Airtable is used by our digital team to help manage the pipeline of over 100 videos we produce each year (short and mini documentary). We track our release dates, completion dates, and the status of each video. Additionally, the platform enables us to create a database of all crew members, editors, speakers, etc. It's a big help to have everything in one spot, especially for future projects. For example, we're able to easily see who we've worked with in the past in specific cities.

  • It's a small team so although they do a great job at replying, it sometimes takes a few days for specific questions.

AirTable is an incredible asset to our team workflow. We create media (video, custom courses and graphics) for a large school district in Virginia. AirTable allows us to log all of our current projects, assign them to specific team members, add custom fields, etc. We love the ease of use on a computer or mobile when we are at a school site. The calendar view is great for seeing upcoming due dates and to show what is completed/in production.

We began using Airtable as a simple, easy-to-implement solution for tracking images in our products. Since then, we have expanded our use of Airtable to handle all our CRM needs, as well as our marketing lists and social media management. We are also considering using Airtable for some of our content development workflow needs. Airtable is, by far, the best blend of power, flexibility, ease-of-use, and cost for online databases. Non-specialists are able to begin using the product quickly and effectively. This is a great product for a fantastic price. I highly recommend it.

We needed an application to coordinate the many projects being deployed, as well as those in planning. Our staff work in many different locations, so the mobile app is key. Some use Macs, others PC. We had to select a cross-platform product. We are visual people, a mix of creatives and producers, making the flexible views key to maintaining product use. Having the attachments within the table should make us more efficient if we are working in the office, at a satellite location, while traveling, or at home.

I have managed too many projects with post-its and flip charts. This incorporates the way we think, visualize and track projects. It is as if they came into the office, looked over my shoulder and adopted our methodology. Finally!
  • Eating the elephant one bit at time -- a visual way to make this point and prevent people from being overwhelmed.
  • Checklist -- at its most simple core this is a super sexy checklist. Progress inspires everyone to keep pushing forward.
  • Capable of handling any task, no matter how complex or over a protracted time line.
  • Ramp up is always tricky. The video clips are helpful, but with all of these 21st center web hosted products it takes time for the user to learn what something/some task is called before you can reach a help center search that helps. Most of the app is intuitive, so this is rare, but pesky nonetheless.
Difficult or simple - I think Airtable can work for any process.

We plan to have all of our employees use Airtable which includes 1 Director, 2 Assistant Directors, 4 Administrative Assistants, 1 Office Facilitator, 1 IT Assistant, 3 Site Managers, 1 Occupational Nurse, and 8 Instructors. We are a non-profit training school for Construction Craft Laborers so Airtable allows us to keep track of our classes, our schedules, our documentation, and our staff and student information in one place, and it also updates in real time for all of us to see. We rely heavily on the Calendar and Grid views to see and keep track of our data. This platform has allowed us to work digitally rather than in paper files which saves us tons of time and money while incorporating an easier way to communicate and collaborate as an organization.
  • Airtable is incredibly customizable. Its vast selection of fields and features almost guarantees its ability to meet any need. The tutorials are also helpful in teaching you how to use these features in a multitude of ways. Airtable is constantly updating and improving these features as well.
  • Airtable is perfect for collaboration. Airtable's ability to update in real time works excellently for collaborators who frequently edit and update tables. Having the history option also makes it easy to track changes, and it gives you the option to communicate with collaborators within the records themselves. Furthermore, Its notification features alert collaborators to specific records that need attention. You will never lose or overlook information in Airtable.
  • Airtable is visually appealing. Unlike Excel or any other spreadsheet platform, Airtable makes it easy to change the way the data is viewed so that the information is much easier to read and interpret. The variety of view types enables collaborators with different preferences to see and manipulate the same data at the same time. The colors, fonts, and general look of the tables, bases, and workspaces enhance the experience immensely.
  • The Calendar view should include a single-day and a 1-week view options in addition to the 2-week and monthly views. Our organization adds many events over the same dates and we cannot view them for a single date given the current options.
  • The Calendar view should also include a way to see more information on a single Event. For our purposes, I want to see both columns 1 and 2 displayed in the calendar view so I can see the name of the Event and the staff member we have attached to the Event. It would be nice if we could select how much and which information to display on the Calendar view.
  • Lists. There should be a Lists field option where you can add multiple new "items" (names for our purpose) and it will add up the number of items on the list and display that information (or have a lookup feature for that information). We would like to then be able to use a function to subtract the number of items on that list from our maximum allowed (in a separate numbers column) to see the number of items (names) we have available.
  • For the Checklists feature, it would be useful to see how many check boxes in a record have been marked complete out of the number of check boxes there are total. We want to be able to link that information to another table to track how complete a record is and/or how many check boxes have not yet been completed.
  • I would like it if we could set a default time for dates. For example, most of our Events fall from 8am to 4:30pm. I would like to be able to set a default so that those times are automatically loaded in Events so I don't have to use the incredibly long drop down menu every time I create an Event.
  • I want the ability to wrap text for the Header row only. I want to be able to see the entire title of the column without having to have a very long column width for the entire table.
  • I wish collaborators could filter views without effecting everyone else's filters. Each person should be able to create their own views and filters while also having the option for communal views/filters.
  • I want the option to give a collaborator with Read-Only status the ability to view only records that are looked to that specific collaborator. We use Airtable for scheduling and we don't necessarily want everyone to see everyone else's schedules. This would be the decision of the Owner(s).
Airtable works well for us since we are able to each update records from our separate computers/devices and the rest of us can see and track the changes instantly. The communication features are incredibly convenient and efficient, especially since we have many co-workers who travel often. The app for cell phones allows us to keep in contact and have the information available at all times. The attachments option has been very helpful in this instance, since it stores documents that are specific to these records without clogging up everyone's emails. Although, it does link to Slack (which we use as a company) and email, as well.

