Admin assistants, advocates, managers, financial assistants, housing coordinators - our employees have a wide variety of tasks that they complete and track using the Apricot system. Apricot has been a key piece in creating our tracking systems because it is able to work with a wide range of programs and services. We have built forms and reports to track everything from basic needs services, to payments, to classes and trainings that we offer, to advocacy and therapy services, and so on. It's highly versatile, which is why I like it.

The people using Apricot represent all areas within our nonprofit. The Executive Director uses it to monitor numbers served and outcomes. The Director of Development is the administrator and uses the database to gather reports for accounting, funders, case management and communications to donors. The Case Manager uses reports to ensure client training is being offered in a timely manner, that clients are progressing through training and that all training needs are being addressed. The Case Manager also uses the database to send new client referrals to staff. The program staff use Apricot to enter in training records and to track progress toward training goals.

The department that I work in provide grants to other nonprofits. We use apricot as our application and review platform. Each year we open up the grant process and allow organizations to apply for grants, these grants are then reviewed by staff and volunteers. If a organization receives a grant the agency submits a biannual report on the Apricot platform as well, which is also reviewed by staff and volunteers. This way we can use it to capture measurements and results.

Currently we only have two users. I am the primary administrator and user. Whereas our Tech and Compliance Manager is an additional administrator to allow access to reporting functions and ensure someone else is familiar in using it.

We originally purchased and began using Apricot as a Case Management software. We had previously been using a spreadsheet for all of our client data. After thoroughly reviewing 4 alternative software programs and at least identifying several others, we decided on Apricot. We find the program to be so accessible and useful that we have expanded it for use by our Volunteer Engagement and Development departments.
