Currently, EMS is being used for non-academic events scheduling in general and only academic events just for the Law school. I have heard that EMS is very robust for the non academic events scheduling but that it still has some hiccups in the academic side, like for the schedule of cross-listed or combined sections.
  • Non academic booking
  • Keeping all reservations in just one booking
  • The fact that a reservation can be moved, copied, etc from the booking or calendar view
  • Printing information easily from most views
  • Total accurate enrollment counts for combined sections and the optimización process
  • Coding as “conflicts” spaces used by combined sections
I will have to test the system more on the area of my work. I have just express what I have heard from colleagues from other colleges/schools.

We will be rolling out EMS for our non-academic spaces. We will be launching early next year.
  • We are excited about the reporting feature.
  • Adding/managing services
  • Ability to edit labels and how it appears on the website. Our room names are constantly cut off.
  • We would like the ability to embed live links.
  • Make it more Mac compatible. About 1/3 of our user have a Mac.
We haven’t launched yet but EMS seems like a great tool to manage our conference rooms. We are exploring at using it for other items such parking spaces, etc.

We use the EMS software to schedule our conference spaces to nonprofit groups in the Greater Cincinnati region and internal clients. I allows us to streamline our scheduling of our conference rooms and it helps keep us organized as to prevent double bookings. We use the software to invoice clients as well.
  • EMS doe a great job with allowing you to book meetings instantly using the booking. We have many nonprofit groups who have last minute requests and using the booking to make these last minute requests is very helpful.
  • EMS does a great job with editing multiple reservations using the reservation wizard function. When clients want the change the ending time to a group of bookings, We can use the wizard to perform the changes quickly and efficiently.
  • EMS does a great job at creating invoices for clients who use multiple services. We use to use excel to create invoices. Since implementing EMS, we are able to easily invoice clients via email after their meetings.
  • EMS often crashes when too many windows are open often during critical times. A fix for this would be greatly appreciated
  • EMS Web client could use an update that lets client add meetings to their calendars flawlessly.
EMS is well suited for handling a group of bookings using the wizard function. EMS is also well suited for handling reservations from outside groups using the web client. EMS is not suited well for Outlook integration in my opinion. Clients often get their reservations added to the wrong date in their Outlook calendars. This results in people showing up for meetings that were not scheduled that day.

We currently use EMS for events and are transitioning to it from 25live for academics. We are very early in the process, going live Nov 1. It has been helpful having the software on campus already with helpful colleagues as we integrate.
  • Ease of utilization reports
  • Ease of interface for everyday users
  • Ability to interface with Metasys to manage HVAC
  • Training has been somewhat challenging as we work to implement for academics. Staff on campus currently utilizing it seem more well versed than our trainer with EMS.
  • Add an emergency contact and number field - this would be extremely beneficial versus building a user defined field - particularly in this day when Emergency Management is vital.
  • Shorter auto sync times with SIS.
Well suited for events but could use some work on reporting tools and academic information. Would like reliable robust utilization reports. It seems some are finding this challenging.

All groups use if for their specific needs including scheduling classes/exams, reserving athletic/performance/meeting spaces, and using it as a daily schedule for managing spaces

EMS works great for managing our meeting spaces from the date of booking through the end of the event. The invoicing system is not as user friendly as other applications

EMS is utilized to manage all academic and non academic spaces on and off of our campus. It is a vital part of our safety and security efforts as well as reporting.
  • Allows us to schedule reports to be sent to our campus partners.
  • Allows for one central system where our security team can track building occupancy and activities.
  • Allows us to be efficient and I terminal is space utilization.
  • Would definitely like to see improvements in billing portion of the system. Need the ability to be able to update invoices after creation.
  • Would like to have a set up wing on bookings so that it will have set up time, access time and event time in one booking.
For our higher education setting EMS is perfectly suited to manage both academic classes and non academic events. It helps us manage space effectively and efficiently and is one source of occupancy overview for our campus safety team.

It is also being used by the OTS department to assign services to to various bookings Currently event service and academic scheduling are in separate offices, but we do work together to assure the rooms are assigned to the right class and person
  • Quick and easy room change. This is valuable for support personnel, who don’t necessarily need to know all the details, but just how to find a satisfactory room in a hurry.
  • It does a good of of detailing basic room usages and translating this into a report. It’s not a pretty report, but functional
  • When it works it works...it is quick and once it is published, it’s pretty easy to manage. Good Dashboard and I like that the notifications are easy to locate and respond to.
  • Reporting functions are basic and serviceable, but they could be easier read if all the “junk” spaces could be removed.
  • Automatic or Manual update, I have used both, because sometimes the Automatic update doesn’t always work. That it is not always dependable shakes my faith in EMS results.
  • A simple set of instructions alongside the detailed instructions.
It's flexible and can be adjusted to the users requirements, but this can be a challenge. Sometimes a simple set of instructions is easier. With EMS a solid, well-informed, dedicated OTS department is instrumental to a successful implementation. So it’s well suited to most room scheduling, but best with informed OTS support.

