Airtable is well-suited for collecting data that would be unwieldy to maintain in a Google Sheet. Our main problem has been how to scale our workflows with volunteers, since Google Sheets is free without limits to functionality.

I find that Airtable is well suited for companies/organizations that have a lot of data that needs to be organized, quickly updated, and accessed by employees easily. There are many features such as graphs, filtering options, mapping system, calendar options, and such. This is very helpful for our organization as we need a place to easily and quickly navigate community resources to provide the families we work with.

It works well for us to manage staff, students, communication, organization, and projects. We were looking for something to help us with all of these things without using multiple programs. We are glad that we found Airtable and it has met all of those needs. Looking forward to continuing to use Airtable and looking forward to the improvements.

Airtable is proving well-suited to
  • take applications from candidates wishing to apply for volunteer and paid positions at the festival
  • monitor and review job applications
  • enabling a number of colleagues to work on the same task
  • getting temporary staff using the system quickly
I am keen to use the system to manage RSVPs to event invitations but this is proving a little tricky to facilitate via Airtable.

Airtable is well suited for any scenario. Not only do I use Airtable for organizing aspects of my job responsibilities, but I also utilize it to organize my personal affairs. I especially like the fact that it is cloud/web-based, so you can create links for the end-user to complete, and it will auto-populate into your database. It's so great!

Airtable is best suited where centralization of data is required, where there are a lot of data dependencies (Relational Databases). For example, if there is walk-in for admission, data only needs to be captured at that point, then once it is in our system, we just would need to fetch this info for any further purposes, like when admission is done, or the student is availing transport, what is fee that needs to be paid, and also offers an easy way to follow up with the people concerned.

Airtable is less appropriate if we need advanced analytics to get done on the data collected. Although blocks help with some basic insights and analytics, and airtable can also be connected to multiple analytics and dashboards paid applications, Airtable still doesn't offer MS Excel level analytics and dashboards yet.

We haven't been using it very long, but so far it seems like Airtable is great for smaller teams with more standard needs, but it might not be a good solution as teams grow and have more complex and custom needs, in which case they might want to move to a custom database and app solution. However, in our case it's very good for handling contacts, attendance at events, and other things that we need to do related to contacts. But again, we haven't been using it very long, so it's hard to know specifically where it excels or needs improvement.

Airtable is well suited for any information tracking that you may currently be using an Excel sheet for and it is easier to customize and share the information. It is also able to allow you to add attachments and photos which a spreadsheet cannot do.

Good for replacing administrative spreadsheets, creating resource assignment and calendars, planning activities, creating on the fly data stores, outputting simple mobile data entry forms. Dealing with mobile staff needing to enter simple data quickly or with managers and officers who need to see real-time snapshots of information.

When dealing with smaller data sets and not requiring blocks, then for a non-profit it is useful to have the free workspaces where everyone can fully collaborate and update records.

Less good for complex financial work you should stick with Excel or your finance system. If you have a very large number of records and need many people to be able to update records then you need to consider the costs (however most off the shelf products you will be looking at to do your specific tasks will probably cost more when you evaluate them).

Well-suited for:
  • Data management
  • Complex data
  • Any situation where data should be linked (e.g., We have separate bases for author contacts and manuscripts, and one or more authors can be linked to one or more manuscripts, rather than listing the authors by hand)
  • Situations where visualization is helpful (e.g., seeing a timeline of progress)
Less appropriate for:
  • Straight-up task management (here a dedicated task manager such as Asana would be more helpful)
  • Teams that need an extensive commenting functionality

Many business processes can be improved with a collaborative relational database, but few know how to create and use one. It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve. The combination of a minimal learning curve and features make Airtable a win. I've already recommended it to colleagues at other universities who've started using it.

Airtable is well suited for the artist community, as this is a quick and easy way to keep organized on the go. The mobile app is dynamite for people on the go. This may not be so well suited for the very elderly since they are usually not tech savvy. But hey, you never know!

Airtable blends the simplicity of a spreadsheet with seemingly unlimited customizations. It's the first project management tool that works for everyone on our team, based on the way each of us thinks and organizes ourselves.

I am building bases for our signature events that include everything--from nuts to bolts--that we need to know about, track, follow up on, and complete. I have also created our communications plan and find the various ways of viewing pieces of it incredibly helpful. Everything is there, but accessible in digestible pieces.

I LOVE Airtable for its simplicity and its brilliance. So happy to be sharing it with my team.