As a small non-profit with a variety of programs and projects, we needed a database and CRM that could be tailored to different activities. We tried a few CRMs, but they were all too focused on a private sector sales model for our needs. After trying Airtable, we found it was customizable enough, without being complicated, to tailor to our specific data and tracking needs. We've only been using it for a few weeks, but it seems as though it is filling the void that we were missing for tracking contacts, properties, and projects we're working on and linking those various lists.
  • The ability to link one set of records to another made it much easier for us to link things that other CRMs may not intuitively link.
  • The ease of customization really makes it work for us, as the data and information we track is not something a lot of other orgs or companies would.
  • The collaboration functions seem very useful. While we just started using these features, in early use, they seem as though they will make it easier for us to all share information across our small organization. This is big when we are all so busy that we may only cross paths a few times a week.
  • I'd really like to see a feature to search for duplicate records within Airtable. Currently (unless I'm missing something), you have to sort your records and then manually search through for duplicates.
  • It would be great to link records across bases. There may be some logistical reason for this, but you can only link records from one sheet to another if they are in the same base (essentially a workbook).
Airtable works well if you really want to customize the data you are collecting/tracking. If your work fits neatly into a workflow that is served by other larger CRMs and database systems, you may not need airtable. But for our small nonprofit organization, it is the only system I've found that let us configure the data and link data in a very specific way.

We are currently using AirTable as a way to manage our project needs. As a platform for the communications team, AirTable lets us document all our tasks while simultaneously managing our timeline for the entire year. The different views have been indispensable for our organization's needs. We also use AirTable as a way to document requests.
  • AirTable allows you to seamlessly document projects and divide them into sub-tasks.
  • AirTable's calendar view is helpful in giving users a more understandable view of project timelines.
  • AirTable's collaborative component is essential to any project teams.

As farmer advisor, we need to keep update info on each crop plot we are managing. On the field, we are able to add disease observation, crop potential, treatments applied, or any relevant information. One of the most useful features for us is the ability to add a picture to the record so that we can keep track of the crop development. As well as come back a year later to remember the history of the plot.

Also, it is of prime importance for us to share the record with the team to make the best decision.
  • We are using the "add picture" feature directly on the field to keep track of our fieldwork.
  • Managing our member base is way easier than before.
  • Sharing the record with our member is simple and steady.
  • Map integration is much needed, not only to map a record based on an address but also to update a record from a map.
  • Display info from airtable directly on a Google map on a mobile device.

