We use Airtable to manage our entire sales process, from tracking above the funnel leads, all the way to closing a deal. Their are several handoffs from sales to operations that need to take place in our sales process, and we have found Airtable to be the best tool to manage the workflow. It has been a valuable resource to us and has provided us with insight to how our customers move through the sales process.
  • There are some really strong pre-made templates, especially in the sales offerings (CRM, Pipeline).
  • It is so simple to add photos, documents, and multimedia, to spreadsheets (this is a feature that our team loves).
  • The collaboration features allow our departments to easily work together and better manage our teamwork.
  • The Advanced features seem a little intimidating and we haven't found easy ways to integrate them into our workflow. For example, my team does not use the app features, like scripting, page designer, chart, and pivot table, mainly due to the fact that we are not accustomed to using tools like these in our day-to-day workflows.
  • Copy and pasting from Excel files (and also exporting to Excel) can at times be a pain. When trying to copy and paste data from Excel to Airtable, the data can sometimes be displayed differently. Occasionally, we have to manipulate the data a little after it has been pasted to Airtable to make it appear as it did in Excel.
  • There have been some complaints on the performance and layout of the mobile version. Many of the desktop views that my team prefers are not available on the IOS app so we are not as familiar with the layout and navigation of the mobile version.
Airtable is an incredibly powerful tool for basic spreadsheet tasks used in your departments, especially if those spreadsheets are being shared and used by multiple departments. It's a better designed spreadsheet, [compared to] what Excel and Google Sheets offers. [It] has multiple view options so that each team can see the data in the way that makes the most sense for their team.

Airtable is mainly used across my Account Management Department for the organization. We use it to keep track of all RFP's that come in from sales, status updates, revenue, wins/losses, etc. We also use it to keep track of reservations for homepage takeovers, newsletters, etc. It is also a great way to keep track of PTO and vacation days.

Our marketing department uses Airtable to build content calendars for clients. We also use various templates within the software to manage retainer accounts, monitor capacity, and plan content for months ahead at a time.
  • Color coding various types of content makes it easy to see, at a glance, what is coming up for marketing initiatives.
  • Airtable has amazing templates built out to help you get started quickly.
  • If you don’t want to use a template, you have the freedom to customize the template for exactly what you need.
  • We are able to store user personas, keywords, types of content, etc. and access it all in one view.
  • It would be really helpful if Airtable had a stronger “onboarding” or “how-to-use” when sharing the table to a client or other user.
Airtable has completely replaced our need for other softwares that stored information. We can build out content for months at a time and reference it all in one place rather than using something like Google Drive where we’d have to have tons of tabs open at once. While it’s a great planning tool, it isn’t necessarily built for storing large pieces of content.

We use Airtable to keep track of the deliverables that we need to complete for each one of our partners and the progress of each. We have many different tabs that relate back. We also at some points use this tool as a CRM of sorts. It helps us keep data organized in an interface that is easy to use.

Airtable is a truly versatile platform. You can use it for business and personal use. Whether you want to create a content calendar and see your content in different views (grid, list, kanban...and calendar view) or create a personal monthly budget - it’s super easy to implement and use. We use Airtable for a few different reasons. We collaborate with clients using a shared link of which ever table we are working on. We use it a lot for content and organizing that content. Also, when we do social outreach, we leverage Airtable to help us keep everything organized. Just wanted to add that I love that there’s an app for this where you can access your tables from your phone.

  • Extremely versatile and you can also export to excel if needed.
  • I don’t have much to add here because I don’t have any other needs that this doesn’t provide.
  • Maybe if there was a version that was not only a web app since some organizations can not use this for compliance reasons since it is a web application.
  • I feel even the free version of this is extremely helpful and has many features.
I can give an example where this was very useful.
Working with a client that is in the medical field, they wanted to be able to view and adjust/approve posts before they were posted. Viewing the posts in kanban view, they could get a full overview of the graphic with the content in one main view. It was easy to move the posts to different dates on the calendar view and get a clear visual on which posts are being post and when.

I use Airtable to organize social media planning and general project organization within my business. I mostly use it myself, but can also share the tables with people within my business and we can work on them together. Honestly, I have been shifting over some projects from Airtable to Notion - Notion has a similar setup with the tables, but I find it more intuitive and has more features.

  • Ability to move items around/flexible.
  • Some of the best features are paid only (I would prefer to have access to all features as a free user, but have a limit on number of tables or people instead).
Airtable is well suited if tables is all you want to do. If you'd like to take notes and have different types of calendars/graphs, I would suggest Notion.

