Through Apricot data we can know the average number of people we have coming in for services each month. We can also estimate how many new clients we are getting each month and whether the trend is going up or down. We expanded the amount of food we were purchasing for our pantry when we noticed we were having more people coming due to the recent rise in the cost of gas and groceries putting their budgets in a bind.

Since using Apricot, our organization has doubled in size and impact, expanding our program initiatives to meet the heightened community needs to be brought on by COVID-19. During this expansion, our Apricot data management systems enabled us to transition with ease to remote work and service delivery while allowing us to access the data and analytics needed to articulate heightened community needs and service demand/utilization to funders.

I am able to custom-build reports based on each grant report required. Our previous database did not have this functionality. My previous supervisor spent countless hours handwriting spreadsheets to track data requested by grantors. Now I am able to adjust the dates of reported data and get everything needed at a quick glance. I've built a client budget form so our staff is able to see at a quick glance a client's monthly income and expenses with the 'quick view' function. Or they can fully open the form and see in detail the income revenues and detailed monthly expenses.

We haven't yet used the data to scale our programs. Data alone cannot do this. What we have done is build a better method of program evaluation in only two and a half years. We did not have a data collection, evaluation, or reporting method prior to Apricot. Data put us in a position to apply for larger grants because we can speak about our processes and outcomes in terms impossible to do previously. Using data in this way and receiving larger grant awards had the unintended effect of giving us more resources than we had the capacity to leverage. We are now at the point, because of Apricot, to see clearly where and how we need to scale.

We are able to generate our own reports on an as-needed basis to answer any questions we have regarding service delivery. On the other hand, our reports often break and there is no clear answer as to why they are breaking.

We have not necessarily scaled yet, we are still getting used to turning to Apricot by Social Solutions as a tool. It has taken some time to get staff buy-in to using the system and exploring the possibilities available within apricot for improving and scaling our programs.

We did --- but we purchased Apricot so we could scale. Of course, we did this in 2020, so our scaling didn't scale as much as intended pre-pandemic. We struggled to get our program expansion off the ground, and only met 33% of our expansion goal. Because we didn't meet our original (pre-pandemic) goal, we are struggling with funding to keep our program going. Our Apricot contract expires June 1. We asked for a 3-month extension so we could have more time to secure additional funding -- but were not granted an extension (Apricot's minimum term is 12 months). I was disappointed that we couldn't get an extension and the whole conversation around that request did not go well -- I felt like Apricot was more than willing to leave us behind. This week we have spent downloading our data, and will not use Apricot after June 1.

Apricot has allowed us to capture data and conveniently report on that data to find trends that help us better tell our story. It allows us to step back and take a look at the bigger picture as we analyze student and family needs, helping us determine what resources we can best provide to the people we serve. It also allows us to report on specific outcomes to donors and funders.

We operate the same two programs in 21 sites across the country- and counting! We needed software that is as scalable as we are. Apricot360 has allowed us to be able to buy a "hotel" with one main customizable blueprint and then make local "floor level" changes as needed. This empowers our leadership team to have oversight as well as empower our local chapters. Our core programs are highly adaptable to serve in urban, rural & suburban areas, tailoring to different socio-economic & cultural backgrounds, in order to meet the real needs of individual fostering family units. The software will provide a standard case management process that can be customized to accommodate diversity.

I do believe this has helped us as a company to deliver more help to more clients and keep it all organized. We still have to use applications like Microsoft Excel and google spreadsheets for certain data, but Apricot makes it easy for everyone in the company to have access to necessary data without any disorganization.

Not yet. Still spending a lot of time trying to set up the database to allow us to scale. There always seems to be a glitch and we lose important data when we survey our youth. We only get one shot and when the software or the set-up isn't working it hurts us. As I mentioned the phone app needs some work. Our students used the phone to take the survey and we missed most of them because they couldn't find an easy submit button. You had to scroll up and over to find it instead of at the bottom of the survey. This impacted us greatly.

To some degree, yes. We are able to track certain program deliveries pretty accurately to help us in decision makings. Limits in features and functions can sometimes make it hard to expand how we can capture data outside of the conventional direct service way.

Apricot has been beneficial in scaling our organization's program delivery as we expand to serve new counties within our state. Through Apricot's capabilities, we are able to create separate geographic sites and programs with specific permissions sets and role-based functionality, so users across the state only have access to the data they need. Administrators can tweak that access when needed to allow program managers to view reports and announcements.

Apricot has enabled us to pull accurate data that shows when our company has experienced growth, when it slacks off, and where we are effective when the growth takes place. Growing can be bumpy, but with this program we have been able to identify the gaps and work to close them. It's been an effective tool for the work we do.

Apricot has provided us with the ability to view and see long term affects that our services provide for our clients over varying time periods. Thus allowing us to view which services and programs have the most benefit and which could use some more work, which is the most cost effective and which provides the best short and long term goals we're aiming for.
