We switched to using Airtable from another product as it offered us more options in carrying over our event checklists year-over-year. It has a great deal of flexibility, including the opportunity to view your data in varying formats. The calendar view is a huge plus for managing our content calendars.
  • Multiple options for viewing your data
  • Ease of replication and linking between records
  • Simplicity of use
  • Greater flexibility in terms of user restrictions are needed. It would be useful to have options for guests to access minor editing features without having to pay for a whole user (i.e. a light user). The previous product we had allowed for this, but Airtable does not.
  • Workspaces are great for organizing teams, however, if you're using premium features, you have to upgrade every workspace, which can get pricey.
  • An option to expand the height of fields would be nice so that in areas with longer text, you would be able to view more content.
  • More colour and icon options for base customization, or the ability to add your own.
While Airtable is great in terms of flexibility for organizing and viewing data, some of the flexibility comes at a cost. Workspaces (collection of workbooks), for example, are a great way to organize bases (workbooks), but if you are planning on using premium features, you pay per upgraded workspace. Those who have larger or more complex teams may need to purchase more workspaces, which can get pricey.

Our research and development team use AirTable to organize all sort of information: schools, teachers, collaborators, studies meta information, etc. This helps us keep records of past studies and implementations and keep track of upcoming events and see who are assigned to coordinate which schools and teachers. Everything is in one place.
  • Linked records are very helpful. For example, we have multiple teachers from the same school. Previously, school information is part of the teachers' information and that creates a lot of duplicate information. Now schools' info are on a separate table linked to the teachers' info table.
  • Need more analytic tools such as graphs and pivot tables.
Perfect for small, distributed teams/organizations who need to organize and track information and perhaps also serve as a task management tool.
Doesn't apply if someone on the team is not willing to adopt and follow the workflow enabled by AirTable.
I think it is important for teams to establish workflow first and then decide whether AirTable or any tool is useful to support that workflow.

We are currently using Airtable to manage our Radio Woodstock Cares foundations project and our live events/concerts marketing. Airtable allows us to keep everything in the same place and be really organized. It is a great tool to collaborate with our co-workers and stay on top of tasks that need to be done.

Our growing department needed a tool that made our content planning, organizing, and storing more streamlined and easily accessible. Airtable allows us to tackle all of these issues in one fell swoop. Its tagging system, custom color schemes, and multiple views are invaluable to get an at-a-glance or a more detailed view of all of the content we have on our schedule, past and present.

The content marketing group is using Airtable to help plan communications projects. I needed a way to track multiple projects that might share some common elements but not all, and the ability to apply different views based on user or reporting needs.
  • It's very easy to use. I was able to start from scratch and get a pretty complex workflow set up in just a couple hours.
  • The ability to create one "master table" with every piece of possible information is good for the "deep dive" members of the team, but then it's easy to create views and calendars based on just a few pieces of data that are better for one specific use or person.
  • Being able to store draft content on the system as attachments means that the review copy/image can be included in the workflow rather than as a separate email or in another tracking system.
  • The ability to quickly group, sort and filter on the master table make it easy for the power-users to work with the full set of information, but still find a specific project quickly.
  • It would be great to have multi-tiered selection options. So if I check a box-like, "Does this need social support?" I could then pick from a multi-select drop-down based on the choice.
  • It would be good if we could have a kanban view built off a selection from a multi-select since some projects might be part of multiple strategic initiatives.
  • It would be cool if forms could have some basic if/then functionality. As it is, we need to create different forms for different media requests that share 75% of the same data.
I'd say if you're looking to consolidate project details across a number of functions where there's a lot of overlap, Airtable is a great choice. We've got a relatively small team of content creators and project managers, but we are often involved in a wide variety of media, content types and deliverables. So it helps to be able to put every activity on one master spreadsheet, but then be able to pull out views that pull out only select pieces of info for specific projects or strategies. The ability to search across fields means you can also use hashtags for folks who want to be able to locate their work using person-specific queues that don't need to be agreed-upon as part of the overall design of the table.

I wouldn't recommend it if you're looking for a content repository specifically or a DAM. It could do that in a very limited sense, but not if you're wanting to store large graphic or video assets. Also, as far as I can tell, you can't publish directly to social accounts from Airtable. So you'll still need to port your content directly to your social accounts or a platform manager like Social Studio.