My Marketing department uses Airtable to schedule social media on a digital content calendar. We are new users to Airtable and have been using it for less than 6 months. In our social media scheduling, we use Airtable to determine platform, caption, hashtags, what group of our users the post targets, what photo will be used, the day the post will be made, the day the event is happening (if applicable), and any link that will be included with the post (if applicable.)

For social media scheduling, I do like Airtable. Some direct compatibility to social media platforms or tools like Buffer or Hootsuite would be great, but I understand that Airtable is not designed exclusively for social media purposes. We are currently using Airtable within our business unit marketing department to help organize our yearly media (direct and non-direct advertising) plan - including the media schedules, creative brand assets, and UTM links tracking details. This tool is used between our company and marketing agency partner. Within our marketing department, we have approximately five users at any given time. We love that data can be easily shared across teams and edit in real-time. This is an extremely affordable solution that helped us transition from Microsoft Excel spreadsheets shared via email to a comprehensive dashboard-like tool. Sorting data by brand, division, dates, advertising creative, and media publishing outlet truly helped us streamline many processes and become efficient between company and marketing agency partner.

Airtable is great for team collaboration, especially when more than one person is inputting or managing the data. Real-time data editing makes it easy to share information and quickly. Using this tool as a content calendar is very ideal. One feature I wish Airtable included is the ability to embed video content from Vimeo, YouTube, and other social media channels.

Right now we use Airtable for our whole organization. We use it to manage weekly tasks. Every week we look at the Airtable to see what needs to be done and mark off tasks that are complete. We also use it for our influencer management and shipping management. It helps us store key information in all the same place.
  • Flexibility: there are many view features and different ways you can use the product
  • Integrations: there are so many apps you can integrate it; from Slack to Shipstation
  • Beautiful: it just looks nice to use. Sometimes project management apps are ugly, this isn't
  • Pricing model: we don't like how we have to pay per user.
  • Calendar view: we wish the calendar view was better, or if there were different types of calendar views. Right now there is just one.
  • Complicated: some parts of the app are a little complicated.
It's good for people that want to start to use a project management app. Right now we use the free version, which still fits our needs. I don't think I'd recommend the paid version, we haven't felt the need to upgrade it. I think it's a better version of Google Spreadsheets and forms, so if you are using that for project management, please switch over to Airtable.

Our organization uses Airtable for managing database spreadsheets, which is the best way to manage the data and tasks. Our organization uses it throughout all the departments. It addresses the major business problems of managing the data and CRM for managing customers and projects. All the uses can track the progress, and deadlines can be set accordingly.
  • Airtable is an excellent CRM tool. Helps in managing data in the form of spreadsheets and task management. All tasks are well managed with all details and deadlines.
  • It is used for Project Management, where all team members can track project progress and work within defined deadlines.
  • Another major strength is that data is managed by key values, one to one or one to many relations.
  • One significant missing functionality is the lack of communication modes for internal communication using Airtable.
  • Synchronization of data sometimes results in a violation of integrity.
  • Airtable has its application version for both android and IOS; IOS application needs major revisions as it has a lot of crashes.
Airtable is best suited, where multiple members are managing a single project. In this case, all members are working, and different commit versions. Also, each member needs to track the progress of another member, and a review of the deadline is essential for every task. In this case, Airtable is very well suited. Airtable report generation is in business format, i.e., ready to use.

Airtable is used to make databases for differente purposes. We use it to make assets databases for our game production creation, pipeline and workflows. We integrate those databases so all information is in the right place at the right time. We use it to make financial sheets and reports too.

  • The comments pane inside the cards is very limited
I think Airtable is suited for many scenarios. The tool is so flexible that you can use with a vast number of objectives. So, it's more a matter of how it will be configured and take the time to do it. It's important to see the limitations of the free and plus plans, and see if it is enough for your use.

We specifically got and used Airtable to make various versions of our organizational chart quickly. This is particularly helpful when looking at models for organizational design and effectiveness (and wonderful to avoid the tedious work of doing this in a PowerPoint or other document). Our use case was narrow because it did not look to the tool for project management.
  • Once our data was loaded, Airtable allowed us to make multiple versions of our organization chart quickly.
  • Inside of Airtables product, we could switch formats and drag and drop objects quickly.
  • The software did not require a lot of software to be able to use it, but when needed the help center had sufficient information.
  • It was very frustrating that we couldn't easily print our organizational charts, because organization charts were the main reason we adopted the tool. The lack of printer-rich features made us discontinue the use of the product.
If you need to print off your new organizational charts, you will not be able to do so with the tool. This was very disappointing.

