According to Agiloft, this workflow and process automation solution provides a package that is comprised of a flexible and robust data model with a powerful workflow and business rules engine that enable it to map any business structure and automate the most complex business processes — all with no need for custom code.

The vendor says that instead of providing an interface to create a workflow diagram that will still need to be built by programmers, Agiloft provides a drag-and-drop graphical workflow editor that builds and documents the workflow's actual behavior as the user designs it. As a result, new processes can be automated in record time, without programming.

Agiloft Custom Workflow/BPM Features

  • Supported: The graphical workflow editor controls status and state transitions and can trigger the creation of task templates or approval workflows as needed for each business process.
  • Supported: Configurable business rules can validate data, send notifications, update data in linked records or external systems, run scheduled imports and exports, and more. Rules can be scheduled or triggered by events.
  • Supported: Task templates can be applied to any task or approval workflow type, whether parallel, sequential, or conditional. Required, optional, and ad hoc tasks and approvals are all supported.
  • Supported: Powerful search functionality includes historical searching and can find records which meet particular criteria. This is what often drives rule actions.
  • Supported: Charts, reports, and dashboards provide the insight and information you need, whenever you want it.

We use it differently today than we did originally. But it is used to communicate to our stakeholders' project status as well as a knowledgebase for all related docs, etc. It has become our trademark in the marketplace for people to receive communications that have a consistent format. We feed it with reports from a field reporting tool and it aggregates them and sends them out. This platform allows us to perform a lot of tasks with less resources.

Originally we used it as a guide for a workflow and it was amazing. As I stated earlier, we currently use it to decimate status based on tasks, great. We tried to use it as more of a Project Management platform and it wasn't really the best, but it isn't made for that either. Then again, using Microsoft Project can be linked to it to communicate the milestones.
  • Stakeholders - They want status updates - we actually get business because they like our reporting, big ROI
  • It's not a negative impact, but we have gone down "rabbit holes" trying to make it work for applications where it isn't really suited because it is a great platform...understand its limitations
  • ROI - The platform sends out a lot of communications, we would have to add staff to maintain
As with our brains, we only use 10% of its capability. It can be as complex as you want it to be or as simple. The training requirements to use it have been minimal depending on the application. This is really a reflection as to how the workflow was configured.
We have enlisted the help of Agiloft support on various occasions and it has been excellent. You work with an individual that understands your workflow and will help you figure out how to make corrections.
We evaluated a couple of products and found that they were either unable to create the workflow that we needed and lacked support. But to be fair, we evaluated the previous generation of Intellect.

We utilize this unique tool to manage requisitions, approvals, and contractor ticketing. Users across the entire business create requisitions, approvals route to the appropriate budget owners (based on a developed workflow), the appropriate finance team member, the entire accounting team, then the legal team for contract negotiation and purchase order creation. Agiloft has decreased our requisition approval turnaround time by four days - a huge value add to a fast pace high volume company like ours.

  • Flexibility to integrate with other software platforms
  • We have a history of quick but unhelpful responses from customer support. Fortunately, we are able to work with our implementation specialist when support tickets require escalation. There is a clear eagerness to assist, but the communication from support lacks depth. You have to be extremely specific with your desired resolution.
Agiloft is perfect for managing requisitions, linking those requisitions to their appropriate contracts (and getting the contracts directly executed via DocuSign or Adobe), notifications on upcoming renewals, spend tracking, trend analysis, contractor access management and ticket automation, audits, and much more. The tool flexible enough to integrate with other platforms but users need to be made aware of the requirements/limitations of the integrations.
  • Agiloft has streamlined the requisitioning process and eliminated manual effort and repetitive low-value tasks.
  • We now have a single source of truth for our SOC audits.
