Arena has allowed us to streamline processes related to the QMS to improve turnaround time and visibility across the organization. The most important lesson I've learned is to continue to explore arenas functionalities to integrate more processes or improve existing processes. There are many built in settings that were very useful but were not originally being used.

Introducing new product lines/new business unit integrations. We have had 3 major product integrations in the past 5 years, all of which were different in their challenges and from where we started. Arena was able to analyze our different needs and propose alternate solutions adapted to our needs. Most of these have increase the speed in which we were able to input parts/documents/BOM's and data from different systems and software. In some cases, we even had special tools developed on the fly especially for us which were life savers for us, one experience come to mind when Doug Johnston from Arena, developped a quick dBase tool that permitted us to load new parts and BOM's quickly and efficiently from an Archaic Excel format!

Since I had used it in a previous company, I knew its benefits, and was able to communicate them to my peers and get them excited about it as I was. Just dive in, the water's fine!!! Don't be afraid to configure a new path with something, it's all continual improvements!!

When I started with arena I was new to implementing quality management systems. The customer support and training has been an excellent source to set up your quality systems and helps you along the way. After you get used to as in any QMS Arena is a very straight forward tool for most of our needs.

I've used Arena to successfully route change orders to back up personnel for different departments when the primary approver is out of office or unavailable at the moment. This option helps in tight situations to meet deadlines and provides less of a hassle to depend on only one approver for each change. Auditors are also very accepting of Arena's thorough validation documentation that captures system updates and changes throughout the year.
Most important lessons include taking the time to set up the correct categories and types of changes in Arena so that it is easy to understand and use for all change initiators and Arena users. Set up a numbering system that you can be consistent with. Attend the webinars that Arena hosts to go over system updates--you can also ask questions about updates, they are very informative.

Arena has been great for streamlining the engineering change approval process. It has made it so that everyone can review these changes on their own time and make an informed decision about whether or not to approve the change. One tip I have learned is to search with the * wildcard.
For example, if I'm looking for our AC Power Adapter but I can't remember if it's logged as "AC Power Adapter" or just "AC adapter" I can search AC*adapter and find it

Arena has made it easy to search and retrieve documents. It allows us to track revisions and keep track of approvals. The biggest lesson was to have flexibility when setting up systems to make them work the best for the application.

Arena has provided our organization with a robust and easy to use PLM solution. It provides system administrators tools for quick configuration updates with low overhead. I have however, learned that Arena's simplicity also hinders its scaling capabilities and needs a major revamping of its architecture to provide modern integration capabilities with other systems. I will say this though, seems like the company has been redefining their product roadmap, and consequently have been putting great effort in making small but impactful changes to the product on regular scheduled updates.

We were able to introduce an entire QMS within Arena, and incorporate nonconformances, auditing, CAPA (8D and 5D), as well as create numerous metric tables for our organization to use.

The hardest part was having to architect everything from scratch, but Arena was great with support. You are limited by certain factors (i.e. lack of deliverables) if Arena doesn't have it on their platform. They can create it, but it does take time.

We've successfully used Arena to achieve compliance with our medical customers' requirements for device history records. Arena allows us to store the entire revision history of an assembly, as well as related requirements, test documents, procedures, meeting notes, and customer communications via the Project module. This is also invaluable, as it satisfies numerous requirements for ISO 9001 certification.

Yes, Arena has been helpful in helping us keep track of our products.
The most important lesson learned is that it is very important to have good processes in place that integrate Arena use. Without defined processes Arena is just another database, though Arena does help guide those processes.

1. Setting a solid process from the get go (use of projects/quality/training, deciding on milestones, product revision)
2. Ensuring to hire a professional to perform the integration with the ERP, consultants who have deep knowledge of the NPI, PLM process rather than technical knowledge of the software.
