What is Ascentis (discontinued)?

Ascentis was an a-la carte full suite workforce management (WFM) technology platform and human capital solutions. Ascentis WFM provided time and attendance solutions that provided clients with scheduling, compliance, complex calculations, and time collection options. The HCM suite, included a fully a-la carte solution.

Ascentis was acquired by UKG in March of 2022. The service will be discontinued.

We use Ascentis across our company as our HRIS. We (in HR) are completely paperless, and were able to do so because of the Ascentis system! We were the first "group" in our organization to complete this task, and the ease of scanning and saving documents in Ascentis took time but wasn't difficult. We now have employees scan and save documents in the system as well. We use TimeKeeper and Recruiting, and now complete our Open Enrollment in the system too.
  • Ascentis is VERY user friendly! I conduct all New Hire orientations, and make sure our new employees are familiar and comfortable with the system. Rarely do I get a call back with questions.
  • The Ascentis Support Team is always very prompt and helpful when we have questions. We usually get a response and get our problem or questions resolved within the day.
  • We LOVE the homepage and widget function. We communicate all important info. on the homepage, and have included countdown widgets, links, etc. The homepage is a very easy set-up, and allows employees to utilize in place of a newsletter, etc.
  • The new reporting system is amazing and very easy to use! Makes running quick analysis reports a breeze!
  • It would be great if on the new platform, you could look up employees by hire date, as we used to use that function all the time on the old desktop.
  • Some of our new hires have had issues uploading an employee photo during the onboarding process - maybe a bit of user error, but it does seem to puzzle them - maybe a way (I'm not sure if there is one) to make this easier?
Ascentis is a wonderful tool ... I don't have anything to say that isn't favorable? I have recommended it to several friends as the capabilities are fantastic, and I love how it's always improving, etc.! The App is amazing and has proved to be very beneficial to our employees!

Ascentis is used to process payroll, for employee recruitment, and benefits management throughout our entire organization
  • The dashboards are easy to interpret
  • Creating Ad Hoc Reports is difficult and not intuitive
  • Recruitment has too much back and forth as you process a new hire
  • Moving between Timekeeper and Payroll is awkward
  • Information in ESS is difficult to find and not located in a logical place
The timeclock feature seems to work well, accruals for PTO seem to work well. Processing payroll works ok, but the messages about completion of data compilation are lacking.

We are currently using Ascentis for HR, Payroll and Timekeeper. Yes, it's being used across our organization. It helps with keeping up with employees time, attendance and tips. It is user friendly for the employees to keep up with address, phone, exemptions and filing status changes without having to email HR in order to do this.
  • Notifies employees on submitting their timesheets
  • Error if an employees forget to clock in or out
  • Downloading Timesheets into Payroll is super fast
  • Time Management with Ascentis is great
  • It would be nice if termed employees can still see paychecks and W2s
  • Quarterly filings are done automatically
  • Payroll in the web to flow easier
The steps to get payroll done is very easy and fast. My only complaint is when entering new employees on Payroll on the web it's not that user friendly.

We use Ascentis across the whole organization for Payroll, Novatime timeclock, and employee self service for benefits, paystubs, and information. Currently working on getting performance, succession, FMLA and 360 ready for employee use.
  • Customer Services is always available and willing to help with any issues.
  • Any payroll problems are resolved quickly
  • Report Creation is not very user friendly, its hard to find reports you need as standard so need to create which requires some training. Reports are not easily created.
  • Does not easily flow from one employee to the next always need to exit from employee currently working on and search for next one. It would be easier to have an arrow to skip to next employee
We use Ascentis for payroll, time management, and employee self service and are happy with the use of the products.

My company, along with the other OpCos, have implemented Ascentis as our HR Management System. It houses all of our employee records and process that has to do with employees. We are using it company wide for the HR Database and will soon be adding the performance piece for management to utilize. The HRIS removes all the paper that goes in and out of employee files: corrective action, status changes, promotions, pay changes, new hires and terminations and also gives the employee the ability to make their own changes on their personal file. We have setup this system to help streamline our growing company and make it easier for both employees and managers to access and manager files.

Ascentis has some great features, there are however some features that are still not available that are still being worked out. I rated a 7 due to the implementation/training was a bit all over the place and the reps were not prepared and/or did not ensure the right tools were available on in place.

We use Ascentis across our whole organization. We use it for our HRIS system as well as our payroll service. It helps having everything in one place. Also, the support team is extremely helpful and always just a call away. I have used other HRIS/payroll companies that make it nearly impossible to get an answer right away!

