Thoughts of using ADP Vantage HCM - from an adminstrators point of view

Our organization uses ADP Vantage HCM for all departments. It is a self service application for employees to maintain their demographic, payroll and personal information. As a shared service organization, it is used for payroll, time management and ACA Healthcare management and reporting.
  • ADP is the leader in payroll processing. The regulatory services, such as payroll taxes are completely taken care of by ADP.
  • The addition of the ACA Healthcare module is a benefit to any organization. Implementation is a mid-size project, not too long, and after go-live is maintained through integration of your existing data. This process saves a significant amount of time.
  • Workflow is a key factor for employee changes with proper approval. ADP Vantage has configurable workflow that can meet just about any need, and an experienced user can do the work.
Cons
  • ADP Vantage can improve on their online help tools. I am a person to use online help before I place a call to support. If the information is available to me, I can quickly proceed instead of needing to rely on assistance.
  • There is core functionality that could use improvements. Split R&D and development time between new product/functionality and enhancement requests from your existing customers.
  • There should be more training available for the Vantage HCM product, specifically to your subject matter experts or administrators. They should have a certification program to administer Vantage HCM.
The self service functionality allows for employees to maintain their personal information, withholding and banking information. The ability to view and print your paychecks and 1095-C records for ACA Healthcare Compliance is very helpful.

ADP Vantage is being used for recruitment, HR, payroll and time at 48 locations across the country. Using the ADP system allows us to implement standard processes and procedures company wide. The system is used daily by employees to record their time and update personal information. It's used by managers weekly to manage employee OT and process status changes. It's is used by practitioners several times a week for reporting, employee information management, OT management, etc. Our corporate office HR, payroll and accounting use it daily.
  • ADP Vantage is great because all the data is in one location, there is no exporting or importing employee data. For employees this is also a benefit as it's one place to go for everything they need, to record time, update tax withholding, setup direct deposit, update contact information etc.
  • I absolutely love the report writing, especially the new tools that ADP has introduced such as the "Field Grabber". It makes it so easy to create and run a quick report as needed. Even our least experienced users have commented how easy it has become to use reporting in ADP.
  • The New User Experience, (MyADP) although is new and not yet completely rolled, out will be a great benefit for employees and for managers who have 5 or less direct reports. The design is so user friendly where there are no instructions needed.
  • Its so easy to manage the user access, and make changes as you need it. The security gives you lots of flexibility. Just today I had a Practitioner who was going to take over the responsibility of a second location's payroll. To give her the correct access to the second location took less than 2 minutes to set up and apply to her profile.
Cons
  • Although Time and Payroll are integrated, it's not integrated enough. The data sometimes doesn't "flow over" to Time and we have to call ADP to have them push it through. When you are on an employee's record in Payroll, you can go to any other part of there profile such as Tax Withholding, Deductions, etc...which is great, but if you want to go to their timecard, you have to go into Time and do another search to find the employee then open the timecard.
  • The audit trail in the system needs to be enhanced. Currently you can run a report to get an audit trail on user activity, but not all screens are auditable. If I need to know who made a change to the Time Information screen, and when the change was made...I am out of luck.
  • Some records should not allow backdating the effective date. This causes us problems with data validity. For example, Direct Deposit, you can't change history so this screen should never allow you to enter an effective date of a closed pay period that already was paid.
  • The Time Off Request feature has lots of room for improvement. One of the biggest issues we have is that a manager will Approve a request then later realize they need to Refuse it, or the employee needs to Retract it. The system gives you the option to open the Approved request then you can Retract or Refuse it...but that action does nothing. Common sense would tell you it removes the PTO day, but it doesn't. To remove a prior Approved PTO day you have to go to a completely different area, which the average user would never find.
  • Our employees earn an annual amount of PTO based on their hire year. The system should not allow them to use more PTO than what they earn for the year, but this is not an option. We can easily put a limit on the balance, but not on the amount used.
  • Garnishment module of Vantage is not user friendly, very difficult to use. They do have a WGPS service you can purchase, but if you want to do garnishments in house without paying extra, its a struggle.
I have used many payroll services and software. ADP Vantage is definitely the most advanced and intuitive product that I have used. We have a decentralized payroll, and it works great however I understand most clients do all the payroll at one location, so it suits either way. I not only recommend it for the exceptional product but also for the customer service that ADP provides.

