We currently have a scenario where we print 1,000 documents per month, one for each resident. Because of DocuWare's ability to process barcodes, we dump that pdf to DocuWare and it files it into each resident's account. We then run scripting to add each of those documents to our cloud-based property management software. Saves having to process one document at a time per resident.

Ease of navigation is probably the top seller for me. I might work on a dozen or more separate files per day and I need to be able to switch between files efficiently, especially when asked to find something quickly. Naming conventions are simple and easy to use. Searching for a document, even when there are hundreds, is pretty simple and straight forward.

  • Forced structure via hooking into every day applications and producing Worldox Open and Save constructs versus the standard application Open and Save menus.
  • Extreme customization options including cabinets, folders, and document types.
  • The indexing system is very useful for locating documents by name, body, date, etc.

  • No active directory integration, this doubles up user management.
  • No Outlook integration. Would be nice to be able to interact with Docuware from email.
  • No mobile application. We have many remote users that would benefit from this.

We use a third-party company to assist in the support process, and they have been great to work with. Quick turn around on issues and almost immediate communication concerning support tickets. They are more than willing to consult with our IT partners as well, which is a must for our business.

We actually moved from DocuWare to Plate IQ because Plate is restaurant specific and shares many item codes, SKU #'s, etc from major vendors. However, we continue to use DocuWare for other data management because it was so useful to us while we used it for AP.

  • Versioning and document preview can also improve productivity versus opening individual files.
  • Can require a "revolutionary" change in the workflow as the application's Open and Save prompts are radically different than normal application usage.