We used Ascentis across our organization. It is used for time clock services including an points for attendance process. We also use the HR, Benefits and Learning & Development modules. This allows us to automate information as well as provides us opportunities to use the system processes rather than creating manual processes.

  • Benefits is pretty easy to use
  • L& D module needs more flexibility and options
  • clunky between Ascentis and the NovaTime modules - not cohesive enough
  • finish putting everything out under the web interface, I don't ever want to have to log into the desktop option
Overall they do a good job, for a small company. Not robust enough for large companies.

I am using the recruiting module of Ascentis, our company uses the HR module and payroll module. With the help of the Ascentis team we are just now working on them working in conjunction. For the recruiting side it helps with our applicant tracking and allowing better communication with the applicant.

Ascentis is our HR system--applicant tracking, learning management, performance management, payroll, and HRIS.

  • Too much reliance on support to do basic things in recruiting that admins should be able to do. Example: In the ATS, you can't even delete email templates, look up an applicant's username/help them reset their username/password, etc.

As a growing company, we decided we needed an integrated system. Ascentis has allowed us to do our own recruiting, onboarding, HR management ie benefits, compensation, etc., employee self-service plus our payroll. Implementation was longer than expected but the system works very well. Customer service is very helpful and responsive. I highly recommend Ascentis.

We use it for timekeeping, payroll, benefits, and working on recruiting. We are not yet making good use of creating ad hoc reports as the process is not as simple as it seemed to be during demos. Presently, I and others lookup individuals or situations, but I have only used it for one report, and that one I exported to Excel and manipulated the data I needed that way vs parsing it from the Ascentis database. It has done an adequate but not seamless job of replacing paper timesheets, but we are still having to modify rules to make it work the way we need it to.

  • Producing ad hoc reports has been complicated.
  • Recruiting implementation has been challenging.
Ascentis is good for clocking in, and the on-screen timekeeping widget works well. The smartphone app works pretty well but does not mirror the desktop version. The occasions of employees being stymied by the online version not working or not loading properly happen more than we would like.

We use Ascentis for HR, Payroll, Benefits, Performance, and Recruiting. It addresses all HR functions that we need to perform on a day to day basis.
  • They have a lot of trainings to help with support of their products.
  • They give a point person to go to for help with the different products.
  • Customer service reps are always friendly and try to solve whatever questions arise.
  • Would be nice if products could be more company-specific and not generalized to everyone
  • Sometimes it takes a long time to get an answer to a technical question with the software.
Ascentis has all the capabilities and functionality to complete all HR-related functions for any business. I do not see any reason why it would not be useful or helpful if looking for HR modules.

Ascentis is being used across the whole organization. Almost every employee uses it for their timesheets. HR (my branch) uses it to keep track of potential employees that have applied to open requisitions. We use it quite a bit in HR.
  • Keeps track of new applicants and statuses as they go along the hiring process. This is great because it streamlines the on-boarding process for us.
  • Allows each employee to use the timekeeper so we can keep track of hours worked, etc.
  • It would be very helpful if Ascentis displayed the pay that employees receive so they know what to expect when payday comes.
  • It would also be good if the accrued PTO were visible to employees.
Ascentis is not a place employees can view their past timesheets or pay amounts. This would be a nice thing to be able to use for employees. Ascentis is great with the whole hiring process from posting requisitions all the way to hiring the applicant.

We use Ascentis HR across the organization. The majority of our employees are only using Employee Self Service. They can access their pay stubs, make changes to their tax withholdings, make demographic changes, and view their accrued PTO. Our HR department uses Ascentis HR every day for tracking PTO, upload documents to employee files, benefits enrollment, recruiting, and employee evaluation/ performance.
  • We like the timekeeping capabilities. It lets employees know when they are approaching hours and seeing their weekly summary breakdown is helpful. It is very easy for our employees to navigate.
  • The dashboard is fun and the widgets are a great way to keep all of our employees undated and informed.
  • Ascentis support is wonderful too, they have been very helpful and very quick to respond every time we have reached out.
  • Ascentis offers so many reports which is great. However, I find it sometimes difficult to navigate what reports I need!
  • We have had multiple issues trying to upload during payroll processing when we have staff with too many transactions on their timesheet. Also sometimes our differentials do not work like they should.
I love how Ascentis is web based, so I can have access anywhere. Tracking ACA was one of the reasons made the switch to Ascentis.