It is used as a single source for all HCM data. Time, Payroll, HR, recruiting RM feeds in.
  • Easy to locate data
  • Steps for processing payroll better than Enterprise
  • Continuous development
Cons
  • Reporting in ADPR is not intuitive or user-friendly
  • Lacks advanced technology that other payroll systems provide
  • It is not as integrated as they think
  • It is too hard to get the capabilities you need to be successful in using the system
ADP does not meet deadlines on projects, they take no accountability for their mistakes, they hold data hostage and cannot access on their own, and make it so hard to get the solutions we need because they only think towards the future and do not help us with issues happening now.

From Paper to Saas

The ADP Vantage HCM is being used across the whole organization. The main practitioners of the software are the human resources and payroll departments, but all employees use it via ESS. Before implementation, the organization was using paper as their main method of communication and documentation. It was a slow, arduous, and frustrating process for the users. Our organization stresses a continuous improvement methodology. Therefore, we put several process improvements in place during implementation. Any time you put in a new system, it is a prime opportunity to improve processes. There is now less paper, less frustration, and smoother, streamlined processes.
  • No one does payroll better than ADP. They have a long standing history of being a leader.
  • The support team to which we were assigned post-implementation is outstanding. Their customer service skills are off the charts, and their response time is good. It's a good match-up of personalities.
  • Having a cloud-based system takes a lot of load off an IT department as opposed to an on-premise software. With so many priorities and other systems that an IT department has to support, it is nice to call a dedicated response team to help with issues. If there are payroll issues, especially, a fix needs to quickly get in place so that paychecks go out on time.
  • Having a cloud-based system that also has mobile capabilities allows employees to access the system any time and place.
Cons
  • The software is still very new. As with any new software, there is a lot of room for improvement. One good thing about ADP is that they are interested in user feedback to make changes. Also, they incorporate changes fairly quickly.
  • The payroll processing time is longer than I've experienced with other software packages.
  • There are a lot of processes that could be put into the hands of the users instead of having to rely on the response team.
  • From my understanding, Vantage is not a global solution.
  • The software has a lot of potential. There are a lot of improvements they need to make to be more competitive in the marketplace.
Since we have been on the software, ADP has made major improvements. I've been very impressed! In fact, my company has now decided to implement more modules. The questions below are questions that would be good to ask before you implement the software.

1. Ask about the implementation phases and see if that aligns with your ideal implementation process. Personally, I would have preferred more testing phases.
2. Ask about how they do their training.
3. Ask about what would happen if you had to change your go-live date (process, approximate fees, etc.)
4. Ask about what fees are incurred outside of the mainstream processes. (off-cycle checks, reports that are no longer available in searches, etc.)
5. Ask about the experience level of the consultants you will be assigned for the implementation.
6. Ask about all of the additional service they can perform (tax filing, garnishments, benefits, etc.)
7. Ask about the functionality of the ad hoc reporting tool and its ease of use

It is used across the organization as a Time Sheet and Payroll.
  • Great automation. When an employee requests off, it will automatically notify me and then send a confirmation back to the employee.
  • I absolutely love the payroll feature, it is easy to find a discrepancy in payroll. Visually appealing pop-ups and animation.
  • The News section easily allows for organizational posts or notifications.
Cons
  • There is currently a bug or defect with the calendar popup and it requires a duplicated click to request off.
  • The monthly time off calendar can be improved visually. Need an easier way to see a big picture for the employee.
It seems well suited for Time Card and Payroll.