My team is using Airtable for a wide variety of projects: tracking summer camp applications, invoicing and financial tracking, and as a data management tool for logging updates to grants. I am the primary user of Airtable and my team will also use it depending on the project at hand. We needed a flexible and customizable tool that would allow us to manage a couple of different things in a central location.
  • It's very easy to link information across several tables.
  • The UI is simple to use and pretty!
  • I like that I can view data in a couple of different ways, depending on the questions I'm asking or the specific needs of a project (i.e., calendar view, grid view).
  • I haven't had much of a chance to play with the new Blocks features, but scrolling through the 'explore' page, I'm wondering if I'll be able to use more than 4 of the Blocks offered. I hope that there may be more fun tools in the future.
  • The help section had some good content on basic formula operations, but they weren't sufficient for my needs. I'd love to have a section that offered some more advanced formulas that we could use.
I'd absolutely recommend Airtable to colleagues that I knew were capable of building simple databases or understood how to write formulas. I think that you need to be at least an intermediate Excel user to really get the most out of Airtable.

We use Airtable to manage projects large and small on our team. We manage the day-to-day tasks and the large, enterprise-level projects we work on for our campus.
  • Airtable is versatile in the way you can view tables. Switching between views gives my team members different options for keeping track of their work and seeing what is coming up.
  • Airtable's customization options for fields is quite handy. I love being to define exactly what kind of data will be in a field.
  • I love that Airtable allows you to tie fields together across tables through a simple field type.
  • I'd like more support for customization of the forms you create with Airtable. The form tool seems a bit too basic.
I think Airtable is the best choice for anything you'd normally use a spreadsheet for. I'd choose Airtable over a spreadsheet tool like Excel or Google Sheets any day.

I initially started using Airtable to assist clients as they worked through a certification process. The flexibility of the platform allowing clients to track progress toward meeting requirements and the integration with Slack enabled me to receive real-time alerts when a client made changes to their Base. Airtable proved to be so useful that we ended up using it for a variety of other purposes within my organization. We continue to find new uses for it, in fact.
  • The fact that Airtable is cloud-based is key to its utility. If you've ever dealt with the chaos that ensues when there are multiple versions of a document floating around your organization, you'll understand why we love Airtable -- its cloud-based nature means that everyone is always up-to-date.
  • Airtable is also incredibly intuitive and user-friendly. Anyone who can handle the most basic functions of Microsoft Excel can handle Airtable. We have used Airtable Bases to collaborate with a variety of clients and have found that most are quick to grasp the basics of Airtable with little or no training required.
  • Airtable integrates with a variety of other applications, including Slack and Zapier, which opens up vast opportunities for customization and incorporation into existing workflows. Airtable recently rolled out a new feature called "Blocks," which are modular apps available that make customization even simpler.
  • One feature that Airtable is unfortunately lacking is HIPAA compliance. I have seen a lot of enthusiasm among health care professionals about Airtable, but I have watched that enthusiasm evaporates upon learning that Airtable is not HIPAA-compliant. I think there is a large market that Airtable is missing as a result of this shortcoming.
Due to its incredible flexibility, Airtable is well-suited for almost any scenario that doesn't require HIPAA compliance.

DEF is using Airtable to keep track of several things: Sales pipeline, event management, donor contributions, and program management. I use and manage Airtable and provide reports to staff as necessary.
  • The ease of the relational database capabilities are key for keeping tracking of how our contacts, partners, donors, and event attendees are all related.
  • The map block feature is great for when we're on the road visiting partners.
  • The custom views are extremely helpful for viewing the most important information quickly.
  • As a nonprofit, the reduced prices are also greatly appreciated so we can put more funds towards the youth we serve rather than into infrastructure.
  • Of HUGE importance is the care and feeding I've received from customer support. I ask a question and get a response within 24 hours and the response is personalized and makes sense. The conversation with a single representative is such a relief and makes it so much easier for me to be productive.
  • I suspect that the technology integrations with other apps, using Zapier or otherwise, will become more and more important to us - we're working on getting PayPal payment completions to populate our event attendee lists right now!
  • I can't actually think of any road blocks or insufficiencies yet!
I hope to manage everything in our business through Airtable. I'm not sure of the extent of the formula capabilities but I'm excited to learn my options there. The consolidation of all our data so far has been of great value to keep us organized and productive. The fact that we don't have to be IT geniuses is of enormous benefit because relying too much on outside IT help becomes messy - we need stability and ease of use in our technology, which Airtable has given us so far.

