We use Asana as a task and project management tool. A few of our departments use it as the main way to assign and track the progress of their work. Also, some larger cross functional projects use this tool.
  • Cross platform experience. Great across mobile apps and desktop web
  • Search. Easy to find anything with advanced search and tags
  • Reporting. Easily set up favorited views
  • Complex license model. Freemium business model, need org buy in to do more complex tasks and make service worth it
  • Mobile app limited. Certain things like section dividers cannot be created on mobile
  • Central administration tools lacking on non Enterprise SKUs
Great for quick creation of basic project plans. If you're managing a very complex plan, more powerful tools like JIRA or Microsoft Project may be more appropriate. This tool does well with our G&A/business users.

Asana is the best to manage smaller teams. It's easy for PR and Social to keep track of who is owning which project, etc. I think it's less appropriate when one task has too many people contributing or changing deadlines. Whoever makes the due date should be the only one to change it.

Asana is a very good option for the management of projects and the monitoring of assigned tasks, in my work I have several people in my team, so it is necessary to constantly monitor the tasks and projects in execution to ensure that they are carried out in the best way possible. It is there that Asana makes my work much easier since the application allows me to do the respective follow-up to the work without having to move from place to place.

We use it as a project management tool to assign different tasks and roles to a project for the department. We have multiple boards where we break a project down into pieces to simplify the process. It has helped us see where we need help on a project and keep everyone else on time.

Actually Asana is being used across the whole organization, but my area was the one that introduced the tool to the company. We needed to find a tool that allows us to track our tasks and to organize the team's tasks, share the projects with other areas, schedule the projects, set due dates, share files and information, etc. Asana address all those issues.
  • It's very intuitive to use and its interface is modern and nice. Other project management tools don't have as nice an interface as Asana has.
  • It allows you to manage a LOT of projects and to customize them separately depending on the characteristics of each one.
  • It works smoothly in different navigators and also the desktop version works very well.
  • It allows integrations with great tools, such as Everhour.
  • The free version is very plain, I understand that nothing's for free but I think that, if it had some more functionalities available in the free version more people would buy the complete one.
  • I would like to use Asana in my phone without having to download the app.
  • Sometimes the notifications get spammy, I know you can deactivate some and activate others but, as default, they end up being spam and most of the times I lose the only ones I care about (when a task is done and when comments are made on a task).
In my experience, Asana solved a lot of problems where I work, a growing department at a growing company. When we had fewer clients (or small clients) it was easy to work without a friendly project management tool, but when clients got bigger and we started to [have] A LOT our work became messy and stressful. I think it's a well suited tool when your area or your company gets bigger.

It is being used by specific departments. Asana is an interactive, reliable and easy-to-use project management solution, which we use for agile driven projects, allowing us to better perform using this approach and keep track of constant changes on the scope of work as a natural and essential part of agile projects.

Asana is really well suited for IT and agile driven projects where there is not much focus on cost/budget management, but in the scope itself, being very flexible to handle constant changes. At the same time, Asana is not recommended for heavy CAPEX projects where finance is an essential part of management.

Asana is predominately used in our marketing team. Other teams, such as sales and customer success, also have access, but it tends to only be so that they have visibility on what marketing is doing. Other teams don't tend to use it as in-depth as our marketing team. For our team, it's great that we have visibility on what everyone is doing. It allows for easier collaboration as well. We've structured it so that anyone in the company can see what we as a team are doing at the given time. However, it also allows them to add tasks to our board should they need to.
  • Team collaboration.
  • The calendar view is awesome!
  • It allows us to implement a smooth scrum process.
  • It gives the entire team access to an overview of our workload at any given time.
  • Not all tags are easily recognized if there are many per task.
  • I don't tend to use the 'my tasks' section, which means I miss subtasks that have been assigned to me.
  • Sometimes if tasks are shared across two boards, it will mark as complete on both. It's a bit frustrating if one team has completed it but the other hasn't.
I personally feel Asana is suited to marketing teams. It's so much simpler to understand than JIRA. We have tried to get our development team to move over to Asana. However, it doesn't offer as many features as they need, hence their reason to stick with JIRA. This is probably the most frustrating part -- we want everyone to be using one tool, but it's not suited for all teams.