EMS is currently used only in the Medical Conference and Education Center. This is good because this is where the larger events are, however, having all the other rooms on Outlook causes confusion and extra steps with our 1000 users.
  • No double booking - amazing for our clients
  • Organizes and coordinates multiple departments and services
  • Keeps a detailed history for accountability-sake.
  • The wizard is amazing, but would like to make recurring meetings easier for the end user
  • More technical support for out IT team. Confusing knowing who to contact

The whole campus uses it for catering orders, room reservations, facilities, IT requests.

Business problems: it allows the users who input catering requests to be lazy, I feel it could be a little more user friendly in that regard to simplify their requests, to allow more pop-ups or pop-ups that make them make an immediate selection to continue.
  • It makes reserving a room easy
  • The calendar is great
  • Makes billing simple
  • Being able to set reminders for menu confirmations is noce
  • It' s great for multiple users in the same department
  • Getting the system fully set-up is not the easiest
  • Multiple people confirming events from the same department could be a little more user friendly, some people will get multiple confirmations because their event did not pop off the line-up
  • Maybe holding more training sessions for users on inputting events/menus
  • Putting the menus in should be a little easier
  • Confirming events should not take so many steps either, it's time consuming

EMS Software is being used by multiple departments (professional schools) around our university. It is used to facilitate the use of space around our campus for both academic and non-academic purposes.
  • The EMS web app is intuitive and easy to use for people without conducting any training.
  • The academic sync is useful and simplifies the process of bringing in academic courses from our SIS
  • HRTK is very useful for automatically synchronizing our users from our identity system into EMS.
  • While academic sync is good, it can be improved. For example, it should have triggers that fire for an academic conflict. These triggers should be able to send an email and/or light the indicator on the desktop.
  • Master Calendar requires a attention. It is non-compliant from a WCAG 2.0 AA point of view. It also requires, at the very least, a major facelift.
  • Moving common space administrator functions to a web UI. For example: approving reservations, making a reservation (as an admin), reporting.
Well suited: reservations and requests of both academic and non-academic space & approval of reservation requests.

We currently use EMS to schedule all of our Academic classes and meetings/events on campus. We are working on requiring it be used by any department on campus to schedule so there is only one platform.

It addresses our issues of space utilization and scheduling.
  • Reduces stress of double bookings - several departments on our campus were using Google Calendar to schedule.
  • User friendly - EMS is very easy to use and configure as an Administrator.
  • Communicates across departments - an easy, one platform solution to communicate with various departments on campus about a single event
  • MAC integration - it's difficult for our MAC users on campus to utilize EMS fully
  • Greater invoicing and tracking of billing capabilities
Very well suited to our campus needs. I cannot think of a way where it would not be appropriate.

We use EMS with all staff for the booking of conference room and event spaces. We primarily use EMS for Outlook for staff. It allows bookings in spaces, no double bookings, and is a trustworthy product.
  • Centralized booking system— keeps everyone on the same page and grants everyone the same access
  • Automated reports- make our life so easy and we can send them out everyday in a mass email. It helps us catch errors on our staff or cancelled meetings.
  • Timely answers to our support requests. I usually hear from someone in a timely matter and I really appreciate that!
  • Bugs- we have had constant products bugs since launching EMS in our organization. I often check the known issues and when I report bugs I am told it’s a known issue. It’s never in the logs. It also seem to take months to resolve bugs and in the meantime others pop up. I can’t get support because I haven’t upgraded to the newest release—but we don’t have the capacity to upgrade monthly. This has resulted in lots of confidence loss in the product from our staff.
  • Our organization is small and very traditional. Getting buy in for new technology is nearly impossible. I often don’t feel like we are part of the EMS family as we don’t often speak to anyone except IT when I have technical issues. We had a significant issue last year and at the last conference spoke to our account manager. I never got the problem solved and I haven’t heard from her since about two months after the last conference
  • We sometimes want to combine automated queries to minimize emails. I was told this isn’t an option but would love this in the future.
EMS is well suited for scheduling. I haven’t found any instances where it’s less appropriate

Has been used in the Student Center for 20 years +/-. Recently migrated to cloud and expanding to cover entire University on 3 campuses.
  • The reporting capabilities are robust. They can inform decisions on many levels from basic space use policy to capital planning.
  • Robust options in the web app limit the amount of time desktop users have to spend communicating offline.
  • Cloud support is currently poor. I find the response time slow particularly because regular support services has to play middleman to the process
  • I would like more detailed information on the website about how different integrations and optional modules are leveraged. I’m not always ready to get on a call with my rep. I want to be able to read, absorb, ask questions on my end and then engage.
  • I can’t speak to specific examples because I am not a tech person but I have heard from multiple IT people n my campus that the documentation they need is not great.
I would love to just have some simplified lay person explanation-of all of the integrations and modules. It feels choppy the way I discover them. Would love to see some more aesthetic layouts for the standard confirmation forms. Complicated reservations with a lot of detail are difficult for customers to verify. Something as simple as holding the categories would be helpful.

