QuickBooks Desktop Pro

QuickBooks Desktop Pro is ideal for small business owners who want the option of controlling their management costs by maintaining accounting in-house with limited staff/budget. It is easy to purchase, install and use...especially for those who are not necessarily accountants by trade. I would say that above all, its simplicity is its best asset. It can perform the majority of accounting functions quickly and easily, and it counts many users...which is always an advantage in my opinion.
As a disadvantage, I would say that it does have a limit in terms of size of organization for which it be of optimal use. Its low price would be attractive to anyone when factoring accounting software costs, but the fact is that I have seen other software suites that are much more robust, and subsequently more viable for larger enterprises with more complex accounting needs....for example, multiple users, international accounting needs, etc...

  • Inventory management with low stock indicators has made it easy to ensure I have the necessary parts and supplies I need for my jobs.
  • Time tracking and being able to invoice on that time makes it simple to bill clients for work I have performed. Prior to QuickBooks I had time that I wasn't getting paid for because I would forget to invoice for it.
  • The extensive number of reports available as well as customizations allows me to see how my sales are doing on a regular basis in different areas of the market.

  • Because the application is working globally, it sometimes hangs and the connection is dropped.
  • It should have more shortcuts to make it easier to develop macros. I create many macros and use the "sendkeys" command in VBA, due to the lack of these shortcuts, it is not possible to automate the process.
  • For now I can not think of other areas that require improvement.

  • QuickBooks largest setback is the UI. It is a bit cumbersome and not entirely intuitive if you have never used QuickBooks before.
  • Occasionally QuickBooks has a hard time communicating with your bank, but it is usually fixed after a couple attempts.
  • QuickBooks does need to be bought each year to stay up to date.

Overall the features of PRO are just not enough to run a great company with good reporting and smooth accounting. If you're serious about getting your finances organized, step up to PREMIER or ACCOUNTANT. The small additional investment will be well worth while. And for truly world-class security and performance, please consider having your QuickBooks hosted on a virtual network. By doing this you will relieve yourself of the hassle, expense, and danger of making your own backups, protecting your QuickBooks files from viruses, and of course, getting hacked. A hosted platform will protect you from all of these things and make your QuickBooks files available to your team from anywhere in the world.

The performance of the product is very good. Given the transactional nature of the system one of the key focus areas for IT is to make sure performance is not affected for internal reasons. This can also depend on the server configuration and setup. For example, performance on Exadata machine is far superior to other Linux custom systems that companies choose to deploy. In general though, as already pointed out, the platform is now very stable and has few bugs. Whenever there are any issues, the cause is usually customizations that we have made to the platform, rather than out-of-the-box standard functionality.

In general, support has not been great - particularly standard (non premium) support . The main issue is that our IT staff has been using this platform for years and is very knowledgeable Whenever something goes wrong, we usually have a very precise idea of what the problem is. We are skilled at problem diagnosis. But the Oracle support process is very rigid and slow. Typically, we are required to go through a lengthy diagnosis process where they ask us multiple questions sometimes over several days and we are obliged to talk to different people with differing levels of knowledge. Since we already know what the problem is, we really just want a patch or a bug fix, but it takes days to get there instead of minutes. This can be very frustrating. This is a big part of the reason why we pay for premium support. But it's still a bit disappointing.

I think there is always room for improvement; the software isn't flawless, but it has been super helpful in creating manageable financials for our start-up business. When I have needed support help, which hasn't been real often, usually the problem is resolvable. I have occasionally had to pay extra fees for help, but nothing unreasonable.

Best thing I ever did was to attend a two day training seminar on QuickBooks, I learned an immense amount in a short time with hands on training by experts. I strongly recommend such training for anyone using any part of the software. It will pay for itself in the first month.

The key success factors for the implementation was project management, in-house expertise in IT and time. The implementation process started with the initial evaluation with the initial upgrade on a test system and mapping out the gaps and requirements. We did work with Oracle to understand the new functionality R12 had to offer and did another upgrade and researched solutions. With the use of software development cycle procedures there were conference room pilots with IT, business users. We then refined the project plan to the core key details, performed mock go-live implementations and finally upgraded the software.Overall, this was a very successful process.

We implemented the software ourselves. The training we received on the software was done by taking a community course teaching us how to use QuickBooks. It allowed me to get started with some basics of how to use the program and have not needed much assistance since completing the course work.

Alternatives Considered

Oracle eBusiness Suite

We explored Coupa, SAP, PeopleSoft, Salesforce. We chose Oracle based on value for money, features it offers and the easy availability of vast talent pool in the market. There are many trained Oracle product specialists readily available in the market. This helps us to tap experts when needed easily.
Coupa does not have a Project Accounting module. SAP was too expensive. PeopleSoft is more catered towards to human resources software, while Salesforce is for CRM.
Oracle has better financials and project portfolio management suite when compared to the competition and this what we needed.

QuickBooks Desktop Pro

I would recommend QuickBooks Pro over QuickBooks Online for almost everyone. It is easy to learn the basics, the payroll is so much easier to use, the reports are better and easier to use. The advantages of QBP far outweigh those of QBO. When asked, I recommend QBP almost every time.

  • The tremendous amount of testing and time by the technical folks has a negative impact.
  • We find we need a tremendous amount of customization within the standard functionality having a negative impact.
  • Oracle certifications of related products such as the database, Demantra, JRE cause disruption having a negative impact

  • By entering our bills as they arrive we get reminders when payment dates are coming due as well as making it easy to track where the money is going
  • Invoicing has made tracking money owed to us easy and cut down on having to call people looking for money owee to us.
  • Quickbooks built-in templates for invoicing & quotes we have been able to have a more professional look to present to customers