We use Asana across our production team to manage projects as a whole and individual tasks within those projects.
  • Asana is a great, no nonsense project management solution. It gives several simple views and ways to present tasks and projects and automations within those projects.
  • Asana offers Gantt charts, calendar views, board views, and list views. It gives you access to views that many other solutions hide behind high paywalls.
  • The price is right for Asana (at least from what I've found). Asana was much cheaper than the major alternatives that offered the features that my team needed such as Gantt charts.
  • Some of the upper level project management tools and high level views of multiple projects are hidden behind the MUCH higher priced premium plan. This was also a recent split which hid some features previously included in the standard plan behind this paywall.
  • It doesn't have a great overall view for all projects that you have going on. There's a calendar for tasks and a list for projects but not a clear way to signify what stage each other project is in or give some that at a glance info to a manager or owner. Maybe that is included in the expensive premium plan.
Asana is perfect for small teams that need to manage a couple dozen or less projects. Probably not great if you have many more than that or a huge team.

Asana is used almost across our whole organisation, except the development team who are using JIRA instead. For marketing, sales, customer success, sales and management, Asana is a brilliant tool that helps us improve:
  • Project management and delivery

There are a few aspects that make Asana stand out among other project management tools that we've used in the past. The most important to us is transparency and usability.
  • Most of our teams organise their work based on Sprints or Kanban, and Asana allows us to not only to plan our work but make it visible throughout the whole company. This not only improves communication between teams (when those requests come in) but also helps us record all of our work, track results and eventually, celebrate our wins.

  • If you've logged into Asana at least once, you will know what I mean about good usability. The app is such a pleasure to use! The colours of the UI and where all features are places help you feel even more satisfied when work is done.
  • Broad functionality to suit teams of different sizes and styles of project management
  • Pleasant user experience
  • Easy to use and learn
  • Better workflows and structure for developers
  • Work in offline mode (new feature but could save a few minutes when my Internet connection cuts off)
  • Can be slow to load on big projects ( very rarely )
All types of marketing projects suit Asana very well. From running campaigns that have multiple aspects to managing a content calendar and creating content pieces, marketers tend to love Asana for the ability to visually represent their work and plan it in advance.

I know our customer success team also likes to use it for different types of processes, playbooks and handovers for clients as the template feature helps streamline any kind of repetitive work.

I work as an external consultant with teams at public and private organizations. I use Asan for task management, time management, and oversight of projects. It addresses the problems of workflow and workload among the teams with whom I work. I use it as a tool, but it is not necessarily a working tool of the companies I consult.
  • Visualization of tasks.
  • Task management and follow up (filtering tasks, deadlines, and receiving notifications of pending tasks).
  • Premium services allow for critical routes.
  • Premium services are limited and there are projects that I work solo. Nonetheless, the payment is done for up to 5 users.
It is suited for basic and complex projects. The main issue with Asana, as well as other tools, is that this requires training and commitment to using the tool. Thus, its functionality is limited to the use made by other team members.

We use Asana to manage both personal and group projects across many different ministries in our church. We have groups, assignments, dates, and more for projects that range from long term to quick to-dos. Its best feature is how easy it is to assign and track projects to people to keep them accountable for the work they're doing.
  • Time management is fantastic. I can set multiple dates within a single larger project by using subtasks. That allows me to set overall goals as well as reminders for the smaller parts of jobs.
  • Assigning projects to team members, and myself, is a breeze. It's easy to identify at a glance who is responsible for what task in any given project.
  • Having a personal to-do list is also helpful. It keeps track of all of the projects you're assigned in one place.
  • Asana's inbox feed is great for keeping track of conversations you have on projects, reminders for due items, and anywhere you've been tagged or added to any project.
  • The cost for Professional is more expensive than our non-profit/church can afford. If there were either lower-cost options, or better pricing for churches, we would love the additional features Asana offers
  • The notifications aren't great. It overwhelmingly sends too many emails, so much so that I had to turn off notifications completely, and just rely on the internal Asana inbox.
  • There absolutely needs to be a desktop app. The mobile app is great, but not having one on my Mac makes using it cumbersome when it shouldn't be.
Asana is great for organizations that have many people working on many projects, and where you have managers who like to see the big picture when it comes to project management. It's also extremely helpful for orgs where multiple people are working in many projects as a way to easily keep track of progress and to-dos. Smaller organizations may be a bit overwhelmed by how large Asana can get, but it can be used simply or on a larger scale. For some non-profits, specifically churches, you don't qualify for their discounted rate, so upgrading can be quite expensive.