Our small team (Product Content Strategy, four team members) uses Airtable for our internal projects and notes. Personally, I love to use Airtable to document and organize research. For example, researching different CMS options -- Airtable helps me keep track of the features and costs associated with each potential option -- or auditing -- Airtable helps me keep track of usability issues while documenting their locations. I've also used Airtable to help myself accomplish individual tasks, like keeping track of which Help Center articles I have updated.
  • Airtable looks beautiful. I think it's hands-down the cleanest, most attractive spreadsheet software I've used. It's a joy to scroll through and create content. This also makes it impressive to share with other teams.
  • I love the Kanban view, which lets you move items from the leftmost column to the rightmost column. This view is especially great for keeping track of in-progress and completed tasks.
  • I like the Airtable calendar views, which make it easier to see when tasks are due and stay on top of deadlines.
  • Airtable offers some great templates that make it easier to get started. The block/base structure was easy for me to pick up.
  • Airtable isn't the absolute best tool for internal team communication. For example, it would be nice if there was a comment section where team members could collaborate and leave comments. It's not that this functionality is totally missing, but it could be much stronger.
  • Airtable may have a bit of a learning curve for some people. When I was learning how to use Airtable, I ended up clicking around a lot because I wasn't always sure what a button/field would do. People coming from more "standard" spreadsheet software might feel like functionality is lacking in some places, although this wasn't an issue for me as a non-expert spreadsheet user.
  • User permissions in Airtable could be more granular. It would be great if you could give someone "Edit" access for only one column, for example, allowing them to make updates without changing the rest of the spreadsheet.
Airtable is excellent for individual and small team use. I think it works best this way, rather than a company-wide software available to many. I would still recommend it for larger teams, with the caveat that the pricing could get expensive that way. If you need to create multiple workspaces with many users, the cost will definitely get high.

We use Airtable as a way to collaborate on specific projects across departments. It helps everyone on a cross-functional team have concurrent visibility into the project, add notes and tags, and track the progress of the various project pieces. We only use it in relation to projects for a specific product. It is not used across the whole organization.
  • Users across the project can collaborate in real-time, without having to wait for someone to close the document, and without worrying about edits contradicting each other.
  • Airtable allows for easy implementation of functionality like column types, without the complicated and time-consuming functions of Excel required to accomplish the same things.
  • Creating a base and inviting your collaborators is quick and easy. Users can be granted different privileges.
  • The tool is flexible enough to manage many different types of projects, everything from simple action item tracking and tagging to complex details and dates associated with client implementations.
  • It is frustrating that collaborators cannot view different filters of a base concurrently. This has caused confusion during meetings, i.e. "Who removed my filters?"
  • I wish that adding color to the records was not a paid feature. That seems like very basic functionality compared to all the other functionality included in the free version.
  • It would be nice to have the option to auto-fit the row heights to the text, instead of a fixed row height across the base. That way we could see all the text in each record without having to double-click on some longer ones even in the "Extra Tall" view.
We have successfully used Airtable to aggregate and tag user feedback, and to track the details and dates of project delivery. We have been somewhat less successful in using it to track action items related to a large, complex project. The lack of success in this latter example has to do with the base being a bit unwieldy, and since we are using the free version, we are not able to color the records for easier at-a-glance analysis. That project is also a bit less concrete in general, with a lot of nebulous action items that have no definite end dates or success metrics. So Airtable seems better suited to projects with well-defined parameters and metrics.

I used to use Airtable for editorial project management (keeping track of which assignments were due and when, who they were assigned to, status, etc.) but now I use it primarily as a database for managing keyword data for my SEO clients. I also use it personally for my family budget.
  • Customization. There are a million ways to use Airtable; it's very easy to customize and adapt to your needs.
  • Familiarity. If you've used Excel or Google Sheets, you'll have no problem with Airtable. I prefer it over these tools, however, because of the color-coding and interface style.
  • Value. If you're looking for a budget, multipurpose project management tool, Airtable can't be beat. Price goes up if you have a lot of users, but you can set up a combination of free and paid "bases" to meet your needs so you don't have to pay and arm and a leg for every user.
  • Restoring deleted records - it's way too easy to accidentally delete something and not realize it!
  • Dashboarding - it would be nice to create custom dashboards that give a high-level view of different things across bases.
You can use Airtable for anything you can use a spreadsheet/database for, so the sky's really the limit. Further, you can toggle between different views (Kanban, table, cards, gallery, calendar, etc.) so if you have certain visual preferences, you can probably find a solution that makes you comfortable!