Ascentis is our new HRIS and Payroll system for our company. It combined HR, Payroll, and Recruiting systems to gain efficiencies.
  • Self service has some good features.
  • Directory is nice addition.
  • Customer service is good.
  • Need to move to a single sign on and not hop between systems.
  • Need to fully integrate Timekeeper and not treat it like another company.
  • Need to be more transparent about how long it takes to make minor software adjustments.
  • Need to focus on mobile app ASAP so it doesn't look like all users are hourly staff.
  • Need to allow for more customization without charging extra fees.
  • Need to quit nickel and diming all minor things during the implementation phase.
Ascentis could be well suited for companies new to HRIS/payroll systems. Hard to see how a large company could have an easy integration in the beginning.

We use Ascentis company-wide for recruiting, applicant tracking, onboarding, benefits administration, HR administration, payroll, and training.
  • Payroll is timely and easy to use.
  • Web interface is difficult to navigate. Menu organization is not logical or intuitive.
  • Benefit calculations does not support age banding for children.
  • The mobile app will not work for users that have single sign on (SSO).
  • Learning Management System (LMS) for training is buggy.
  • The recruiting module is cumbersome.
  • This is not an integrated system It is a bunch of separate software products that have been patched together by building data interfaces between the various software pieces.
I wouldn't want to jeopardize a friendship or professional relationship by recommending this product.

Upon arriving at my organization over a year ago we did not have any real HRIS. We used Access as our employee database and we certainly weren't maximizing its potential. We used Tracksmart for tracking attendance and PTO, Benefitmall for processing payroll and ACA, another system/third party for benefits management, and an outdated performance improvement system that was no longer supported.

With Ascentis I've been able to introduce my organization to a one-stop shop. Along with being able to manage all of the previously mentioned tasks in one system, I have the privilege of creating a newsletter sort of platform on our employee self-service portal that's much like a internal Intranet, but with so much color and pizazz. This feature has proven to be a HIT!! It has allowed for a decrease in emails from HR and paper posters and more transparency as I'm able to share with the staff the documents that are in their file.

They have the ability to start the process of making changes from their desk instead of coming to the HR Dept.; of course HR still approves the changes, because they upload the supporting documentation as well. The fact that Ascentis required so much hands-on from me, at first, was frustrating, but now I appreciate it all the more. I know my system, the data that's in it, and it was all customized by me. I can only hope that everyone at Ascentis is as great as the team members I've had the privilege of working with: Jeff Hansen, Tina Byrnes, and although he's with Novatime, David Chang is one of a kind!!!!

Ascentis is both our HRIS and payroll timekeeping system. We use it from onboarding throughout the life cycle of an employee. By having information in a single place, we no longer have to maintain separate databases for HR, training, and benefits. The new employees adapt quickly because they use the system from day one.
  • Timekeeping is best in class, reducing errors and manual checks
  • Benefits enrollment and file feeds to the carriers
  • Ability to customize workflows for our company
  • Report writing does not combine HR data and payroll data well. Good reports but not always exactly what we need
  • Support is good but specialists are not as well versed in the entire product as I would like.
  • HTML skills needed to set up a nice home page for our company.
Timekeeping is extremely accurate with Ascentis. Corrections in one pay period automatically create adjustments in the current pay period. No more manual calculations. Ascentis was quick to set up workflows for the new leave laws due to Covid-19.

We like the clean look of the software and repeatedly hear from employees and managers how easy it is to use.

HRIS and payroll are separate systems, which sometimes means you need to enter information in two places. More of a slight inconvenience.

  • Ascentis has a top notch customer service
  • The system is customizable to our needs
  • They listen to their clients for suggestions and improvements
  • HR, Payroll, Timekeeping, Recruiting are fully intergrated
  • The company provides regular educational webinars and news updates
  • A few minor things within the HR system could be improved but it's not a deal breaker
They pay attention to their customers' needs, calls or emails are returned quickly, urgent issues are addressed timely.

We use Ascentis across the organization for our HRIS. We use it for recruiting, HR/benefits, payroll, performance, and talent management.
  • Ascentis has amazing support. They are quick to respond to emails and the people on the phone are always very helpful.
  • They are constantly making improvements. I can tell that they are investing in their product and trying to make it more up to date.
  • Their implementation is fantastic. Individual meetings are held with product teams that walk you through every step.
  • Having multiple databases and websites is not ideal. Updating something as simple as a job title requires the use of multiple applications including payroll, payroll bridge, and a remote desktop.
  • In addition to multiple databases, their recruiting is not their own application. This creates challenges as the setup and support is a different process than the rest of the HRIS.
I think smaller companies that are just looking for HR, benefits, and maybe payroll could use the product well. All of those things can mostly be done on the web now. The product would also be good for smaller HR teams that need a lot of support as their email and phone support is fantastic.

Larger organizations looking for an all-in-one seamless experience should look elsewhere.
