It is being used by Human Resources to help support and interface with our HRIS as well as the record of electronic time keeping for all employees and managers. Previously the agency was using paper timesheets so implementing ADP electronic timecards made the payroll process more efficient. Managers are now able to run reports too which has been useful especially with monitoring time off and benefits.
  • Employees enjoy the 24/7 access to their timecards, pay stub, annual statements, and accruals.
  • Managers now have up to date information to review attendance as often as they like.
  • Payroll has been able to eliminate many manual internal processes as a result.
  • Time off reports are easily accessible.
  • Manual calculations are eliminated thus ensuring a more accurate payroll for hours worked, overtime, and benefit usage.
  • Reporting always seems to be difficult and not as user friendly as it should be. We have had to compensate for such by providing more mgt support ourselves or create the reports ourselves.
  • There have been some internal procedures that ADP has not been able to accomodate causing us to still have some manual procedures.
  • Lack of support and communication during the implementation stage and did not meet the expectations of what our sales person promised.
  • ADP ACA product was very manual and support for it were not knowledgeable as would be expected.
  • Time off feature should provide alerts or not allow time off to go into the negatives. This is not an exception.
[ADP is well suited for] Smaller agencies with a regular payroll and not a complex payroll. Users must be familiar with databases, reporting, etc. as system is not as user friendly as we would like. The cost is also a factor especially as the basic system does not include other features such as performance management, dashboards, etc. I was hoping to have access to the dashboards. Reporting should also provide more sample reports.
  • Overtime has been reduced as we now have the ability to review it without a time crunch following receipt of paper timecards.
  • Payroll is more accurate as all the calculations are made within the system leaving less room for human error or abuse by the employee.
  • Staff have more access to technology with use of lap tops and feel more comfortable with some of the self service features available.
  • Communication of employee information has improved with use of the home page portal.
Cost and time spent on implementation were factors. ADP is reputable as well. Concerns were costs are high and extra modules that should be part of the standard are high.

General staff utilize it for documenting time worked or requesting time off as well as access to the ADP portal, managers have access for reports as well as approving the time cards, and senor managers also have the same access as the managers with additional review of staff. Benefit accruals are seen by all for applicable staff.

Our payroll person handles the day to day usage of ADP as well as reviewing the ADP time cards and ensuring all new hires, terminations, and changes are made within the system accordingly. Knowledge of ADP Workforce Now and reports is a requirement for her to support such. The HR Manager and myself utilize for more benefit administration.

  • Allow staff to work in a variety of different positions be able to use the system more effectively.
  • Resolve issue of staff working overnights with the am/pm issue causing overlaps.
  • Improve requests for time off.
Still have some issues with it but usage seems to improve.
Yes
PCP payroll and a HR access system. It was a need to help with improved efficiencies as the agency was growing and we needed to ensure we had an HRIS to handle such as well as a need to replace paper time sheets with electronic time cards. Managers needed better access to these records as well.

We wanted to be ensured we received a product that worked and that are staff could benefit from. The issue of increased cost was a concern and unfortunately were not able to take full access of the other ADP features or modules available. Our sales person also "sold" many features which sounded great but later realized they were extra costs or not as effective as demonstrated.
I would have required more information in writing from the sales rep. I would also ensure we were assigned a project manager from ADP or received a listing as to who would be part of our team and what questions we could ask of each. This was not given until I had to repeatedly ask.
  • Implemented in-house
No
Change management was minimal
  • Communication was poor.
  • Timelines were not given.
  • Lack of a Project manager on case which was not communicated during sales call.
  • Extra costs were issues which were not discussed at time of purchase.
Should have had a project manager from ADP to assist.
  • Online training
The training provided was based on a generic database and reporting which made it difficult to compare when you had your own database to work at. It also didn't provide good written materials that would be useful after the training session. It was more geared towards the practice tests or applications within the training.

Some - we have done small customizations to the interface
Some - we have added small pieces of custom code

Should not have to with cost of ADP products.
Response isn't timely and some reps are not as helpful as others.
No
We had one of the staff helping with us with the implementation go above and beyond and help in other areas that were lacking.
  • Entering regular hours
  • Entering time off
  • Approving your timecard
  • Looking and reviewing your time off balance.
  • Running Reports
  • Ability to report timecards for more than a pay period
  • Ability to know when you have used up benefits/time off such as a system prompt
  • Supervisors should also have ability to know when you have used up benefits/time off such as a system prompt
Yes
Okay but, the training manual was very long. It would also have been helpful to review the basics of have ADP training available for this benefit. Again training provided does not always meet the needs of staff and providing long manuals are very cumbersome to have as a resource for both managers and staff.
ADP is a good system to track information but, what it lacks is just some detail that provides time savings. Some instances they have made "updates" that tend to have been better previous to those "updates." One example is for staff to see how they have used their time off in the past. There should be an easy way to report and review such other than looking at pay periods. Pay statement and review and totals can also improve.
