Limitations

Microsoft Teams and Zoom both provide strong features in their area of expertise, but they also have some limitations that can impact their effectiveness.

Microsoft Teams loses some of its utility if a business is not using the Microsoft suite of office software. This is important to consider as Microsoft Teams also lacks many third-party integrations. Microsoft Teams can also suffer from a clunky UI and a steep learning curve, leading to frustration if users aren’t properly trained on how to use the software.

Zoom has powerful web conferencing features but is missing some of the collaboration features that Microsoft Teams has, such as live document editing. Zoom also experiences some performance issues with international conferences if the connection is less than perfect. Some platforms, such as Chromebook, may be lacking polish or feature parity with other versions of Zoom. Lastly, the free pricing plan for Zoom has a time limit of 40 minutes on group conferences.

Pricing

Both Microsoft Teams and Zoom offer a free version of their software with limited functionality.

Microsoft Teams is included in Office 365, which has three tiers of pricing. The Business Basic tier is $5.00 per user per month and includes a small number of Office services including Teams and SharePoint. The Business Standard plan costs $12.50 per user per month and includes the Microsoft Office Suite (Word, Excel, etc.). Lastly, the Office 365 E3 plan costs $20.00 per user per month and includes advanced security protection and support for hosting online events with up to 10,000 attendees. All Microsoft Team’s plans require a one year commitment.

Zoom’s Basic pricing tier is free and allows unlimited one-on-one meetings and 40-minute group meetings with up to 100 participants. The Pro pricing tier costs $15.00 per license per month and allows meetings as long as 24 hours. The Business tier costs $20.00 per license per month and includes custom branding and SSO options, with group meetings of up to 300 participants. Lastly, the Zoom United Business tier costs $30.00 per license per month and requires at least 10 licenses. This plan includes unlimited cloud storage and phone features.

Which is Right For You?

Microsoft Teams is a good choice for organizations that already use the Office 365 suite. Microsoft Teams easily integrates with Microsoft’s office suite of products as well as other software such as SharePoint. Lastly, Microsoft Teams is great for businesses that can make use of the collaboration features such as the live chat function.

Zoom is ideal for businesses that want the best quality audio and video conferencing available. Additionally, Zoom might be preferable for businesses that conference with people outside the company network frequently, as it is simple to set up outside audio/video meetings. Zoom may also be a good choice for small businesses that can make best-use of its free version.

  • I love how easy it is to set the focus on the presenter. It is annoying when people don't spotlight themselves as a presenter, so you get to see the whole gallery of attendees in smaller, two-inch windows.
  • I like the capability of having break-out rooms. Even though I don't use them very often, it is nice to have them available if the right situation presents itself for smaller group chats.
  • The recording quality is better than I have experienced with other products (Microsoft Teams, WebEx, etc.), and the fact that it is already an MP4, so I don't have to convert it for publishing on our intranet is huge to me.

  • It uses lots of computational resources while running and thus, slows down the system sometimes.

  • Every time someone enters the chat, a chat box appears on my screen, and some features are missing from this version.

User experience has been much better than the previous Skype for Business app. It has an easy-to-use interface with persistent chats. The search feature is very fast and useful. MS Teams has mostly focused on Collaboration and team building features which are very useful for organizational communications. Since Teams is accessible from multiple platforms like Laptop, Desktop, Mobile phones, etc it has been very convenient from a Mobility perspective.

Zoom is made for the non tech office. It has features that can be made to do what you need to run things on a day to day basis. Immediately we we able to get meetings going with remote employees. It's unfortunate that reporting can now only be done by one month at a time, but nonetheless, it only takes a second to run any kind of Zoom report, whether it's an attendee report, Poll results, a user report, a list of meetings from the past month, etc.

Using Microsoft Teams has resulted in much faster business communications with both co-workers and consultants. There has been little need for support with this software as the interface is very intuitive and the product is overall very well designed. We did encounter an issue with the built-in phone service, however, this was quickly resolved by the support team.

As I've written before, Zoom makes us feel like we matter and that we're a client rather than a customer. They want us to succeed and they put in the time to make sure that we do. I feel like they're more of a business partner rather than simply a vendor or supplier. They spent a lot of time onboarding with us, giving us demos, helping us get set up, and then giving us follow-up to be sure it's going well.

Or show Zoom's excellent Gartner report, or articles describing Zoom's partnership with Sequoia capital. It's not difficult to show how Zoom is a trustworthy industry leader with best-in-class technology.

Our company and IT department previously used Skype for our communication needs. Skype was not dependable in my opinion, because it seems each time I used it during a call and/or a meeting, I and several other team members would get disconnected more than once. This caused a great interruption of our meeting, caused team members to have to ask others to repeat themselves and caused a general lack of interest in employee attendance during meetings.

Zoom cannot be beaten for ubiquity - 100% of my clients and prospective clients are already familiar with Zoom. This is the #1 reason why I use Zoom. Additionally, Zoom integrates with AcuityScheduling, saving me a lot of time in creating meetings and adding them to the calendar. Zoom is disappointing in terms of video quality, interactivity features, and privacy. In cases where I need to use the recording of webinars for digital products, I will always use Crowdcast, and in cases where privacy is essential, I will use JitsiMeet.

Honestly, this tool is worth every penny. Yes, it's not free and you pay for the quality of services and the license. But the ROI and the benefits are all there. Also, the renewal, negotiation, and contract terms are all very well explained by our Microsoft account manager, and she's a charm.

The billing and price model is really fair for so many functions that they offer, our remote work requires each of the features that Zoom offers, so accepting payment for a tool like this is the least we can do. I like that billing arrives on time and that they offer opportunities and payment times.

Because the Basic licenses are completely free, and because it's very easy to configure and install Zoom, and because anyone can join Zoom from a link without needing an account, scaling is a Breeze. There are absolutely no roadblocks. My company keeps adding more Zoom Pro license every week since it's so in demand. We were able to convert users from several different platforms onto Zoom with no trouble at all.
