  • Financial Management is the fastest Apptio solution to deploy and utilize. It requires one person with no advanced programming or DB skills needed, and data sets that are already in place.
  • Customers don't have to start with the annual budgeting process, but can purchase and deploy within the first quarter of their new year. Starting with a monthly variance analysis and/or first quarter forecast, user can get up and running with a budget that is already built, to eliminate the annual budgeting process when moving into rolling forecasts.

ApptioOne Demand

Budgeting for demand is a challenging process, as spreadsheets and other customer solutions do not provide enough fidelity to generate accurate forecasts. Without specific insights into demand from business units, IT orgs do not know how much to budget and how to forecast costs.

ApptioOne Demand provides collaborative demand capture, planning and management tool that aggregates demand for IT services from the business units who consumer them to help organizations plan for the demand of the resources they provide to inform their overall IT spend, with integrated collaboration tools to communicate cross-organizationally and build plans as teams.

ApptioOne Demand enables users to cohesively structure their demand planning processes to more accurately and efficiently manage demand and reduce budget inaccuracies caused by limited oversight.

Why is this important? Inaccurate projections of future demand encourage budget padding and undercut investments in growth opportunities, which undermines partnership cross-organizationally. ApptioOne Billing

Mature IT organizations with Costing and Planning incorporated need a proper chargeback process for their organization. ApptioOne Billing aims to provide a defensible and predictable bill to business consumers that communicates IT costs in the language the business understands - providing increased transparency around the cost of delivering IT services and have shifting conversations with the business from cost to value. This leads to better partnerships with business stakeholders and more time for value-driven activities.

Homegrown systems are unwieldy and time consuming, delaying decision making and prevent defensible communication, Apptio delivers an automated cost recovery system for monitoring consumption by business units, delivering a bill with accurate IT costs and defensive allocations and setting pricing strategies that influence behavior. Benchmarking allows users to do their own discovery to find opportunities to improve based upon variances they find from benchmark data. As the Financial Manager for IT, we use ApptioOne to plan & manage our IT spend. Vendor contracts comprise a significant portion of our spend. IT Planning allows us to amortize current contracts, project increases and manage expirations. ApptioOne helps our team translate our SAP financials into IT financials. We are currently working on building out our Capex project reporting and developing a metric dashboard for our IT Leadership Team.

  • New Customer Support - today we are working with a Premier Resource who is fabulous! We had worked with TAS, and I do not feel that it was nearly as beneficial.
ApptioOne is well suited to support your line items, however excel is still needed to perform the detailed calculations to input information into ApptioOne. I think Excel is easier to manipulate and move around in. Also, as we are working with our Cost Center Owners, we are finding that exporting data from ApptioOne is simpler than trying to input/move around directly in ApptioOne.
We have not worked with modeling and are just starting to actively use ApptioOne for budgeting & forecasting.

We evaluated another tool at the same time as Apptio. We were impressed with the Apptio Team and their willingness to work with us. Work with what we had today as far as data with the potential to improve in the future. Crawl, Walk, Run.
I wouldn't change it - Apptio & TBM is where we need to be. The only part of our adoption that I would change would not to have tried to incorporate Bill of IT at our inception. We were not ready for it at all, and I feel that we paid for it for 2 years before it really drove any value.
During the budget/forecast period this year I was very hands on in Apptio. This was really my first time. I did run into some hiccups of which have been reported to Support.

Use Planning to manage the ongoing forecast and budget at a granular level where Corporate Reporting requires extra data. We use Cost Transparency to allocate the general ledger all the way up to Business Units for the purposes of Showback. We are looking to use it for App Rationalization. Cost Transparency helps transform a general ledger that doesn't provide much insight into what we are spending the money on. There are several mappings that are used from other sources to help allocate the general ledger.

  • Helps manage our contract renewals.
  • Speed of calculation time in staging.
  • Contract amortization in planning only reflects an increase in one period.
  • More instruction on how to work through the reports and insights with the App owners.
When you need to get off an Excel spreadsheet for doing the forecast, you can use planning. If your executives don't want to see their cost aligned to the TBM model, Cost Transparency may not be necessary.
I've been able to use customized reporting to update the out of the box reports to provide value to IT and other departments. I've been able to ingest all sorts of data that have been useful for comparisons that fill a need for the organization. We can compare multiple forecasts and budgets and compare across years.

The support ticketing process isn't great. They typically want us to recreate the error and that is hard to do. Most of the time I never physically talk to someone over a virtual meeting which would be nice to articulate what the issue is. That might expedite the fix to the problem.

We used Apptio one for cost transparency of our actuals, planning and resource analysis. The problems addressed were which department was over plan and why.

  • Apptio uses data from IT operational and financial systems to relatively quickly construct a flexible, actionable set of budget, cost, and operational models and reports that are expected to become even more accurate over time. Our visibility to near-real time consumption and related costs of IT Services is a powerful capability presenting important opportunities for decision making and performance improvement progress.
  • Data normalization, process re-engineering support, predictive analytics.
As IT becomes more and more integrated into the business, Apptio provides a valuable enterprise-level solution to companies with large IT expenditures that don't already have solid IT service costing, planning and performance measuring capabilities in place. Uncovering even small amounts of savings and performance improvement opportunities should more than pay for the relatively easy to implement, SaaS-based platform.
  • We are expecting at least a 300% ROI in the first year based on service improvement savings. We'll know more in the coming quarters.
BMC, Quest, homegrown alternatives. Apptio provided the best specific IT Business Management (ITBM) capabilities with the fastest deployment time and least impact overall. SaaS platform was an important plus, as well.
Some may see Apptio as a glorified set of spreadsheets, but ultimately they have done a good job defining a leading product in the space, and although much of the back end data coordination is outside of the Apptio product set (see improvement opportunities section), it has the potential to become the heart of our Consumption-based model. Pulling out could be disruptive, but if ROI's are not achieved, it would be an option. We have a 2 year deal with options, depending on performance.