I use Airtable at Learning Shift for user surveys, research and feedback. It allows me to have everything in one place rather than different documents. It has great flexibility for modifying the bases and I love the templates. I am also managing a program for a non-profit and Airtable has helped me with the tracking of the volunteers in this program. The fact that it allows viewers to see the information has contributed to include more people in this tool.
  • It's a very flexible tool. You can adapt to very specific cases.
  • It provides templates in case you don't know how to start.
  • Blocks of Airtable allow you to add a lot more than any tool I've seen.
  • The learning curve is a little steep. The tutorials are good but I think they could improve.
  • It's a fantastic tool for non-profits for keeping the information in one place.
  • It might be not too effective for short projects or too simple ones.

We use Airtable to keep track of sponsors and deliverables for events. It solves the problem of trying to keep up with various sponsorship levels and materials via email or with an excel spreadsheet and allows me to attach logos, sponsorship forms, invoices and more right to the record. For example, now I can easily see which of our sponsors should have their logo placed a website, if the logo has been received, and if the work has been completed, all in a very easy to read format. I am also planning to implement Airtable as a way to keep up with all of our digital assets and media contacts.
  • Visual Organization - it presents the information in a way that allows you to see what you need at a glance, instead of analyzing a spreadsheet.
  • Linked files - the ability to link records without retyping information is really helpful.
  • Integrations - I have had great results integrating Airtable with Dropbox. It makes it super easy to upload files.
  • Reporting - I have yet to find a good way to export a visually pleasing report. I have only been able to export to CSV with the basic plan.
  • Explanation/application - while there are a lot of examples in the help material, it basically takes a lot of trial and error to set up your first base.
  • Copying records - I'd like to be able to copy and paste records, but have not yet found a way to do it.
It's well suited for keeping any type of information that you may have currently spread out in multiple places - for example, contact information, form data, logos, and invoices for a customer, partner, or donor. I have had less luck trying to determine how it can be used efficiently for things like editorial calendars and marketing deadlines. Since Airtable doesn't ping me with reminders, I still have to have all of those things in an Outlook calendar.

When my organization first looked into using Airtable, it was as a means of keeping better records of the NonProfit Organizations that OUR NonProfit supported, or wanted to support in the future. As we got to know the tool more we started realizing its potential for solutions across all departments of our organization. Airtable is now not only part of our workflow in operations, sales, recruiting, and outreach - but serves as a default front-end for internal tools we're developing.
  • Data Management and Collection.
  • Gone are days of collecting information from users, clients, partners, or employees and then having to re-enter that data elsewhere. The same tool you use to manage the data has the tools for collecting them.
  • Robust API for Scalable Individualized Solutions.
  • No software is going to be able to be everything for every organization, but the things that Airtable doesn't already provide ( and Airtable already provides solutions for many, many more things than you'd expect ) your company can build solutions for with an API that auto-publishes for every "Base" you create.
  • Re-contextualizing and Displaying Data.
  • Chances are your company already HAS data that would provide meaningful insight, but processing that data in a way that provides the clarity you're looking for can be a bit of a challenge. Between its basic features and "Blocks" Airtable takes most of the challenge out of presenting and contextualizing your data to provide clarity on all aspects of your business.
  • Airtable's Freemium Pricing Model is fair - but the first paid tier doesn't offer much for what amounts to half the cost of the next tier up. That could perhaps be better balanced.
  • Some data at your organization applies to all projects, so it's disappointing to find that there isn't a way to have a "Base" with data that is available to all other "Bases". That said, I've already been told they're working on implementing this, and in the meantime, it was very easy for us to use the Airtable API to produce the same result ourselves.
Airtable has me super, super impressed. I honestly can hardly think of scenarios where Airtable isn't suited, but that might be my Rose Colored Glasses. Honestly I think it would only fall short if you had extensive needs for customized representation of data - but I'm willing to bet Airtable can do more than you expect it could.

