Airtable is like a beautiful marriage between an Access (or Filemaker) database and Google Spreadsheets. If you're familiar with databases and like the ease of Google Spreadsheets for data collection and collaboration, Airtable is for you!

I think Airtable is ideal for any medium-sized organization to manage contacts and organizations (like a CRM function), content marketing efforts, advertising and PR schedules, events, and perhaps marketing assets (still testing this on our end). I would be interested to see how it would perform managing a medium-sized product database, say a thousand products. I suspect it could do a pretty good job, however I can't speak to it's ability to connect to external systems like to feed a website. My first plan for managing my organization's needs was to install Salesforce as we can get the software for free as a non-profit. After using Airtable, I would encourage anyone to try Airtable first before trying something more complex. Two reasons: A) it's free to try and there is very little setup required before you start getting real use out of it; and B) even if you don't ultimately use it as your main system it is an ideal tool for designing what your data schema is going to look like. But I think many people will be pleasantly surprised to find that they don't need to graduate to a "bigger" system. I suppose where Airtable may not be appropriate would be with a huge organization with tens to hundreds of people managing the data. You would then want something where you can lock down and control more of the inputs on a user group level.

Airtable is very well suited to prototyping, gathering data, and doing simple operations with it. It does not have strong data analytics capabilities, although it's possible this will be made available via their new Blocks. It is less suitable for situations requiring high performance and more advanced SQL features, for example, it is not possible to bulk-update multiple rows, and doing this one row at a time is slow.

Airtable is great for non-profits or small organizations that need one application to do a lot of different things. It's visual, which means employees are more likely to enjoy engaging with it and the user interface is easy! You can keep it simple, or take a few minutes to learn tutorials for more complex and cooler features. For example, as a membership organization we use one base for all our work with members. We have a main base on the first tab and link it to several other tabs to track information such as if membership invoices were sent and received, when our last communication was with that member, contacts and addresses, and more. If we update the main base with a new contact, it's automatically updated in all the other tabs so we don't have to worry about updating the information is several places.

This thing is GREAT for creating forms to be embedded on a website. I love being able to track everything for an event in one place -- no more Excel sheet in one place and electronic folders and hard copies somewhere else.

It would be nice to have a little more flexibility in an embedded form's appearance -- text, color, etc., -- so that it matches the website when embedded.

I use it as a book database for myself, and also for our school library. I also use it to sort and manage my projects, milestones and goals, and the relationships between the three. We use it as a searchable content database for our body of work that includes curriculum, books, worksheets, speeches, blog posts, videos and online courses. I even set a database up for my parents to help manage tasks related to their recent move, especially tracking items they wanted to sell, donate, or keep.

I honestly haven't used Airtable long enough yet to identify what it is best suited for and what not. You will see how many features I haven't yet implemented or used in the next section. Not that I don't intend to use them; I just haven't gotten there yet!

I will say that I'm extremely impressed so far. And it has kept me from begging my program-developer spouse to create a system for me. That's really saying something!

For us, Airtable has been ideal because it is easy to use and maintain. It has expanded from a few tables when we started the garden last year to 19 today and we could add another at any time and that’s been the beauty of it. We don’t need a programmer or experience with advanced database relationships. It’s been very simple for us to use and manage and were using all the features. Obviously, there can be many advantages to more advanced database system with features that are beyond the scope of Airtable but they typically require a great deal of expertise to set up, maintain and use. But for many users Airtable provides a great alternative that is continually becoming more advanced while remaining easy to use.

Airtable is great for event management and complex calendaring. It's also great for managing projects with lots of to do's by different people. I'm also considering using it for our participant database. I used to work in inventory management on a farm and can see how great it would be for managing inventory from field to distribution. Airtable is well-suited to managing lots of information vs other software that's more suited to number crunching and calculations (you can still do those things in Airtable...I think).

Airtable is well suited to managing information of small to medium sized programs. If you are beginning to hate holding your information in a bunch of spreadsheets but don't have the budget or IT department to build you a more powerful tool, Airtable is perfect.

If you need a powerful system - for example, (a) the ability to batch update records; (b) complex reporting needs; or (c) large numbers of records - Airtable may not be the tool for you. At least for now - they have been adding features quickly.

Airtable is extremely versatile and well suited for several applications. I'm sure there are several uses that I have not yet discovered. Just perusing the available templates, there are so many templates specifically designed for nonprofits like us - everything from volunteer management to grant tracking.

We have recommended Airtable to colleagues. An example of a scenario where Airtable is well suited is a recent event we hosted with a tight schedule that was in flux the entire day. Airtable allowed us to provide an up to the minute public (and safe) view of the schedule, while only having to make updates in one location. Airtable made it's own case in that instance.