EMS is currently being used by our entire campus. My department specifically uses EMS to book and manager space that is leased by corporate clients. It specifically solves the problem of managing and booking space. We are also able to store event related documents in EMS, which solves the problem of physical file storage.
  • Does not allow you to over book space
  • Allows you to manage customer profile
  • Allows you to query reports
  • I would like more options for the set-up worksheet query. I want to be be able to query a set up worksheet for the week that would allow me to sort my event.
  • I would like it to be more intuitive. If I am booking a repeat event, I would like the current event to some how reference the previous events, without me having to do a customer search.
It is well suited for booking and managing events. For example, I am able to enter all of my event details and print a confirmation, similar to a hotel BEO. I can also store event related notes and documents. Our education portfolio also uses EMS in the same way. I honestly cannot think of a scenario where it would not be appropriate to use.

We use the EMS Software program to reserve space and services across campus. We currently have three different areas on campus that are utilizing an EMS software and we are in the process of merging the three. Once the merge happens I believe that there will be a better connection across campus in regards to reserving space.
  • Reserving space. It works well because it is accessible for people to see what is available.
  • Requesting services, such as: trash requests, grounds, and general services. This is useful to keep track of how where and when these services are needed and who to bill to.
  • Billing: The invoice option is amazing because we can adjust it to the different organizations so it is consistent.
  • Setting up reports and quarries. It takes time to get the information you need.
  • I personally need to learn to use the reminders but because I don’t click on it I forget to check it. Therefore, not utilizing the reminders.
  • Is there a way we can change the background color of the program?
Our dispatch crew needed to put out an outage for an outside area, they were able to access EMS to see when that space was available. It is nice that other departments that do not use it as an event reservation can still utilize it for other campus needs.

EMS is being used by our Event Services department. It is being used to book space, a/v equipment, catering, and other equipment and services for multiple rooms across a couple different buildings. It helps us manage and reserve space and the other things our clients need to have successful events.
  • It makes it really easy to get started with reservations via a couple different methods. Using the book, the wizard, or starting with the client group are just a few ways you can get started depending on what you’re trying to do.
  • The software has tools called wizards which help you copy detailed events or make changes to a variety of bookings. This helps save time by not having to input the same complicated information for events that repeat every year.
  • The visual representation of bookings is very helpful. You can easily see and modify set up and event times, as well as see information about the event at a glance. This helps make new bookings easier and view the building at a glance when you’re working with operations.
  • The printed confirmations that we send clients could be prettier and easier for clients to read. Sometimes they have a hard time understanding exactly what they’re looking at.
  • It would be nice if we could set certain data to pull in automatically at the client group level, like reservation source.
  • I would like to be able to automatically email attachments that are specific to rooms, not the whole reservation.
EMS is well suited for scheduling rooms that are being used for events. We use it in a university setting, for scheduling rooms used by student groups, departments, and external clients. We don’t use it for booking internal drop down office space because we don't like having to enter reservation information every time.

EMS is being used by multiple departments and space managers. We have catering and media services included in our resources. We are hoping to get facilities added to EMS soon so our users can request their event set ups.
  • Easy to navigate
  • See an overall view of all spaces

  • I would love to be able to select multiple rooms at once when using the wizard to start a new reservation(when all times are the same)

We use it for basic room reservations and confirmations in our office. Our University uses it for events, student life reservations, academic classes and so on.
  • Love the booking wizard. Makes changes or mass booking easier.
  • Being able to drag a reservation.
  • Love having option to create “ my views”.
  • Wish there was a bit more flexibility in confirmation emails. If one department changes the subject line it changes for all departments. Maybe an issue with our university though, since we are upgrading.
For us it’s well suited for all basic reservations. Working on implementing more of the functions it offers to our normal policies involving reservations.

EMS is currently being used to manage the rooms and spaces that are in the Student Center and other spaces on campus. It is used on main campus and the Medical School.
  • Does not allow for double booking
  • Saves valuable time for staff
  • Allows for easy use and visibility
  • It still looks a little hard. Softer lines, flashier look might be nice
  • Can be slow
  • Keeps multiple windows open. I wish it would close them when you move to another one.

We use the application to manage room, catering, parking and hoteling. EMS addresses the business requirement to manage meeting space. It also helps us to organize parking spaces for over 700 employees.

  • More work is needed on seemless Outlook integration
EMS does its job on room capture details, floor plans, setups, technology (Skype rooms etc). Managing and displaying reservations is seamless and the usage reports are great.