Our non-profit is using Airtable with our Youth program to track their time for work sessions they attend. We also track their flight training sessions and any scholarship money they get. Airtable allows us to keep all of this together in a nice readable format so we can share the information with our youth. Airtable has done a good job of giving the end user a simple interface with which to enter information and view information.

We are a small scale international non-profit with individual donors supporting individual scholars through multiple partner organizations. We use Airtable to organize everything from our donor contact lists and associated donations to our student rosters and associated academic performance to our school affiliations and their respective staffs. Airtable has brought what used to require no less than different platforms (Salesforce, Google Documents, Drive, etc.) all under one relational database.
  • A robust database functionality with ease of use that we can teach even our middle school students
  • Rapid to input data from multiple sources
  • Easy to integrate other apps through the API
  • Honestly, we love the product so far. One thing that would be nice is if different bases could refer to one another. We circumvent this by having everything in one base but it results in a lot of tables.

I use Airtable to manage my independent research group as well as a campus-wide Center that I direct. In my research lab, implementing Airtable has transformed how we manage projects, budgets, daily tasks, expectations, and nearly all aspects of project development and communication.

My personal use Airtable to track their brainstorming - from outlining big-picture ideas down to itemizing discrete tasks and it allows us to streamline the process of prioritization and goal-setting.

In the Center, we use Airtable for all of the same project management as we do for the smaller lab, but also integrate all of the client and business information for tracking all meetings, projects, return-on-investment, invoicing, and contact information. This allows us to efficiently manage a large operation with minimal staff, and also makes for quick work when it is time to share our activities with institutional oversight. We love the copy/paste and customization possibilities.

In short, everything that was so painful and error-prone in Excel has now been implemented into a seamless, color-coded, centralized "information depot" that all staff can access in "real time" - and the "grouping" and table-linking features are two of the most valued aspects for our needs. I recommend Airtable to all of my colleagues!
  • Easy linking of information among tables within a Base - we use this for almost every application
  • Grouping! We can rapidly see trends and groups in our data just by clicking a few buttons - something that would be very cumbersome to do, if not impossible, in Excel
  • Auto-calculation. When grouping, Airtable automatically sums values - and this makes for very quick work when trying to summarize data
  • Ability to link among Bases
  • Column Headers that are long - would be nice if there was a "word wrap" feature so column width could be minimized
Anyone who is running a scientific research lab of any kind would benefit. Especially if Airtable marketed it to academic and research institutions and had "templates" for project development, manuscript, and grant writing.

We recently started using Airtable to hold the user needs and insights we discovered during a large research project. It's been a great way to hold all the different aspects of the research in one place, categorise and manage it, then circulate it around the organisation.
  • You can have as many users with read-only access as you like without being charged extra
  • You get lots of functionality in the free version
  • The ability to link data across different views is really useful
  • Personal views are not available in the free version

We have just finished testing Airtable and are now rolling it out across the whole organization. This tool seems like a major game changer. It's VERY easy for anyone to use, but has extreme functionality built into it. Sometimes, you see a powerful tool that is too difficult for people to use, so you never get the full power. But with Airtable, it seems as applicable and approachable as Excel, but with outrageously deeper functionality. We are using it in everything from managing donor leads and project planning to detailing needs assessments done at African hospitals and sequence development actions.
  • Extremely easy for low tech people to pick up and use. It feels intuitive and there are lots of examples that make it easy to learn.
  • The blocks make some pretty sophisticated stuff possible, even for people who lack a tech or database background.
  • Its a replacement for lead/case management, project management, and file storage - all in one!
  • The trial period should be a bit longer. I wanted to test it before I rolled it out to my team. Just after I felt comfortable and started to share, the trial period ended.
  • Shorter videos. I think there are great resources available and I really think that is a strength, but if I had to suggest something, it would be to make more short videos to give technical how-tos.
It's VERY easy to use and VERY powerful. Honestly feels like a big leap in productivity tools. Airtable just feels like magic and seems to address many of the weaknesses of other great tools all at once. I have started to use it across all of Operation Fistula's work, but also across my client's work too!