Originally, our Marketing Team started out using Asana, which then rolled out to the entire organization based on how effective it was in managing projects and daily tasks. Speaking specifically about Marketing, we have so many different tasks to complete each day, and before Asana, task management was handled using a combination of my Email Inbox and a notepad on my desk -- obviously, Asana completely solved that outdated task management problem.
  • Collaboration: Asana is a huge time-saver for each team member to be able to see what everyone is working on, in regards to the status, due date, etc.
  • Task Management: Asana makes task management easy. I have one monitor dedicated to my Asana Tasks screen, and I always know what needs to be worked on and what's coming up.
  • Efficiency: The ability for team members to easily assign tasks to one another, with notes, due dates, etc. is so much easier and faster than communicating these details via Email or in a meeting. This makes things more efficient for me, so I can stay more focused on the work at hand.
  • I would like the ability to block available due dates when co-workers assign me tasks. For example, if I am going to be out of the office for 7 days, 3 months from now, I would like to set those 7 days as unavailable. Then when co-workers go to assign a task to me, they do not select those dates, and understand I will not be able to complete any work during that time frame. This resolves the issue of wasting time having to go back and forth messaging one another or figuring out a more accurate due date when it could have been avoided from the start.
To me, Asana seems like more of a project management tool for teams that have to manage a lot of tasks, with a lot of important details. I don't think Asana is as valuable for personal use, or if you need to manage a few minimal projects every so often.

My organization doesn't use Asana, but I do, and it has been so helpful to get through my day that I recommend it every day. Between the app and the desktop view, everything seems to get in order by itself, and I can't address more the conversation on turning to Asana for the whole company, as it makes remote work the easiest.

  • It could use a better layout, more similar to the app.
Asana is great for remote workers, but not so much for small enterprises. It's free for very few users but, let's say when you have 10 employees, you might need a pricier plan, which doesn't always fit small-businesses budgets. But it is always worth it, and Asana helps a lot when keeping tasks on track and documents there.

I use Asana for my personal To-do list. Previously, the entire marketing team used Asana for project management and to keep tasks on track. It is not being used by the whole organization to my knowledge. It addresses the business problem of keeping everyone accountable and on the same page.

Asana keeps you on track and helps you prioritize projects and to-dos. I like that you can see what you've previously worked on and accomplished. It's less appropriate for teams who are very active inside their email, like Outlook, and prefer to use the Tasks function already in their email software. Asana has been deployed organization-wide in order to facilitate task tracking and to monitor project progress and ensure that deadlines are met. The collaborative aspects of Asana are also important in our use case, though they aren't emphasized as much as the more simplistic task management aspects are. Easy integration with Google G-Suite is also a bonus, since the G-Suite has been deployed organization-wide as well.
  • Easy to use UI.
  • Functional and direct task creation.
  • Visibility of key dates is prioritized on the landing page.
  • Tasks, sub-tasks, and other nesting and levels are possible for more complex project phases.
  • No integration with Microsoft To-Do or the Windows 10 inbox/included apps, including Action Center.
  • A son-PWA website that does not support offline usage, notifications, etc. for rich presence. It needs to have a tab open at all times to be usable.
  • Most of the more interesting (read: non-basic) functionality is locked behind the Premium paywall.
  • Tags and groupings aren't very clear, and child tasks can be viewed flat alongside parent tasks in most views, which is confusing
Asana has proven difficult for our organization to use consistently. The adoption after initial roll-out was very high, but continued usage dropped to nothing over the course of the first year. After a period of disuse, Asana was again recommended and re-deployed to the employees to use. Adoption the second time around was much lower.
What I feel to be the most significant barrier to entry is that Asana is effectively sandboxed and is Yet Another App™ that needs to be used, instead of interfacing seamlessly with the users' existing workflow, and being present wherever and whenever they work.
Even personally, I find that I more often reach to OneNote, To-Do, or even a physical sticky note to file a task and keep track rather than to have to log in to Asana, wait for the painful loading time to complete, find my task, jump to the subtask using an icon that isn't immediately intuitive, and adjust the child tasks as either done, undone, etc. On top of being a completely separate workflow, there is no feedback aside from opt-in emails that need to be created per project/task, as it does not integrate with Windows 10 in any way what-so-ever.

Asana is used by our department to manage our current projects and to assign tasks to group members. One main great feature is the calendar that Asana offers. It is where we put and assign our deadlines to help everyone to be on track and never miss a deadline for a project.

We started using Asana with one of our Salesforce consultants (they use it to keep track of our questions, tasks assigned to them). We were introduced to it this way, and from there, I started to use it on an individual basis. Once I understood the ability Asana has to allow for team collaboration, I started to introduce it to the rest of my team, particularly for projects where there were a lot of moving pieces.
  • The variety of project templates is really helpful, and is easy to choose from
  • The ability to tag a task's priority as high, medium or low (gives team members an idea of what to start with)
  • Ability to assign a due date to a task (or designate for later to get it off your main priorities for the day)
  • For my own tasks, I'd love the ability to color code, write notes in without looking cluttered
  • Evernote operates like a notebook, while Asana (at least how I've used it) is primarily a checklist function
  • It's challenging to get a team to adopt yet another tool (even an easy to use one like Asana)
For tracking your daily tasks, I'd say Asana is helpful, but honestly, you could use anything to track your tasks. Where it is really helpful is on small, team collaborative projects where you're trying to meet specific goals and deadlines and you want everyone to be able to look and see where the project is landing, who is responsible for what, what needs the highest priority. That is where Asana really has shined for me.

