What is ApptioOne?

ApptioOne from Apptio, an IBM Company, unifies financial and operational technology data into a unified model built on a taxonomy of cost categorization. Utilizing sophisticated allocation rules along with focused metrics and KPIs, the solution enables organizations to answer strategic questions about their technology investments and accelerate budgeting and forecasting processes. By explaining investments and variance to plan more quickly to constituencies and executive management, organizations can uncover opportunities to optimize cost structures, reduce risk, and accelerate growth. The higher tier ApptioOne Plus also unlocks the resources to accelerate business strategies by streamlining applications and operations and deepening business unit partnerships with a collaborative approach to investments.

For CIOs and IT Finance Leaders in organizations with $75M+ in IT spend who need to make quick decisions to capitalize on market trends and drive business innovation. These decisions need to be based on a complete view of their IT cost structure and its value to the business. ApptioOne is financial management software that creates a shared understanding between technology leaders, finance, and the business of the fully burdened cost of technology and accelerates analysis, optimization, funding allocations, and planning cycles.

Unlike spreadsheets coming from multiple systems of record, ApptioOne unifies financial and operational data into an industry-standard taxonomy of cost categories and allocation rules and provides a standard set of metrics and KPIs to ensure organizations can answer the most strategic questions about investments faster and reduce time spent budgeting and forecasting.
  • Financial Management is the fastest Apptio solution to deploy and utilize. It requires one person with no advanced programming or DB skills needed, and data sets that are already in place.
  • Customers don't have to start with the annual budgeting process, but can purchase and deploy within the first quarter of their new year. Starting with a monthly variance analysis and/or first quarter forecast, user can get up and running with a budget that is already built, to eliminate the annual budgeting process when moving into rolling forecasts.
  • Through insights and analytics into their labor, vendor, cloud, asset and project spend, customers can find discretionary spending as a percentage of their IT budget.
  • Customers can reduce budget variance via increased budget accountability and accuracy, to save money that was tied up in contingency.
  • Custom reports and data visualizations can be created, or users can select from a broad menu of out-of-the-box content for rapid distribution of executive ready, actionable insights.
As a whole, ApptioOne helps organizations classify, categorize, and consolidate IT spend so technology investments are directed to the highest value-add opportunities.

Additional products in the ApptioOneMX product family include:

ApptioOne Demand

Budgeting for demand is a challenging process, as spreadsheets and other customer solutions do not provide enough fidelity to generate accurate forecasts. Without specific insights into demand from business units, IT orgs do not know how much to budget and how to forecast costs.

ApptioOne Demand provides collaborative demand capture, planning and management tool that aggregates demand for IT services from the business units who consumer them to help organizations plan for the demand of the resources they provide to inform their overall IT spend, with integrated collaboration tools to communicate cross-organizationally and build plans as teams.

ApptioOne Demand enables users to cohesively structure their demand planning processes to more accurately and efficiently manage demand and reduce budget inaccuracies caused by limited oversight.

Why is this important? Inaccurate projections of future demand encourage budget padding and undercut investments in growth opportunities, which undermines partnership cross-organizationally. Chasing down demand estimates from business units slows down the planning process and makes it almost impossible to deliver timely, accurate unit rates and project costs.

From a supplier perspective, users can capture business service demand on internal IT services/resources to help owners understand their incoming demand needs and its variance to previous years. From a consumption perspective, Demand users can capture technical service demand from internal IT services to help owners understand aggregated demand needs for the upcoming period and variance from previous periods.

ApptioOne Demand helps users to:

Source and aggregate demand for services with a standardized, shared framework to streamline, and reduce time taken to complete, the planning process.

Plan, track, and manage consumption to lower overall IT spend or redirect investments by reducing waste, eliminating duplications, and aligning investments to strategic priorities thanks to collaboration, active management and analysis tools.

Improve unit rate accuracy to reduce the time spent forecasting, increase Showback clarity, and utilize variance analysis to redirect resources to higher-value activities.