We are using Airtable across the whole organisation, everything from applicant tracking to project management. We've found it to be incredibly versatile due to the ability to filter, group and work with records.
Every time someone mentions using Excel for something that isn't a financial report we point them towards Airtable and they see how much better it is.
  • Slice and dice data - it's much easier than other tools to group records and create insights
  • Generate reports - they've recently released a functionality called 'Blocks'. We are using this tool to automatically generate dashboards and reports from data.
  • Fit different work styles - You're not limited to viewing the data in a spreadsheet. You can view it on a calendar, Kanban, or in a card style view.
  • The new Block functionality is relatively new and could be extended to provide more layout design/flexibility
  • Currently, there is no way to link between spaces. This fact means you have to put all related information in the same 'base'. This limitation can lead to data permission problems and bases that have loads of tabs
Anytime you have data you want to generate insights from, Airtable will be a great choice.
It works really well with structured and unstructured data.
It's not designed to be a financial tool. You can do some numerical tasks with it, but it's not suited to scenarios where you need to do many different types of numerical analysis.

We have implemented Airtable as a solution for a specific program we manage within our organization. The program spans all departments with a heavy amount of data to be collected. Prior to Airtable implementation, these were all disparate data sources without a common platform to tie them together.
  • Linking contacts and other information back to organizations.
  • Clean interface with familiar spreadsheet views.
  • Allows collaboration across teams.
  • Ability to link on a numerical ID vs. free text
  • Ability to confine editing abilities to a particular sheet within a base
  • More flexibility/customization in user permissions
  • Ability to group and subgroup views in a hierarchy for sheets.
Airtable is great for linking records and pulling information together into views for various audiences. The lack of ability to query information can make data digging a bit more cumbersome as sheets and views build.

Our initial use of Airtable will be to help us produce a Bluegrass Festival which is run as a fundraiser for my nonprofit organization. We also intend to incorporate it into the management of the actual organization itself. Its ease of use is something that directly appealed to us about the program.
  • Table construction, design, and layout are the major factor in our deciding to go with Airtable.
  • The intuitive nature of the program is very self-evident when starting out with Airtable .
  • The ability to share information with multiple users and devices is a distinct plus for us.
  • While we are just starting out with Airtable, I would say that it would helpful if there was a greater ability to design and produce printed reports.
As its name suggests, Airtable is very strong in building shared table/databases allowing multiple users and devices to interact with one another. Also, the ability to utilize a relational database model for constructing tables is considerably more powerful than utilizing static standalone tables. That said, I would be leery of using it as the backbone for a transaction-based database program.

Airtable is currently being used by our Operations Team as our CRM. As a small non-profit with a matching small budget, we quickly realized the limitations of what was available to us with CRM options. Off the shelf products didn't offer the customization we needed. The customizable bigger solutions were just that, too big for our needs, and often with a big price tag. We'd resorted to using Excel spreadsheets; not a bad solution for us, but a very limited one. Then came Airtable! After watching a few video tutorials, exploring the available templates, and getting inspired by what other users were sharing in the "Airtable Universe" we were quick to realize it would be a very viable solution to our CRM needs. We started with a seamless export of our Excel data into Airtable and started building everything we needed in a system from there. We were impressively up and running a CRM and rolling it out to the Operations Team in a couple of days.
  • Airtable is easy to use. It has an intuitive interface and plenty of video/help support for what is not.
  • It makes not only organizing your data efficient, but connects that data to everyone on your team in one centralized database. I love that multiple people can be editing the same records at the same time, and Airtable captures it all in real time!
  • Easy to link data between tables. This makes a lot of information available to users with just a few keystrokes - which makes the frustration of hunting down information a thing of the past.
  • Really appreciate being able to use Zapier to connect Airtable to several of our other systems that house data - MailChimp, SurveyMonkey, Quickbooks to name a few.
  • Being able to change the data views is one of the bigger fan favorites on our team, whether it is in Grid, Gallery, or Kanban, to grouping and sorting by Field Type. There is something for everyone's needs there.
  • I can see where being able to connect several bases together within one workspace would be beneficial. Currently, we've created a lot of tables within one CRM base, and in doing so has made it a bit overwhelming (visually) for some of our users. Limits flexibility a bit.
  • The app for the iPhone is solid. The Android app needs some work/an update.
  • The formula functionality between cells is a bit limited (not the depth of say, MSExcel) and not intuitive for all of our user base.
  • The ability to create charts through the "Blocks" options is a great idea, but very limited in it's initial debut. Looking for more features (pie charts, series labels, dual axes, etc.) to be able to create more dynamic charts in the future.
  • I've gotten a browser warning or two about Airtable being "resource heavy." Time will tell if that becomes an issue.
We haven't being using Airtable for long, so where it is best-suited for us may yet to be seen, although we are thrilled with what we have been able to do in building a CRM in such a small amount of time. I can see us quickly starting to think about a donor management base next. It appears to have a LOT of flexibility with what you can do with your data - your resources (time/$/staff) to do so may be your only limit.

