Zoom

Zoom is perfectly equipped to handle internal and external meetings. The settings that they have built-in make it so simple to adjust and have exactly the type of meeting you'd like to have. The video feature is incredible where you can interact as well as the screen-share feature. We have only run into a few problems with Zoom on the recording aspect of it so maybe consider have a separate recording running.

GoToMeeting

GoToMeeting is well suited for medium to large institutions. The capability to have a large number of attendees to a meeting is ideal for this. It isn't as good for smaller groups where a video conference would be better for those individuals. Still, sharing screens and asking questions in the meeting is very good here.

Pros

  • Its ease of use is incredible. This helps us with clients and internal use.
  • The whiteboard feature and recording features are so seamless and we constantly find ourselves using it.
  • The settings are very easily adjustable and help us when accommodating a large number of individuals.
  • We've found that the audio is incredible because of the individual connection required.
  • Also, we love the ease of integrations with other products such as Google calendar.

  • GoToMeeting is great at getting users to install it who would otherwise have issues with new software
  • The screen sharing works better than most of the competition
  • Meetings with large numbers of users are still very easy to run and work well

Cons

  • One persistent bug comes when switching between multiple accounts on one computer. For some work contexts, I use our business-level account to facilitate calls with larger numbers of participants. When I switch back to my personal account, the display name from the business account persists and will continue to reset back to the business display name even after being manually fixed.

  • GoToMeeting does not identify attendees who only use the dial-in feature - making it difficult for the moderator to capture attendance for those who did not join the web portion of the presentation. Risks security issues.
  • Moderators have to log into web portion of GoToMeeting in order to access/set up conference line, making it inconvenient when on the road.
  • The audio portion of the presentations has a tendency to disconnect while recording presentations - most times users do not notice and are able to still access the presentation hassle free after the fact via the recording, however, it raises red flags for moderators while recording/facilitating the event.

Usability

Everything is easy to understand and use, new users need no training. On the flipside there are minor annoyances such as calendar export being cumbersome (need re-auth every time) and also not having recordings shared within a team or forcing people to name them.

There have been less than a handful of outages during our two years with Zoom, and whenever there was one, an email informing us of the outage went out immediately, and they had the issue resolved shortly thereafter.

Zoom has among the best performance of any video conference platform, as I've mentioned several times. Besides that, their Chat platform works great, and their back end always runs smooth. It's unfortunate that reporting can now only be done by one month at a time, but nonetheless, it only takes a second to run any kind of Zoom report, whether it's an attendee report, Poll results, a user report, a list of meetings from the past month, etc.

As I've written before, Zoom makes us feel like we matter and that we're a client rather than a customer. They want us to succeed and they put in the time to make sure that we do. I feel like they're more of a business partner rather than simply a vendor or supplier. They spent a lot of time onboarding with us, giving us demos, helping us get set up, and then giving us follow-up to be sure it's going well.

If you receive any pushback from higher ups, point to any of the various positive reviews like this one. Or show Zoom's excellent Gartner report, or articles describing Zoom's partnership with Sequoia capital. It's not difficult to show how Zoom is a trustworthy industry leader with best-in-class technology.

Alternatives Considered

Zoom is, hands down, the best video call platform available. I often recommend Zoom to folks I've seen struggling with all of Zoom's competitors. Zoom is very easy to use for MOST people. I give this a two thumbs up!

GoToMeeting is hands down the easiest to integrate and setup. The audio and video quality are fantastic, everything is clear, demos are easy and meetings much smoother and less time consuming and from anywhere with an internet connection.

Scalability

Because the Basic licenses are completely free, and because it's very easy to configure and install Zoom, and because anyone can join Zoom from a link without needing an account, scaling is a Breeze. There are absolutely no roadblocks. My company keeps adding more Zoom Pro license every week since it's so in demand. We were able to convert users from several different platforms onto Zoom with no trouble at all.

Return on Investment

  • No matter what, Zoom is amazing for collaboration.
  • Zoom's Slack integration makes Zoom calls nearly immediate to generate!
  • The ability to save recordings is very simple and easy to share with colleagues who couldn't attend calls.

  • There is always a positive outcome when using GoToMeeting. So far there is no negative ROI for our business objectives. Of course, if you are using it professionally where it well suited there are always positive outcomes but if there is misuse it may impact you negatively.