Our company uses Airtable in the Collections department. It is currently being used as a proxy customer relationship management software for accounts that enter this stage. Our various Collections teams compile the list of accounts in Airtable and track them there. Using the various Airtable tags, we can easily identify and mark accounts for each stage of collections that they are in. As Airtable is online, it is used collaboratively by different teams.
  • Visualization - Airtable has colorful tags which help you easily identify things.
  • Collaboration - Multiple users can work on a project at the same time.
  • Filtering - Airtable has a complex set of filters.
  • Simultaneous collaboration - if multiple users are on the same sheet and a filter is applied, the view changes for everyone.
  • Complex calculations - you cannot do mathematical formulas within the software.
  • Data analysis - would be great if they had charts and graphs.
Airtable is well suited for the following:
  1. Simple categorization of data - if you or your team just want to list and categorize data, then this is the tool for you.
  2. Complex filtering - Airtable does this on a high level with multiple if-then, and, or, contains, etc.
  3. Collaboration - teams can work on a project at the same time.
Not suited for:
  1. Visual analysis - there does not seem to be charts and graphs.
  2. Complex data analysis - there are no computational formulas.

We use Airtable ourselves to automate a ton of business processes and ensure that the entire company is on the same page. We also build products that work with Airtable to solve business processes, and we work with clients to set them up on Airtable right from the start.
  • Data structures.
  • The API is phenomenal.
  • The UX is fantastic.
  • The API needs push notifications.
  • Granular permissions would be nice.
  • The 50k row data limit should be higher.
Airtable is great when you need to consolidate data from across the enterprise, and have everyone have the same version of the truth. It does miss some enterprise features thought, but we feel that more is coming. There is a great ecosystem around Airtable, and many tools and consultants have sprung up to help folks get up to speed with Airtable. For more complex data integrations there are products such as our Salesforce sync engine for Airtable.

We came across Airtable as we were trying out a bunch of different ways to implement a project management system. We used it in our department specifically. It helps us with the problem of being disorganized in managing a multitude of projects. Airtable has great aesthetics, and is definitely one of the more "hip" options out there.

I think this would be a terrific solution for startups and people who run their own small business especially. The number of industries and concentrations they have examples for is staggering. No matter what business you are in, you're sure to find an example of how Airtable can help you.

We use Airtable across our entire organization to manage inventory, organize product lists, project management, and for upload templates for some of our other services. It has helped us reduce the number of versions of files being emailed between us, and the integrations with other services have allowed us to reduce our workflow and run reports more efficiently.
  • Different views of information allow for a comprehensive understanding
  • Built-in templates make quick work of some small business tasks
  • Integrations with 3rd party software fit into our existing workflow
  • There is a learning curve, and several new features are only available on paid plans.
  • Certain tasks that people may be familiar with in Excel or Google Sheets do not function similarly in Airtable
  • Some views are not available on mobile devices which may leave you waiting to see information.
Airtable does a great job of letting you compile and sort your information, whether it be contacts, projects, products, or raw data. Choosing from different views can make large amounts of information much more manageable. Airtable may have too much functionality if you’re just looking for a spreadsheet solution. Some spreadsheet tasks work differently in Airtable because of the way it relates information in its database and due to integrations. There are also many instances where you might feel like it takes too many clicks/taps to find or edit the information you have.

I work in Primary Education; delivering the National Curriculum for Computing/ICT. This includes all year groups; from Reception to Year 6 (4 to 11 year olds). Databases form part of that curriculum. Pupils have to learn to populate, create and develop databases, and to analyse the data entered using sorting, filtering (queries), searching and graphs. Our old software became obsolete a few years ago, at which time I researched education products, later widening my parameters to include products developed for business. I needed a product that was easy to use, met all of the criteria, and was cost effective. Airtable filled my requirements perfectly. I prefer it to any of the education products. More recently I have started to use it to track student data and to create a resource inventory. I have enthusiastically recommended it to a number of people.
  • The website is very well laid out. It is uncluttered, easy to navigate, and is highly visual. There are a great range of field types and add-on blocks.
  • Setting up bases is very straightforward. If you get stuck the help section and videos are excellent. You can also access Airtable Universe to see examples of how the product is used by others.
  • I have submitted a number of queries by email and in each case the staff were very helpful and responded quickly. Given that I was using a free account at the time, I was very impressed.
  • Given that I have used the product with very young children successfully, I think that it is extremely well designed.
  • They only thing I can think of is being able to switch between user accounts without having to log on and off.
  • A personal request, would be to add shades of brown to the color palette. When working with the children, we color code field options for eyes and hair. The only children I can't do this for is brunettes with brown eyes. A small thing I know, but it would really help the younger children as it is a visual clue.
As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