We use Airtable to manage an Australia-wide pilot program. Through Airtable we manage the students and schools participating in the pilot, as well as robot assets, media and publicity, and our tasks. It also allows us to keep track of qualitative data that is important for monitoring and evaluation.
Airtable's dynamic database functionality allows us to rapidly update and adapt our information. We are able to manage multiple things in one place - assets, participants, tasks, media opportunities - and interlink records. This means that we have a complete, up to date data set in one place. The flexibility of being able to add and adjust fields as you go is excellent. Our Airtable workspace has evolved with us and with the emerging needs of our pilot program.
  • Links between different tables. This is one of the best features if you're managing things that are linked to other things, which nearly everything is!
  • You can add fields, change fields, remove fields, whenever you want. It's an adaptable, dynamic database. You don't get stuck with a structure that doesn't work for you-you just change it.
  • You can view records in different views e.g. as a grid, form, calendar. This is so handy. When I'm collecting data about a new participant in our program I open up a new record as a form and fill it out like that. At other times I need to see them all as a list or group of different criteria and I can do all of that with the click of a button.
  • You can send out forms and the data goes straight back into your Airtable workspace. So handy and makes data collection and management easy.
  • Grouping, filtering. This is so handy for viewing where tasks or participants are up to in the process.
  • We are relatively new to Airtable and are still exploring its functionality. We've also just been using a free account which has some limits but paid plans have features that could be handy. So far, we're just thrilled at how it's streamlined our workflow and information management.
I recommend Airtable to everyone!

I use Airtable every day in my organization. We are a company which manages danse company's communications and development. We work for a lot of different clients so we needed a device that gathers all of these data (clients details, social media calendars...). Airtable is simultaneously easy to use, complete (a lot of different operations can be taken care of) and professional. We are so satisfied with this product that we could not go back to another database than this one.
  • Airtable can link different pages to each other very easily which allows us to build a complete database.
  • Our organization notably likes the fact that we can share sheets to clients even if they don't have an account.
  • Can be used on the app, online as well as on smartphones.
  • The interface is very modern and professional.
  • The smartphone app's design could be improved.
  • The app on the computer should be usable offline.
  • We would like some services that are provided in the most expensive version could be used as well in the other packs because it is a bit expensive for small organizations.
Airtable is very suitable if you have a very big database that needs to be organized. It's a good thing that you can link so many things together. As soon as you programmed your routine some information is linked automatically so that makes it easier for us.

Airtable is being used as part of a historical research project, and as the backend for the project website: www.bookoffortresses.org. I know of several other users at the university, but I am not sure if they have purchased the software, or if they are just using the free account.
  • A simple relational database builder
  • Easy to teach and learn
  • A zoomable image viewer is needed.
  • The ability to import .csv files should not be a "pro" feature - this is a core use of any software like this.
  • Please add a map function that will let you search to find the location of a feature in the database (dropping a pushpin and saving Lat-Long)
The software worked well with smaller data sets, and ones that required images. I have not been able to test out how well it works with larger data sets. Unfortunately, when you move to a pay plan, the use case for even a small team entering data becomes cost prohibitive. I have had to move to a single login for my research project. This means my students can not enter data into the base simultaneously, or make proper use of the ability to "check out" rows of the database by adding their user IDs in a collaborator field.

For Love of the Lake is a non-profit organization whose volunteers support programs to preserve and enhance White Rock Lake Park. We organize regular clean-up activities, tree planting events, and raise money needed to fund improvements to White Rock Lake Park. We use Airtable to manage all of our contacts. That includes staff, donors, volunteers, etc. Airtable allowed us to consolidate multiple spreadsheets that didn't talk to each other into one easy-to-use database. As the IT person, I like that I can show non-technical people what the database looks like with no coding required.