Influence Demand: Strategically price services to shape Demand and recover costs with transparency and accuracy from the business.

ApptioOne Billing

Mature IT organizations with Costing and Planning incorporated need a proper chargeback process for their organization. ApptioOne Billing aims to provide a defensible and predictable bill to business consumers that communicates IT costs in the language the business understands - providing increased transparency around the cost of delivering IT services and have shifting conversations with the business from cost to value. This leads to better partnerships with business stakeholders and more time for value-driven activities.

Homegrown systems are unwieldy and time consuming, delaying decision making and prevent defensible communication, Apptio delivers an automated cost recovery system for monitoring consumption by business units, delivering a bill with accurate IT costs and defensive allocations and setting pricing strategies that influence behavior. It also allows users to reallocate the time spent supporting manual consumption cost models (salary and effort costs) to higher value uses.
  • Cost Recovery: Determines the proper billing amount from each business unit using business rules.
  • Consumptive Billing: Ensures the amount being billed is not only accurate, but also explainable to business units.
  • Unit Rate Billing: Exposes the levers business units can use to mitigate costs and reinvest in higher value IT activities.

ApptioOne Benchmarking

The value of on-demand, self-service benchmarking is that it allows users to look at their actual data against benchmarks in order to understand where they stand, as well as to use as objective data points in communication with the business to justify or defend spend decisions, demonstrate efficiency, or recommend optimizations. Benchmarking allows users to do their own discovery to find opportunities to improve based upon variances they find from benchmark data. It is not like traditional consulting in that it does not provide recommendations for improvement.

In addition, Apptio Benchmarking provides self-service peer comparisons of IT spend over time, enabling an ongoing process for tracking performance, validating decisions, and identifying areas for improvement. Users can compare actual IT costs to benchmarks side-by-side to create demand plans and budgets, conduct scenario analysis and explore variance drivers with access to underlying actuals. Access to a full benchmark data set helps IT organizations understand how each metric is calculated.

Users can:
  • Validate spending levels with a view of actuals vs. self-selected benchmarks to know where the business stands relative to peers using trending comparisons.
  • Monitor progress by identifying areas of risk, setting targets, and evaluating improvement efforts.
  • Identify improvement areas and use relevant, credible peer benchmark data as objective reference points.
  • Set targets and track progress with trending comparisons.
  • Know where a business stands versus the best and worst in its class with box plot distributions for each data point

ApptioOne is the front door into many Apptio modules. Easily managed access to what I call rooms in the house (IT Financial Management Foundation, Cost Transparency, Enterprise Business Management, Cloudability, and others). Apptio has transformed how IT does business with the Business as well as transforming how IT is perceived by the business. We have become a trusted business partner with the business and the business is involved in many of our decisions.
  • Allows Transparency into Spend by allowing us to include in-depth detail into our spending providing detailed knowledge of our spending.
  • This transparency into spend has enabled us to excel at budget and forecast planning and allowed us to give dollars back to the business on a quarterly basis to spend elsewhere.
  • ApptioOne is a one stop show to get to all of our decision making needs.
  • Wish we could rename tables and move them into different categories.
  • Wish we had to ability to schedule check-ins of our workspaces which would enable us the freedom to schedule check-ins (and check-out of work). I currently set an Alexa reminder to check in my workspace nightly at 6 pm.
  • Wish there were audit logs in Cloudability in order to track who changes allocations, etc.
  • Wish direct allocations to Applications and Services were table-driven enabled. Often times the source data isn't available. We had to build the functionality manually.
I haven't seen a scenario where it isn't appropriate for a business. ApptioOne has been an excellent tool for us.
Resource (Employee level) and Vendor Spend alignment to Applications and Services are essential to our success.
  • We have experienced an extreme improvement between IT and Business Units overall. The business now trusts IT where we used to be the "black hole".
  • Our forecast cycles have changed so much. We started with an annual budget with quarterly forecasts for 1 year. We now prepare an annual budget + for 3 years and Monthly forecasts for 3 years. We are now able to release funds back to the business on a frequent basis. Our budgets and forecasts have improved significantly and demonstrated fiscal accountability to the Business Units.
  • Our CMDB quality has improved dramatically since using Apptio and is not a trusted resource.
Support is always there for us. We occasionally get a new support person that has less knowledge than us (we have been using Apptio for 9 years), but ApptioOne is great about allowing us to request a stronger support person. We seldom have to open support cases now.
  • Cloudability
We have just started with Cloudability and have requested pov for Targetprocess so I am anxious to get these 2 solutions underway.
  • Online Training
  • In-Person Training
Was awesome to have been taught by legendary Debbie Hagan for Cost Transparency in person. Her knowledge is extensive and she is an excellent trainer. Her years of experience really shined.
The all talented training organization crosses all the T's and dots all the I's. I am constantly learning and often refer to training documentation for post training real life issues.