I am the only one that uses Asana at this point. My organization is still becoming organized, so I use it to keep myself in check. It solves the problem of me not knowing what to do next for my workday, as it can become very scattershot until I look at my to-do list.

  • Assigning priority as well as due dates and times

  • Allow for a customizable home. I use my Asana strictly as a to-do list based on due date. I don't need to assign things by priority - I assign them by time.
  • More options cosmetically. I like Asana, but it would be nice to switch through even more different themes.
  • I'd love to add a third, but Asana has become second nature to me. It's pretty darn easy to use at this point.
It's free for me to use and is outrageously versatile for what I need. For any small business, that's such a killer proposition so they can save money while maximizing both time and staff needs. I start my day with Asana and I keep up with it through the day.

Asana is being used across the organization for project management and task designation. It is being highly utilized in my Marketing department as we have several high impact projects which can only be accomplished by breaking them down into smaller goals. We used to have another project management software, but we decided to do the switch after a long canvassing period.
  • Asana provides great visibility over what each project member is doing. Its task assignation feature allows you to see if the person is completing his tasks within the deadlines.
  • Asana removes free-riders within the company. Since the entire team can see what each one is doing, this puts pressure on everyone to work hard.
  • Asana has a good Kanban feature. You can easily visualize at what stage a certain project is at as it moves through the board.
  • Asana would do well to integrate with external calendars. If you have a task due or are expecting someone to complete their task, this could go into the calendar.
  • This software could improve by having a desktop version available. Currently, it has a mobile app and a web app only.
  • I would like my Asana to be more fun! By this, I mean better design templates of the software's overall look.
Asana is well suited for task management. You can assign a person a task, give them a deadline, and make them feel pressured enough as the rest of the team will be notified of progress to his or her task. I would say that Asana is not accurate in telling what % you are to completion.

Asana is being used within the marketing department in order to help us manage our workflow and meet the right deadlines. Asana helps us stay organized as a team and streamlines our processes -- from content creation, to approval, to design, to execution. The checklist feature allows us to assign each stage of the process to the appropriate person with a clear deadline. The integration with Slack is also very helpful in keeping everyone on track.

Asana has done a great job keeping our team on track. We have a lot of projects going at one time, but Asana allows us to clearly lay out the project plan, make sure all stakeholders are on the same page, then assign individuals tasks and deadlines for responsible parties. Asana has helped us streamline our processes and we've been able to get more done in shorter timelines.

Asana has been my solution for streamlining project management and remote communications. Since Asana is being used as a project management app, we're able to better handle deadlines and assigning responsibilities. We limit usage to internal communications only, as to not overwhelm clients. Majorly used for marketing and communications efforts.
  • Asana is an amazing tool for deadline and tasks scheduling. Being able to assign team members tasks, setting due dates and being able to manage all communications in one place is a game changer.
  • The biggest area for improvement would be the "task" home page views. Right now, there is no way to change the default view setting for tasks. I prefer to have everything in due-date order, but the moment you switch out of the screen, that view is lost.
Asana is best suited for task-oriented team communications. When managing lots of deadlines and specific job functions within the team, the layout and easy UX helps more tasks get done on time. However, I've seen Asana used in incorrect ways too. Asana should not be used as a brain dump tool or a notes app. Because things can get easily lost when they haven't been assigned to a person.

Asana is being used across the whole organization for all project management. We use it to track tasks, manage bug fixing for technical products, and stay on track to ensure no task is forgotten about, big or small. Our team has used Asana every day since our company was opened in 2015.

Asana is mainly being used as a project and task tracking program. We've utilized the program specifically in our communications department to ensure our various projects stay on track. We juggle multiple print and digital communications projects that are dependent upon many stakeholders; Asana has assisted us in ensuring our deadlines are met. This includes project check-ins, setting up sub-tasks, deadline ranges, start and end deadlines, etc.

We utilize Asana as our task management platform within our organization. This includes sales, operations and development teams. Helps communicate what needs to be done and what has occurred in order to complete the task. It is very beneficial when the task involves many team members and their sub tasks. Very easy to prioritize tasks and create unique tags. Not necessary to be in the platform to receive updates or populate a comment which is awesome when working on the go.

  • Ability to see completed and incomplete tasks at the same time would be nice as an option.

Well suited for teams whom are located in different areas. We are in different locations but can centralize and engage in the same priorities. Managing long term projects is amazing in Asana as it can be easy to forget about the details. We just create sub tasks for them.
