about something, it gets answered really quickly, that is, if there isn't already a guide available for it. I have never struggled to figure something out.

We use PowerDMS in the cloud so our performance might be different from other users who use on-premise. The program has always been up with very minimal downtime and always seems responsive and snappy when navigating the UI and searching documents. We don't currently have any integrations with other software.

PowerDMS support is fantastic. Many times one can get the needed question answered by using the Success Community. If not, one can call or email PowerDMS and get prompt, courteous, English speaking assistance. They know everyone has different learning curves and never make one feel like a dumb question was asked. If it's more of a technical glitch, then there is a constant and quick follow-up on the issue.

Implementation of PowerDMS was near seamless. The product was able to input existing policies and procedures within a few hours, which helped to lay the foundation for future use. Having PowerDMS on-boarding readily available was also a huge benefit.

OpenText is stronger in the management of high volume and secure information. However, SharePoint, while less functional from a document management perspective, provides a much stronger user interface which eases user adoption and the presentation of content. SharePoint also has a significantly larger ecosystem of developers and partners that makes solutions more available.

PowerDMS

The AS400 database was very old and did not offer the capability of uploading policies and having them signed off and recorded. This was the main reason the Orlando Police Department purchased PowerDMS. There were some things in the AS400 we could do for training, that we can not do in PowerDMS, and vice-versa.