  • Apptio uses data from IT operational and financial systems to relatively quickly construct a flexible, actionable set of budget, cost, and operational models and reports that are expected to become even more accurate over time. Our visibility to near-real time consumption and related costs of IT Services is a powerful capability presenting important opportunities for decision making and performance improvement progress.
  • Data normalization, process re-engineering support, predictive analytics.
As IT becomes more and more integrated into the business, Apptio provides a valuable enterprise-level solution to companies with large IT expenditures that don't already have solid IT service costing, planning and performance measuring capabilities in place. Uncovering even small amounts of savings and performance improvement opportunities should more than pay for the relatively easy to implement, SaaS-based platform.
  • We are expecting at least a 300% ROI in the first year based on service improvement savings. We'll know more in the coming quarters.
BMC, Quest, homegrown alternatives. Apptio provided the best specific IT Business Management (ITBM) capabilities with the fastest deployment time and least impact overall. SaaS platform was an important plus, as well.
Some may see Apptio as a glorified set of spreadsheets, but ultimately they have done a good job defining a leading product in the space, and although much of the back end data coordination is outside of the Apptio product set (see improvement opportunities section), it has the potential to become the heart of our Consumption-based model. Pulling out could be disruptive, but if ROI's are not achieved, it would be an option. We have a 2 year deal with options, depending on performance.

  • Costing of IT Services, Consumption Reporting (Business consumption of IT Services), IT Planning (annual, 3 - 5 years out), Service Performance measurement and benchmarking.
We did not previously have a package to manage IT as a Business. This resulted in difficulties consistently and regularly understanding the true costs of IT consumption by our business partners.
  • Vendor implemented
  • Implemented in-house
Combination of Apptio Consulting and in-house IT and Business teams.
Well, so far. Apptio Consulting covered specific model architecting areas particularly. Most of the heavy lifting is being done in-house with support from Apptio as it relates to tool impacts and needs. Some administrative tasks were redundant.
  • Online training
  • In-person training
  • Self-taught
Excellent. We were able to coordinate an onsite course for several vs flying everyone to Apptio Training in Seattle.
Was simply used to get familiar with the tool. Good introduction to the in-person course.
Reporting capabilities may be learned without in-person training, but definitely not Modeling and Costing set up. Training was a full week and was valuable.
No
Once fully trained and implemented, we are not expecting a substantial need for support. The tool is not complex, once implemented and trained.
Solid support so far, primarily focused on implementation.
Apptio is proving to be a relatively user-friendly product, assuming proper skill sets and training. Enterprise Analytical abilities to support the proper data readiness and implementation are key.
Excellent, so far. SaaS-based...assuming effective data links and connectivity.
Excellent, so far.
  • Financial and Inventory systems primarily, ie Oracle, Ariba, BMC, etc.
This continues in progress as there are multiple source data systems feeding Apptio. All via generally available APIs ultimately, some more manual than others.
  • All systems requiring integration will be covered via available or built APIs. Meantime, manually scheduled data pulls work well enough, as needed.
Retail price is relatively high, negotiate that as well as licensing periods and modules included. Once Apptio is implemented, it becomes the heart of the your organizations IT Business Management structure. Hedge appropriately.