We use Airtable in a number of ways at two organizations with which I'm associated. At AdPoint Video we use it in three ways:
  1. We built a bespoke highly-customized CMS (Content Management System) for our ad campaigns.
  2. We built a lightweight CRM (Client Relationship Management) system that fits our needs at a fraction of the cost of the big name CRMs.
  3. We use Airtable to manage internal client projects -- similar to a Project Management platform but much more useable for our team.
At the Marist Poll:
  1. We've built out a full-on Project Management System for our polls.
  2. Several new projects in development are being based on custom dashboards built with Airtable.
  3. I personally use it to manage my various projects as Director of Innovation.
The great benefit of using Airtable is that it is based on something everyone in both organizations knows -- a spreadsheet. That allows us to let various team members build their own implementations which makes for better customization and quicker adoption. We can prototype ideas fast without having to test out the myriad of narrow SaaS solutions out there. Plus Airtable integrates well with Slack and Box.
  • Prototyping. Because it's based on the common spreadsheet, everyone gets it, so setting up a database it fast. The flexibility offered in customizing views allows for quick and efficient prototyping.
  • Integration. Most organizations have already bought into platforms like Slack, Dropbox, Box, Team Work, Salesforce, etc. That's both good and bad since they all can inhibit flexibility. Airtable plays well with most other SaaS platforms so your team can try out new things and new ways of thinking/organizing without starting from scratch.
  • Speed to Team. I've been able to roll out Airtable builds very quickly and make rapid changes in order to make positive impacts on both organizations. Sometimes we've built in Airtable and then, after using it, spent more time and money developing the same thing in a legacy platform because we didn't want "another" platform. Airtable makes that easy too.
  • It's not Excel, or even Google Sheets. Airtable has a few significant missing pieces including no functionality around conditional logic. This may be a dealbreaker for some -- it certainly has prevented us from building some dashboards we had hoped to.
  • Our use cases almost always involve deadlines and dates -- it would be great if Airtable integrated alerts with Google Calendar, Slack, etc. This is another roadmap wishlist item, not a dealbreaker right now.
  • At the end of the day, the variety of Views -- which is the main selling point and value of Airtable over Excel or Sheets -- is still a bit limited. I would love to see the ability to customize the look and layout in ways that would allow for real custom dashboards to be built. NOT a complaint. More like a roadmap wishlist.
Ideal for building out Content Management Systems, Project Management Systems and Client Relationship Management systems. Won't be all-things-to-all-people and may not fit every need but it allows for plenty of ideation and testing.

Airtable is being used by the office of communications as both a planning platform (for content calendars for social media) as well as a database that 1) houses contact information and 2) archives past usage of archival materials. Airtable is incredibly user-friendly. Its shared workspaces have been a productive way for our team to cross-pollinate content and ideas for our respective responsibilities.
  • Airtable's many "views" are incredibly helpful for our team because we're able to visualize our data in ways that suit our respective tasks. For one team member, it might be more helpful to use the calendar view to get a bird's eye view of what kind of content we're putting out when and for another team member it might be more helpful to visualize that same data in a way that filters for tasks that have not yet been completed.
  • Airtable's many color options are not only fun, but incredibly helpful to organize our data! We work with many libraries housing all sorts of incredible collections. Tagging the libraries and their collections with colorful tabs helps us stay organized and work efficiently.
  • Airtable's columns have versatile functions. We love how one column can be a check box, another can hold a file, and another can hold multiple tags. One sheet can house a multiplicity of functions and that helps us stay organized! The different function of each column helps us articulate the relationship between the data points. This is incredibly helpful.
  • We wish it were more straightforward to pull data from different sheets.
  • We wish we could pull data from sheets on different bases.
  • It would be amazing to pull from Excel sheets where data is being actively updated - like having "live" spreadsheets in Airtable.
  • Our number one wish would be to have calendar dates be able to repeat themselves over weeks/months/years. Having an event repeat itself is not straightforward on Airtable.
If you're trying to keep track of any kind of progress, we highly recommend Airtable. Especially, if you're trying to keep track of certain non-numerical data points. That way you can use the different "views" to get a sense of the larger project.

Airtable has been instrumental to growing the organization which is in its early stages of developing a CRM system. It was time for this organization to take its data management, collection, and linkage to the next level and Airtable's capabilities and user-friendly interface allowed it to do so with minimal adoption barriers. In addition, the many view function of each table allows for the organization to publicize data in different ways without compromising its members' privacy.
  • Airtable allows for linkages between types of data so we are able to ensure minimal data duplication
  • Public and private facing views allow us to cater to our membership needs as well as to our internal data collecting purposes
  • Having an image and file upload feature within spreadsheets makes our work so much cleaner and visually appealing - not something that can be done with excel
  • More integration with existing CRM systems would be nice - although the Slack integration is already really useful
  • We could use additional image features (currently it's hard to crop/edit images after they are loaded)
Data management across teams, public facing views of data, any type of data work with individuals less comfortable with excel - Airtable is super user friendly and easy to learn

