Cross functionally this product is great and the reminders/ email notifications are super helpful. Also signers who are not familiar with Dropbox sign have no problem using the tool. I find it super user friendly. I have found its a little harder to use when a signer has an agent (not a party signing the doc) and the agent wants to review prior to the person signing.

Sometimes we just need to send a single large file, and compressing it is easier than using ShareFile. But generally, we use ShareFile to exchange or send anything over 20 MB. A problem that we have not had [yet], but wonder about is this: Are ShareFile and its e-mailed links safe for transmission to/from U.S. Government computers? All of our public-sector clients are state and locality-based. We haven't had any interacton with U.S. entities. U.S. entities, especially DOD, are rather particular about these type of file-sharing sites and links embedded inside e-mails.

Pros
Dropbox
  • Allows customization for each client.
  • Gives us all the room we need to create a thorough contract.
  • Allows us to save each executed contract as a PDF.
  • Looks like a pricey, professionally drawn-up contract.
  • The ability to send a new customer a professional-looking contract like this makes us look "bigger" than we are.

  • Authenticated electronic document signatures--self-signing, and sending out for signatures. This is a robust feature that also allows for additional information to be added to documents being sent for signatures, such as dates, notes, and items omitted but needed.
  • Encrypted emails through ShareFile, Citrix apps for Outlook, Gmail, and Mac email systems. Encrypted email messages cannot be cut/pasted, nor forwarded without encryption. If only the attachments need to be encrypted, the email message can be unencrypted. Also, two options for securely opening an encrypted email (one with less credentials, one with more).

Cons
Dropbox
  • It would be nice to be able to build a template for just the location of the signature boxes that would allow me to upload a document, and the boxes could be basically replaced. I have the exact same doc for each of my clients, but there are small changes here and there, and I have to fill in their personal info through another program, so it would be nice to be able to do a template this way instead of just tying a template to one document.

  • Users grow quickly (each client gets a separate account). Automated pruning would be nice.
  • I'm not aware of integration with Office365 online (only the outlook app). This could make it harder for some users.
  • It would be nice to have something that auto-scans emails and attachments for PII and would require Sharefile for those emails.

Because this product has been affordable which is so important for a non profit however it is also of good quality so its not like you get a cheap version of this you get a quality product at an affordable price and that is so important for a non profit

The cost is fair and the program does what it has promised to do. Customer service is attentive. I'm not aware of any better-sounding file sharing systems out there that would tempt us to discontinue ShareFile.

Usability
Dropbox
It works well for it's intended use, I feel like some of the features can improve a bit and it's recently received a bit of a face lift but over all it's been a really easy tool to utilize and implement and we've used it since we've opened.

ShareFile is so easy to use I was able to download all of my projects files and have them set up to sync before my supervisor could even come over to explain the process to me. It is a neatly organized and intuitive software that allows even the less tech-savvy to become power users.

I have not encountered this because it was so easy to use however just seeing how they created a community is great and shows that they are here for their users. I am going to say I am sure they are available and ready to assist when needed. The fact that we have not yet experienced an outage and issues says a lot though :)

Again I cannot say it is enough this app is simple. We are preparing to be able to integrate with Salesforce and Sharepoint at a very small cost per user (these are the platforms we use) and it is great that they have the option to integrate these apps. We love this app

Easy to use, easy to integrate with Outlook. I only gave it a 9 because I have found that sometimes it does not play nicely with Outlook and can slow it down. But, when that happens (not frequent), I restart Outlook and all is well again

Support Rating
Dropbox
Support is limited to email only (for our subscription level), which might be OK for a e-signing platform if support was relatively rapid. This is not the case with HelloSign. Since the issues first arose a week ago, we have made no discernible progress in solving the problem. No matter how quickly I respond to a follow-up email, we receive only 1 email a day from the support. The other issue, which is a true edge case situation, is their insistence on receiving email from the same email account as the HelloSign registration. We changed our organizational email recently, and I was still logging into HS using our old email address. This became a hard stop on further support, which doesn't make sense on a practical level. Why would someone write in for support with specific issues if they weren't a customer? And if they did, wouldn't that be a miniscule proportion of the support requests? So if you adopt a policy that stops providing support to anyone who isn't verified, regardless of the situation, isn't that using a blunt instrument to solve a very rare issue? Reflects the overall organizational values, in my opinion, which is not to value the small customer.

Typically the support is very knowledgeable and interested in following an issue until it is fully resolved. I have not had any issues working with their staff as they are all polite and easy to communicate with. If the first or second level tech does not fix the concern then it is escalated until we get to someone who can close the case.

Implementation Rating
Dropbox
I can not say it enough - this was the easiest implementation we have had with an application. I became an admin, I added the person who would be the back up admin, we moved forward with adding accounts and that was it. All the users we have were self sufficient enough to move forward with very little guidance and the guidance they received was in house.

Good documentation for the API. With a little help from RS tech staff, any competent programmer should be able to integrate RightSignature with an existing system in a week or three. That help is easy to get as well

Alternatives Considered

Dropbox Sign seems a little more intuitive and user-friendly than DocuSign. DocuSign also has a limit to the number of documents that you can send for signature over a period of time. Dropbox Sign integrates with just as many applications and software as DocuSign does. I also think the amount of templates that they give you to use is more than adequate for most business applications and more than other services seem to give you.

ShareFile is easier and does what you need. I have moved a few organizations from SharePoint to ShareFile. Just easier. You can setup different areas for different departments, setup their permissions and it is easy enough for them to do what they want in their zones. The mobile app works great as well. So you can all the features you really use from SP, but just easier to setup and use.

Between the easy to use app, the pricing, and the team at dropbox. This app is hands down great! Easy to use. Anyone can start using it and if not I am sure the team at dropbox will guide you to implement. The cost especially for us as a nonprofit is sustainable which is great.

Return on Investment
Dropbox
  • Faster time to contract signature-less overthinking because they sign with their finger on the phone with the sales rep.
  • Reduction of paper waste and organization.
  • Ease for sales reps to quickly choose and alter any agreement they need while on a call.

  • It's been huge in allowing our freelancers to upload a doc or email comp into the system and initiate a workflow so that those inside the organization can provide feedback without the need of staying on top of emails/messages. It's all located in one place.
  • The time suck from the previously-mentioned annotations issue has caused me to lose some productivity as I have to 'wait my turn' to drop in an annotation, then have it removed, and re-attempt multiple times. Not a huge impact on ROI, but it does affect productivity.
  • From the product side, it is helpful for me to reference what the content will be on our website before the page goes up, as well as the copy we send to our retailers who resell our products. Our marketing lingo stays even across all touch-points because of ShareFile.
