Learn More About Data Mapping Software

What is data mapping software?

Data mapping is a process in which multiple data sets are combined into a single database through matching fields as part of the ETL (extract, transform, load) process. The common format of the data is called the target schema. Data mapping software are the tools used for this combination. While this sounds like a simple task, different databases store data in slightly different ways, and a slight misinterpretation could be amplified through further analysis of the data, leading businesses to make decisions with inaccurate data.

Data mapping software have many paid and open source options as well as on-premise and cloud-based platforms. There are a number of use cases for data mapping software, but generally, these tools are used for data integration, data migration, and data transformation.

In data integration, data is taken from multiple sources and combined into one. For example, a company may collect user satisfaction data through internal surveys and contract out to another company to collect additional data. This data is unlikely to be in the same format, and data mapping is necessary to ensure all of the customer satisfaction data fits the target schema and can be used for further analysis.

Data migration is when data is moved from one database to another. If a company switches between database options, it is unlikely that data will be stored exactly the same way in both databases. Data mapping software can ease this transition by ensuring that the existing data is altered to meet the target schema of the new database. While it sounds simple, this is where manual data mapping can go wrong, and where data mapping software can be an asset.

Data transformation is when data is changed to the desired format. For example, data may be stored in the target schema in the database, but the data needs to be in a specific format to be analyzed in another program. Data mapping software can bridge that gap.

Three Data Mapping Techniques

  • Manual Data Mapping: Data is manually mapped or hand-coded into the target schema by an IT professional. This is a tedious and time-consuming process and does not use data mapping software.
  • Schema Mapping: Less time-consuming than manual data mapping, schema mapping semi-automates the data mapping process. Data mapping software is used to form a relationship between the data and the target schema. The information is then checked by an IT professional who can adjust as needed.
  • Fully Automated Data Mapping: The most user-friendly option and the only one that does not require an IT background to complete. Fully automated options generally feature a drag and drop feature and require no coding to combine data into the target schema.

Common data mapping software features

  • Data integration
  • Data transformation
  • Data migration
  • Electronic Data Interchange (EDI) Exchange
  • Cloud integration
  • Salesforce integration
  • Code-free interfaces (on some products, not all)
  • Real time testing
  • Support for multiple data formats including XML, ERP, CRM, CSV, and Excel
  • Data profiling that finds data quality issues

Data mapping software comparison

When considering data mapping software consider the following:

  • Level of automation: A fully automated tool may be the best choice for a company where the people tasked with most of the data mapping do not have strong IT backgrounds. A schema mapping tool requires an IT background and some basic coding skills, whereas many fully automated tools do not require any coding skills to use.
  • Cloud usage: Data mapping software are available in on-premise and cloud-based platforms. If your organization is already using or planning to move the a cloud or hybrid-cloud for data storage, and needs to share data across multiple locations, it may be worthwhile to pursue cloud-based data mapping software. Whereas if you are based out of one location with on-site servers, an on-premise data mapping solution may be the best fit for you.
  • Input and output data formats: Data mapping software vary widely in what input and output formats they’re most compatible with, so ensuring that you choose the one that works best with the products you most frequently use is crucial. Some products work best with SQL databases, while others are built for NoSQL datasets. Obviously, if your staff use Excel spreadsheets extensively for data analysis, you don’t want to chose a data mapping software with limited Excel connections.
  • Security and compliance: Not every data mapping software has the same level of data protection. Certain products are HIPAA compliant, for example, which is required for anyone in the healthcare industry. Ensure that you choose a data mapping software that meets the security requirements of your company.

Pricing

Pricing varies based on which format of data mapping software you choose. There are many open-source options that are the most affordable option. On-premise and cloud-based platforms are generally offered as a monthly or annual subscription. There are free plans with limited features that may work for smaller businesses with more limited data sets, but for those who need enterprise level data mapping, costs start around $500/month. Most pricing is custom based on the solution that best fits your company’s data set and feature needs.

Frequently Asked Questions

What is data mapping software?

Data mapping software allows for companies with data sets that are in different formats and locations to consolidate their data through migration and integration. Companies can also transform that data into other formats to be used for further analysis. Data mapping software is available in cloud-based, on-premise, and hybrid formats. Products vary in features and the level of coding skill required to utilize the software.

Who benefits from data mapping software?

Companies with large amounts of data in multiple formats or who want to move between databases would benefit from data mapping software. Due to costs, smaller businesses may benefit most from an open-source option that requires more setup but is much more affordable.

How much does data mapping software cost?

Data mapping software has many free plans with basic features as well as customizable open-source platforms. Open source products generally require coding ability to use, but can greatly decrease costs. Pricing for paid products is generally custom based on a company’s needs and the size of their data set, but generally starts around $500/month. Paid products usually do not require that the user know how to code and are more user-friendly than open-source products.
