What is Arena PLM and QMS?

Arena, a PTC business, helps companies to design, produce, and deliver innovative products with a unified cloud-based PLM and QMS platform. Arena understands modern product companies rely on distributed teams and global supply chains to develop products, ensure regulatory compliance (FDA, ISO, ITAR, EAR, and environmental compliance), and respond to customer demands.

Arena states that they have more than 1,400 global high-tech electronics and medical device customers. Companies with complex products comprised of electrical, mechanical, and software designs need a single system to collaborate in real-time. Arena enables every participant throughout the entire product lifecycle to work together–increasing visibility and traceability. This helps to accelerate new product development (NPD) and new product introduction (NPI) by streamlining processes, automating review cycles, and reducing errors to increase profitability.

We have expanded it to our CM partners, our design team, and more members in the supply chain. Internal team members had no issues with the expansion. Some CM contacts sometimes had issues accessing some of the BOM components.

We have expanded Arena PLM and QMS to maintain our Bill of Materials created in Solidworks, integrated our regulatory documents into Rimsys (our Regulatory Information Management) system, and are currently implementing Design, Document, Manufacturing, Regulatory, and Clinical Change Control processes in Arena PLM and QMS.

Users have more than doubled in the 12 years we have implemented ARENA. We integrated Silicon Expert as an add on to help with parts lifecycle and procurement. Partners and preferred supplier trippled in this time and their integration was also quite fast and seemless. All of these expansion/transition have become more and more efficient and quite easy to do.

The initial implementation was difficult due to the sheer volume of documents and there were a number of inefficiencies. Since then there have been several key improvements. In particular, the change management process has been iterated on and is much improved. We are finally reaching a point where the system can link all relevant information in one place and it makes everything a lot easier.

We started with the BOM and incorporated Document Control using the Item module. We've expanded into the Quality Module for most Quality processes and used the Supplier module for supplier tracking.

We started using the ECR (Engineering Change Request) option since last year. I believe our quality department has started documenting and handling the non-conformities in Arena as well. It would be great to allow suppliers to have limited access to the relevant information (such as report of non-conformity or purchase specs or manufacturing drawings). This should save the purchasing department from having to download the files from Arena and manually forward them to the corresponding supplier.

we have expanded arena to include customer complaints. We are a early stage startup with no product in the market yet but arena is a very flexible tool for personalization of the QMS specifically to ones needs. The expansion/ feature addition to the arena has been flawless with less difficulties.

After applying Arena to the pilot product line and fine-tuning platform configuration, Arena was quickly expanded to all other product lines within the pilot operating company. After about 6 months, Arena was further expanded to included 2 other operating companies within the organization. Overall, the expansion has rendered the Arena platform accessible to more than 5 times as many employees as during initial implementation. The training on the platform and integration with other systems went very well, and minimal technical questions on the platform have arisen from employees. Other operating companies have also expressed interest in migrating all documentation to Arena for simplicity.

we have steadily increased the usage of Arena within our growing company. Initially, it was used solely for saving the latest documents and vendor specifications. Shortly afterwards, it evolved to controlling our ECO or change control process. Afterwards, we started using Arena PLM to initiate and track Change requests. Read only access became more widespread and is available to almost everyone within the company to share process sheets, company policies, and training documents.

Arena was initially used for Engineering and Manufacturing change orders and our drawing and document repository. Since then, we have expanded it to use Deviations to track temporary changes to the manufacturing processes in the factory, started integrating it with our ERP software, and expanded the scope of existing ECO and MCO processes. The expansion worked pretty seamlessly for the Deviations, we were using a similar process before and had to translate the form into an Arena form. The ECO and MCO processes were just expanding the amount of input required from the change owner, so that was a straightforward task as well. The ERP integration has been a struggle. Since we are a startup spread across two countries (and soon to be a third), combining supply chain information and processes is not easy. There are many players that are involved in different capacities that make that integration a complicated task.

Our company uses Arena for ECO, Training, Supplier Organization, CAPA, amongst other functions. The training process has recently been expanded within Arena due to the recent remote work implementation. As we onboard employees remotely, this is one of the first programs they recieve access to to complete full training, much of which is typically done in person.

We have expanded Arena usage in so many ways since we initially implemented it. Our first implementation of Arena was with the engineering change management process to document and control our product. Since that process has been so successful, many other departments in the company saw the value of having this controlled process. So we created additional formal processes in Arena, including with the Manufacturing team, Business Development, etc.

Our usage of Arena has expanded to account for more product offerings, more types of products, and additional product related services such as maintenance, service, and warranty.

The number of users has grown slightly. So far, the expansions have been smooth. New users have been trained on how to use Arena and new use cases have followed the same workflow as prior ones.

I personally do not use Arena as much in my daily work. I use it to complete training and to look up certain Lot information. We have other departments that use it to upload files and look up product details on a daily.

After initial implementation, our organization continued to expand Arena to more user. This included additional users to complete training and allow access to SOPs. Additionally, we added users for additional approvals for investigations and change control. The expansions all went well. Training the new individuals was fairly simple and everyone was able to get up to speed quickly. We are looking to integrate Arena to our ERP system which has been a more difficult process.

We've added read-only users with training access so that we can document training inside the system. These users did not need full access as they were not uploading/approving documents. We also implemented Quality processes, for example, we implemented a non-conforming material process. The implementation went smoothly and is in operation.