I am the only person who uses Airtable at my school. I plan on using Airtable with my co-teacher in the next year and with any student teachers I have in the future. Airtable helps me effectively track and analyze student data to meet the individual needs of students. I am a new Airtable user, but I am pleased with the program and interface so far. I am a teacher and need to track student data such as state testing scores, current reading level, special education status, and more. In the past, I have used Excel to keep track of the data. Excel is a solid database program, but it does not have the features that Airbase does. Airtable’s grid view is familiar. I can import data from other spreadsheets and copy and paste information like I am used to.
  • I can link entries together to see various trends in student performance and data. I can create columns to input different data types, which makes the data entry and manipulation easier. When a student moves from class to class, I only have to change one field instead of copying pasting the entire row. When a student moves from level to level, I can easily click checkboxes to move the student from level to level.
  • With Airtable’s different views, I can see the data in different ways to help me analyze the data and improve instruction. When a student moves from one level to the next, I can note the date and view their progress on a calendar. I use the Kanban and gallery feature to see all students who are at a particular level or working on a specific task.
  • With the advanced features, I can include a range of dates when lesson planning and use additional colors to color code student records, lessons, and tasks. I can create my own template or use templates created by others.
  • I do not need to collaborate on a daily basis at this point. I would appreciate being able to hide the revision history panels. I find it distracting when it appears and I do not need to see it.
  • Education is not Airtable's primary target, but I would appreciate seeing how other teachers use it to track student data and plan lessons.
  • I have read about the advanced features and they sound interesting. I would like the ability to preview those before purchasing the pro or plus plans. This may be available; I just may not have found it.
It is well-suited to tracking student data and progress. With Airtable’s different views, I can see the data in different ways to help me analyze the data and improve instruction. When a student moves from one level to the next, I can note the date and view their progress on a calendar. I use the Kanban and gallery feature to see all students who are at a particular level or working on a specific task.

I am also exploring how to use Airtable to plan lessons and keep track of daily lesson plans. I use the grid feature to input tasks, essential questions, instructional dates, assignment due dates, and vocabulary words. Each of those records can be expanded so I can view the entire thing. I have a workspace with all of the standards I am required to teach. Using the link feature, I can link daily lessons and assignments with the appropriate standards. I can view those tasks on a calendar. I can also sort them into a Kanban board or a gallery view. Airtable was not designed to help teachers lesson plan, but I do enjoy using programs for features they were not necessarily intended for.

We implemented Airtable within our strategy department for a large landscaping effort to build and maintain a database of completed and/or ongoing projects in our field from across the United States. Data collection is split across our internal team, an external team, and a crowd-sourcing mechanism for greater stakeholder engagement. It was imperative that the tool we chose be simple to use, quick to launch, and have varying levels of access for the different users.
  • Simple to use: This will be used by a variety of stakeholders. People will not have time for a tool with a steep learning curve.
  • Quick to launch: Our project needed to get off the ground quickly. We had the first draft of the base within a day and by a week were working with a near-final setup.
  • Professional looking for public facing data entry: Though we put this together quickly, we still wanted to have an elegant looking interface and the customizable forms fit the bill.

  • Current form functionality limited to static entries (i.e. does not currently have ability to have text boxes dependent on previous field's answer)
  • Cannot access customer service by chat or phone to walk through issues
If you are looking for something more advanced than a spreadsheet but not quite as flexible as a custom database, AirTable is a good solution. We are still learning more advance use cases and without technical service to engage with, the learning curve is steeper than it needs to be. However, the basic set up was easy and quick.

We are a theatre production company that is evaluating locations and projects for a future performance space. There are grants and RFP's to manage, community to build, fundraising to do, among many other things. It will be used by members of the project team from within and outside the immediate company - as I expect ultimately our contractors and vendors will be added too, at least, in order to view project status.

  • It's odd that sometimes Enter closes a field, and sometimes it's a key combination. There's probably a reason - I just haven't figured it out yet.
  • The default tracking notes are a little hidden -- so I set up a reference field for them.
I've already recommended Airtable to a few other organizations. I can't think of a project where air table won't work. Our project is very large - has many stakeholders - groups - tasks - and action items on a wide timeline. It's working great for us.

Our organization is using Airtable as a CRM to help us consolidate and streamline our customer/partner information. We are a small nonprofit that hosts a large annual arts festival and year-round workshop programming. Currently, we are using loads of spreadsheets to track our programming. Many of our employees are seasonal contractors, so there is very little continuity in data tracking. Airtable is helping us to consolidate and standardize our data, creating a framework that will assist us in better understanding our organization's history and relationship with our many partners and funders.
  • Enter data once, use it in multiple places. This is one of my favorite aspects of Airtable - no more copying and pasting email addresses.
  • Intuitive user interface. Considering the level of configuration that is possible in Airtable, the user interface is remarkably intuitive and easy to use.
  • Use it for free for up to 1200 records. This allowed us to take the time to play with the product and build out our databases before purchasing to be sure it was going to work for us.
  • Provide personal views to Plus plan users. Views are super powerful. But for a team using Airtable, the fact that any changes to views made by one person are seen by everyone could be a big potential point of confusion.
  • Create conditionally required data. It would be nice to say a certain field is required to be completed if a certain option is chosen in another field.
Airtable is so flexible that it's hard to envision a workplace where it could not be useful. Anything you use a spreadsheet, for now, Airtable can handle and improve upon.