We use Airtable across the organization and also within different departments. We use Airtable for CRM (Customer Research Management), general bookkeeping, project and task management. We also use it for timekeeping; we create online forms and have stakeholders submit relevant information. We manage our social media calendar, general calendar, and list of events in Airtable. We have eliminated many apps and now conduct the related work in Airtable.
  • Filters and grouping of Data. Airtable has many options to filter and group data and it could be done so quickly and presented very cleary.
  • A different view of the same database. Airtable allows the user to create views such as 'Gallery', 'Kanban' 'Calendar' and 'Grid' view of the same database. Many versions of each view can be created thus saving time and resources duplicating data. These views can be then shared with stakeholders.
  • Templates - Airtable provides many templates to allow new and experienced users a ready-made platform to work off.
  • Bookkeeping, while there are many options for bookkeeping it's still not as straightforward as more well-known spreadsheet platforms. Improvements here would allow companies to export their basic bookkeeping to Airtable.
  • Integrations. Airtable is lacking in integrations. Having more integrations would enable Airtable to become an even stronger database for organizations.
  • Organization. When a base has a large number of tabs it's hard to get a helicopter view of the tabs. Although the search is pretty good.
Airtable is fantastic for managing information either on a small or a large scale. If you need to access data and get results quickly, Airtable is a great option. We also use it for CRM and task management among other tasks. While there are better CRMs and task management systems out there, having them all in one platform makes us work more efficiently.

Thank you, Airtable! We are a small, start-up nonprofit that relies on volunteers to help us accomplish our mission. Right now we are in the process of building our infrastructure and choosing the right tools to help us do this is important to us. Good, effective and intuitive databases are critical to the work of impactful community mobilization and information sharing. Airtable fits this bill. And I tested this! I had a few folks that really did not understand the structure of a database to try to create a simple Airtable database with 14 fields and 51 records. More importantly, I asked them to create this database WITHOUT using the help desk but by GUESSING only. Folks were able to build the bones of the database. I, of course, swooped in to figure out how to add pictures, create the drop-down boxes and make links and I was able to do this without asking for "help" but by clicking onto the icons that made the most sense.

I am thrilled that I found and tried out Airtable! And now I am more thrilled that I am now a part of the Airtable community!

  • It has a really great UI. It is friendly enough for users that may find databases somewhat daunting but robust enough for folks like me that have intermediary database skills.
  • I like the way that you make the content of drop-down boxes look like colorful tagging.
  • It is very easy to add pictures and other types of attachments.
  • Making the database relational by linking fields is pretty simple.
  • I am still in my trial phase so some of my wishes (I will not consider these "cons", yet) may already exist in the more advanced plans but I would like to be able to wrap the text in the fields within the default Grid View.
  • I think that all of the plans should give some the ability to change the font, font size and formatting of the text within a field.
  • The calendar feature was a little quirky. And as far as I can tell, it does not allow me to put several items in on specific dates.
Databases are critical to the work of community organizing. Being able to build a database of community members, groups, and organizations and then to track the contact you have had with folks important to our work. It is terrific to be able to track meeting attendance by linking fields. Also, it is very helpful that the vendor has created a mobile app that can sync across devices and platforms. And once I figure out the calendar feature, I can use this to set up appointments.

Airtable is currently used only by my department; however, I use it in my freelancing work as well to support clients' needs in many ways. It addresses the need for a robust database to track A/R interactions and to ensure that no past due invoices fall through the cracks. Airtable's easy to set up controls make it highly customizable.
  • Extremely user-friendly interface
  • Great integrations with other cloud software
  • Cross-references and linking between different records
  • I would love to see linking between work spaces or bases - this would allow for more functionality at an enterprise level.
  • The new block functions are great, but are only available on paid versions. It would be greater to have a lite version of the blocks in the free version.
  • Without a previous knowledge of coding, some of the functions can be confusing.
Airtable is great as a personal organizer and particularly excels at project tracking for marketing related fields - such as social media calendars, content calendars, ad planning and tracking, and metrics reporting. It also works well for integrating with e-mail providers to track interactions and calculate next steps. This is particularly useful in an accounts receivable tracking scenario, as well as for CRM applications.

We use Airtable to keep information for all of our contacts in order. We have various connections for the programs that we run, and Airtable helps us keep them straight and categorize based on our relationship (in this situation, companies we work with to place our students in internships, companies we visit with our students, alumni of our program, etc.) It's great for linking records so that we can see where there is overlap.

Airtable is great for keeping your contacts organized. However, the more complex your Rolodex is, the more difficult it may be to contain all the information you have in an extremely organized way. It also has a very easy to use mobile app, which is extremely helpful when you use it to contain information that you need to access on the go.
